Summary of the role:
This role will provide day-to-day administrative support and project support to the department head and the overall team to ensure the successful delivery of the organisation’s operations in an efficient manner. This role will focus on generating reports, tracking progress, and ensuring all the necessary processes relating to compliance, finance and HR are completed in a timely and accurate manner.
About the Role:
- Develop a thorough understanding of Muslim Aid’s work areas in order to ensure strategic linkages / appropriate dissemination of information or assignment of actions.
- Develop, maintain and review administrative systems to achieve maximum efficiency and to have high-level exposure across the organisation including admin, finance, IT, HR, supporter services, IP, comms etc.
- Prepare purchase orders and document payments according to Muslim Aid’s financial procedure and in conjunction with the Finance team to ensure speedy payment of invoices for internal / external stakeholders.
- Assist the Head of Income Generation and Marketing with the preparation of PowerPoint presentations, documents, briefing papers, action points and reports as requested and to track work across all relevant departments to ensure the nominated Manager undertakes action within the agreed timeframe.
- Provide administrative support to Head of Income Generation and Marketing in preparing and drafting correspondence, booking meetings, minute-taking, planning and supporting events, organising travel and preparing travel itineraries and relevant tasks as required by the Head of Income Generation and Marketing.
- Be the gatekeeper and first point of contact to stakeholders, assessing priorities, redirecting calls, enquiries, and face to face meeting appointments.

The Major Gifts Stewardship Assistant is responsible for an existing portfolio of approximately 150+ individual, trust, and corporate donor relationships. Main responsibilities include:
· Maintaining the current portfolio of donors.
· Uplifting donors to give at higher levels, where possible.
· Supporting the trusts and foundations of new business processes through research and outreach.

Job Purpose:

Battersea’s multiple award-winning Income Generation department raises around 60% of the Charity’s total income. Working with colleagues across the organisation, they provide members of the public and organisations with opportunities to engage with Battersea and to support our work. This team is looking for someone to join them as a Challenge and Public Events Assistant on a 6-month contract, to be the first point of contact for fundraising products, In-Celebration and community supporters, as well as our carol concert attendees, delivering exceptional supporter care and building long-lasting relationships. They will also provide administrative support to the Senior Challenge & Public Events Officers to deliver a portfolio of fundraising events and activities, as well as take the lead on small projects.

Our Finance Department works as a team of experts to safeguard resources and support decision making across Shelter. We strive to ensure Shelter is financially sustainable in order to achieve our vision of a home for everyone. This particular role sits within the Financial Planning and Analysis team. About the role

As part of the role, you’ll engage regularly with our Assistant Directors and their leadership teams to ensure that financial results and key messages are shared and you’ll support stakeholders in engaging with fully available financial insight and reporting. Additionally, it would be an advantage if you have experience working in a Charity and have associated experience of managing restricted funds and fundraising.

Trusts & Foundations is our largest income stream and we are looking to increase capacity in the team during a growth period for the charity.You will support our experienced Trusts & Foundations team to help meet, and exceed, our income targets and to provide fantastic support to our donors.You will also have the opportunity to spend half a day a week in our Salisbury garden assisting the Head Gardener and spending time with beneficiaries.
Main duties:
- Identify and research grant giving trusts and foundations to whom Horatio’s Garden is eligible to submit applications for funding.
- Proactively approach relevant trusts and foundations, where possible, to discuss potential applications before submission.
- Prepare and submit high quality applications for funding for a range of Horatio’s Garden projects.
- Prepare and submit high quality, timely progress reports to grant givers, contributing to longer term relationship development with funders.
- Maintain the Trusts and Foundations pipeline to maximise supporter retention and income generation.

Our Third Party Events team are working to raise up to £2m+ across a range of activities in 2024, and we need brilliant people to help achieve our ambitious fundraising goals.

RESPONSIBILITIES

Research and evaluate new funding opportunities from trusts, foundations, and other grant funders, maintaining a 12-month funding calendar.

Cultivate and nurture relationships with funding/grant-making organisations, both new and existing.

Develop compelling cases for support for designated projects or organisational areas, tailoring funding bids and applications accordingly.

Enhance Buttle UK's ability to deliver compelling reports to donors, meeting or surpassing their expectations.

Submit timely reports to donors, ensuring compliance with monitoring and evaluation requirements.

Support the maintenance of systems tracking fund allocation and expenditure, ensuring accuracy and up-to-date information for funders.

Manage donor records on the Raiser's Edge fundraising database, including recording activities, income, and producing management reports.

Stay informed about funding opportunities and trends in the sector through attending conferences, workshops, and events.

Generate accurate and timely management information on fundraising activities and budgets.

Ensure integration of fundraising activities within the wider staff team and provide necessary support.

Perform other duties as directed by the Director of Fundraising and Marketing and/or the Trust Fundraising Manager.

PERSON SPECIFICATION
Experience
-
Proven experience and success in developing and drafting proposals and/or reports raising funds from trusts, foundations, other grant makers or the equivalent.

Experience of creating compelling and concise funding proposals, written documents and reports from a range of information sources, including detailed technical or sector specific information. about the organisation’s work.

Proven ability to communicate effectively both in writing and verbally.

Experience of research techniques applicable to identifying funding opportunities and framing funding bids.

Financially literate with the experience of producing and interpreting budgets, or other detailed numerical information.

Experience of working under your own initiative, dealing with conflicting demands and working under pressure to meet tight deadlines.

Experience of project planning and/or project coordination.

Proven IT skills, ideally with experience of using databases.

Good knowledge of the charity sector.
