Office & Property Compliance Administrator

Part-time permanent – Initially 3 days (21 hours) pw/ (0.6 FTE) subject to review after 6 months

£30,000 FTE (£18,000 for 0.6 FTE)

Office base Liverpool Street/Moorgate – Commonweal operates a flexible hybrid working policy requiring staff to attend the office base at least 2 days per week, one of which is our Tuesday anchor day when all staff are in the office.

Commonweal is an independent charity, with a small core staff team of 9, overseen by a voluntary Board of Trustees, working to investigate, pilot and champion housing based solutions to social injustice. Using our charitable resources, we provide experts and partner organisations with the opportunity to trial and test new approaches designed to enhance housing equality and justice. Independently evaluating each of our projects we share our experiences, using this learning to inspire new thinking. Through the replication of what works and the lessons from what doesn’t, we influence changes in policy and practice. In addition, we commission other research identifying and spotlighting new areas of housing injustice.

Commonweal owns a small portfolio of properties that are leased to our project partners – charities, housing and support organisations delivering services to people experiencing housing injustice. This role will be central to ensuring that we fulfil our responsibilities as a property owner and that our partners and managing agents meet their property and compliance obligations.

You will maintain oversight of key property compliance requirements, ensuring certificates, inspections and other documentation are in place and up to date, proactively following up outstanding actions and escalating issues where necessary. Working closely with our managing agents, retained surveyor, contractors and project partners, you will help ensure we have an accurate and up-to-date picture of our properties, including repairs and planned works, void properties and those being prepared for occupation.

Commonweal also periodically buys and sells properties as new projects begin and others come to an end. You will provide administrative coordination for these processes, liaising with estate agents, solicitors and other professional advisers and helping to keep actions and deadlines on track.

Alongside our property portfolio, the Office & Property Compliance Administrator will coordinate and deliver the core administration that underpins Commonweal's work. This varied role brings together governance and Board administration, property and compliance coordination, and oversight of our office systems and environment.

You will:

• Manage the compliance administration of our property portfolio, maintaining accurate records of compliance requirements, certificates, inspections, key dates and associated documentation.
• Proactively monitor outstanding property actions, repairs and works, liaising with managing agents, our surveyor, contractors and project partners to obtain updates, follow up overdue actions and escalate concerns where necessary.
• Maintain accurate and up-to-date information on the status of our properties, including voids, outstanding works and readiness for occupation, providing reliable information for operational and Board reporting.
• Provide administrative coordination for property acquisitions and disposals, liaising with estate agents, solicitors and other professional advisers and tracking actions through to completion.
• Provide high-quality governance support to our Board of Trustees, including scheduling meetings, collating agendas and papers, circulating Board packs and taking accurate minutes.
• Oversee the smooth running of our office, including IT and supplier contracts and health & safety administration.
• Act as a first point of contact for general enquiries and provide reliable administrative support to the CEO, DCEO and wider team.

We are looking for someone with:

• Strong organisational and time-management skills, with the ability to manage competing priorities and deadlines.
• Experience of supporting Boards or committees, including minute-taking.
• Experience of property, housing, lettings or compliance administration, or demonstrable experience of managing detailed records, actions and deadlines within another regulated environment.
• Excellent attention to detail and a commitment to maintaining accurate and reliable information.
• A proactive approach – someone who is comfortable following up outstanding actions, chasing information and identifying when something needs attention or escalation.
• Excellent written and verbal communication skills.
• Confidence working with suppliers, contractors and other external organisations.

Previous knowledge of property compliance requirements would be an advantage, but we are equally interested in candidates with strong transferable administrative and coordination skills and the ability to develop their property knowledge.

We are looking for an experienced Project Lead to lead the delivery of Thriving Change Makers, an exciting new programme supporting young people in Barnet to develop leadership skills, lead social action and influence the services and communities around them.

You will lead the mobilisation and delivery of the programme, supporting approximately 60 young people in Year 1 across two cohorts. You will provide leadership to programme staff, build strong partnerships with schools and community organisations, oversee safeguarding and risk, manage the delegated budget, and ensure the programme delivers against its outcomes.

A key focus will be ensuring that young people have a genuine voice in shaping the programme, with opportunities to develop their skills and progress into youth ambassador, advisory and governance roles.

We are looking for someone to join the St Mungo’s Property Services Team as a Reconciliation  Administrator for a12 month fixed term contract, or secondment for internal candidates.

In the role of Administrator you’ll work as part of a busy team, leading on payment reconciliation, Schedule of Rates (SOR) validation and general repairs and maintenance administration support.   

Key responsibilities include:

• Processing property services related invoices and payments.
• Ensuring accurate contractor reconciliation against works completed, and resolving discrepancies.

FFLAG is a national voluntary organisation and registered charity and is the UK's longest established parent support charity in the LGBT+ sector. Our history began in the grassroots parent helplines of the 1960s, grew through the 1980's and 90's as we supported anxious parents and fought against the discrimination of Section 28, becoming a formally registered charity in 2000.

What this job is all about

As Volunteer Coordinator, you'll make sure FFLAG's volunteers are properly recruited, trained and supported, so they can continue doing this work well. Reporting to the Operations Manager, you will:

• Identify what volunteers FFLAG needs, then recruit, induct and train them, including DBS checks and references

• Maintain training, the volunteer handbook and the Code of Conduct up to date

• Maintain regular contact with volunteers, so they stay engaged, safe and supported

• Act as FFLAG's Safeguarding Lead, providing regular supervision to support volunteers

• Keep accurate records, liaise with Trustees, and report on volunteer activity to the Board

• Be a member of the Services and Support Committee

• Provide support to the Operations Manager with events, as required

This role needs someone who's organised, approachable, and motivated by helping people do well - but it also needs real, hands-on experience of volunteer coordination from day one, since it's a small, part-time role with no one else to lean on for this work. • Recruiting, training and supporting volunteers in a paid or voluntary role

• Keeping volunteers engaged and retained over time

• Handling safeguarding matters sensitively and appropriately

This is an essential car user post. The applicant must hold a current UK driver’s licence, with no more than 6 points, have access to a car and be able and willing to drive UK wide as required.

This senior role requires flexibility in working hours and location.  It is primarily offered on a hybrid basis with a minimum of 2 days in our Amersham, Buckinghamshire, office each week. As part of the role, UK and overseas travel is necessary, which may on occasion include early morning and/or evening working and sometimes overnight stays. We have policies in place to ensure that any unsociable hours worked over the weekend are fairly compensated through TOIL.

Established in 1985, Muslim Aid has facilitated the engagement of the British Muslim and non-Muslim community in support of its work in a variety of ways. Over the years, its humanitarian work has included responses to major crises around the world including famine in East Africa, earthquakes and flooding in Pakistan and Bangladesh as well as conflicts in Syria and Yemen.

Summary of the role:

The Data, Risk and Compliance Officer will coordinate Muslim Aid’s organisational approach to data protection, risk management, compliance and assurance coordination. The role will provide oversight of key registers, trackers, records, reports and action plans, including the corporate risk register, compliance obligations register, policy review schedule, data protection records, information-rights requests, breach records, audit action trackers and assurance follow-up.

The postholder will work directly with the COO, leadership team and functional owners across the organisation to strengthen governance, ensure risks and compliance actions are actively managed, support timely escalation and drive continuous improvement in organisational controls and accountability.

The postholder will own coordination, tracking, records, follow-up and administrative support for these areas, while supporting senior colleagues with design, judgement, quality assurance and insight.

About the Role:

1. Maintain the corporate risk register and ensure risks, controls, actions, owners and deadlines are kept up to date.
2. Gather regular updates from functional owners and support teams to articulate and record risks clearly and consistently.
3. Maintain the compliance obligations register, policy review schedule and evidence of compliance activity.
4. Work with departments to record legal, regulatory, donor, funding agreement, data protection and internal policy requirements.
5. Maintain data protection policies, procedures, templates, records of processing activities (ROPAs), data-flow records and information asset registers.
6. Prepare regular reports, exception reports, committee updates, action summaries and briefing notes on risk, compliance, data protection, audit actions and overdue matters.

About You:

You must currently hold the right to work in the UK. Muslim Aid is not offering sponsorship for this role.

This role operates on a hybrid working basis, with a current requirement to work from the office for two/three days per week, and additional days where required to meet organisational needs.

To be successful in this role, you will need:

1. Law degree, equivalent legal qualification or equivalent experience in legal, compliance or regulatory matters.
2. Significant experience in data protection, risk, compliance, governance, assurance or a related area, including responsibility for improving organisational processes and controls.
3. Experience managing risk registers, compliance trackers, policy schedules, action logs and organisational records, with responsibility for quality, timeliness and escalation.
4. Strong organisational and coordination skills, with the ability to prioritise competing demands, oversee several trackers, manage deadlines and deliver high-quality reports.
5. Ability to influence and follow up actions firmly and professionally, make sound judgements, identify issues requiring escalation and handle sensitive information with discretion.
6. Ability to write clear reports, updates, guidance, action summaries and recommendations for managers, the Leadership Team, committees and the Board..

The Sports Development Officer role develops, leads and coordinates sports activity programmes that increase participation and use sport to improve health, reduce crime and build social inclusion - working to the Selby Trust’s ‘Selby Active Sports Strategy’. 

In this role you will: 

• Grow and diversify Selby Active's sports portfolio while sustaining existing relationships (i.e. charities, the NHS, local authorities (Haringey Council and Enfield Council), funders (Including Tottenham Hotspur Foundation, England and Wales Cricket Board and Middlesex in the Community), schools and colleges and sport national governing bodies (NGBs).

• Build and maintain partnerships with strategic and local stakeholders

• Focus delivery on under-represented groups — young people, women, older and disabled people, and ethnically diverse communities

• Address issues of health, crime, and social inclusion

The role requires flexible work, including some evenings and weekends, to achieve the best possible outcome within available resources.

Principal accountabilities

• Recruit, supervise, train and manage Selby Active coaches, staff, volunteers and instructors, ensuring high-quality service delivery.

• Lead project coordination, planning, ongoing development and budget management, setting high-quality standards; work with the Partnerships and Funding Manager on sports bids.

• Identify sport, recreation and health initiatives, overseeing strategic planning and implementation.

• Coordinate, deliver and promote activities, classes and events - particularly for under-represented groups - working with internal colleagues and Haringey and Enfield Councils to develop a varied programme for the new Selby Centre.

• Engage informal and registered sports groups, especially those in our community, ensuring they are aware of the activities available to them.

• Represent Selby Trust and build effective relationships with sports users, volunteers, local sports groups, local authorities and awarding/professional bodies, including at local, regional and national meetings, seminars and conferences.

• Lead engagement with sports partners and proactively reach out to local clubs, delivering against KPIs and drawing on their collective expertise.

• Support capacity-building for small sports organisations, including identifying organisations for Selby's GLA-supported business support programme.

• Organising workshops, accredited courses and mentoring programmes.

• Monitor and evaluate our on-site activities and services, interpreting data to produce high-quality reports and presentations for funders and stakeholders (including the Board of Trustees and local authorities).

• Identify, apply for and provide information on sports grants and sponsorship, working with the Partnerships and Funding Manager.

• Co-lead the capture of stories, case studies and content for Selby Trust's digital channels.

• Work with Pre- and Post-16 initiatives to encourage sports participation and parental involvement.

• Check venues and manage facilities.

• Develop a community membership scheme.

• Work within relevant guidelines, including equal opportunities, health and safety, and safeguarding and child protection.

• Passion for sport

• A relevant qualification or demonstrable equivalent experience in sports development, coaching or community engagement

We are seeking a proactive and relationship-focused Senior Marketing and Relationships Officer to help grow membership of the HIV Confident Charter Mark. 

The postholder will work to generate interest with prospective member organisations and clearly communicate the value of the programme, resulting in tangible growth in memberships. 

They will use their experience in targeted marketing activity, stakeholder engagement and relationship management to nurture relationships with current and emerging networks. In this role, the postholder will demonstrate visible commitment to tackling HIV stigma, improving inclusion and supporting good practice in workplaces.
