We are recruiting for an enthusiastic and proactive individual to join our Finance Team in the role of Finance Assistant.

The Finance Assistant supports all aspects of the Hallé’s work at the Bridgewater Hall, the Hallé Venues and concert halls across the UK.

The Finance Assistant works in a department currently comprising Finance Director, Finance Manager, Assistant Finance Manager and Finance Assistant.

The department is responsible for all aspects of the financial affairs of the Society and its related trusts. The Finance Assistant is responsible to the Assistant Finance Manager.

They take responsibility for processing the day-to-day transactions of the company across purchase ledger, sales ledger and the cash book, and ensure the smooth operation of the office. They will also need to work collaboratively with colleagues across the wider Hallé as well as with external customers and suppliers.

The post is full-time permanent based on a 36.25-hour week. Our core office hours are 09.00-17:15, from Monday to Friday. There is an option to work up to 50% of hours from home.

Consideration will be given to applicants wanting to work part-time at an appropriate level to meet the requirements of the role.

Medical Aid for Palestinians (MAP) is a leading UK charity dedicated to improving the health and dignity of Palestinians affected by conflict, occupation, and displacement. Duties and key responsibilities 

Leadership, Collaboration & Line Management 

• Support the Director of Operations through preparation for and reporting to governance meetings. 

• Participate actively as a member of the Leadership Team. 

• Provide leadership, direction, training, and motivation as appropriate to the UK Finance Manager, and the overseas Finance Managers in conjunction with overseas Directors. 

Finance Policy & Process Management 

• Be responsible for monitoring compliance with MAP’s financial and procurement policies and review and update these policies on a regular basis. 

• Develop and implement strong cash and treasury management policies and procedures. 

• Manage and develop all financial accounting systems in consultation with the Head of Reporting to ensure they are fit for purpose. 

• Help to ensure value for money and the effective use of funds across the organisation. 

Compliance & Regulatory Reporting 

• Manage the ongoing relationships with the external auditors. 

• Ensure the timely and accurate preparation of the annual statutory accounts for the annual audit and implement recommendations from the auditors and/or Board. 

• Monitor institutional income and related contracts and ensure that all restricted income, including Zakat, is properly accounted for. 

• Ensure the financial management of MAP is compliant with relevant accounting, legal, HMRC and tax requirements, including VAT and corporation tax, and that the correct returns are made. 

• Submit the necessary returns and maintain our records with the Charity Commission and Companies House on a timely basis.

Cashflow & Bank Account Management 

• Manage the ongoing relationships with MAP’s banks in the UK. 

• Maintain UK bank accounts and ensure financial governance is in place for overseas bank accounts.

• Ensure bank mandates and online banking operations are reviewed and updated on time. 

• Monitor and manage the organisation's cash flow to ensure there are sufficient currency funds to meet operational needs. 

• Review fund and payment  requests from overseas offices and that planned activities are within budget. 

• Release all payments from UK bank accounts, including UK payroll. 

Financial Controls 

• Implement appropriate internal controls, policies, and procedures to protect against fraud and misappropriation. 

• Oversee and manage all payroll budgets and forecasts. 

• Oversee the payroll functions, ensuring adequate internal controls and approvals are in place and adhered to, and all statutory requirements are met. 

• Ensure regular reconciliations are made between the accounting system and the CRM. 

• Oversee legacy administration liaising with the Legacy Advisor. 

Risk Management 

• Risk management – manage strategic and operational financial risks working with the Head of Internal Audit & Compliance.

• Maintain insurance policies across all MAP offices to ensure appropriate and adequate risk mitigation and meet statutory requirements. 

Person Specification 

Experience 

• Extensive experience in a finance leadership role within a complex charitable organisation, working internationally. 

• Experience of UK charity finance practice and governance - UK Charities SORP FRS 102. 

• Excellent technical knowledge and skills in accountancy principles, governance, and standards, including preparation of statutory accounts. 

• Successful track record of managing financial systems, and cashflow. 

• Experience of working in a multi-currency organisation.

MAIN DUTIES AND RESPONSIBILITIES

Operations

• Maintain the office facilities and environment to agreed service levels

• Be responsible for the operation and maintenance of office equipment and IT equipment for all staff and volunteers, and arrange their repair or replacement, in conjunction with the Finance Officer and the Accounting Officer, as need arises
• Act as principal contact person for HI UK’s IT infrastructure and support provider, helping colleagues to access IT support when required and developing and implementing the organisation’s IT strategy
• Manage budget lines associated with running of the office and participate in procurement, primarily of office and IT supplies, liaising with external suppliers.

Human Resources

• Provide administrative support and advice for the recruitment of staff, consultants and volunteers, including advertising, interviews, issue of contracts and inductions, liaising with the federation manager and recruitment teams when relevant
• Assist with other HR tasks, including managing staff and volunteer files, managing the HR information system, administrative support for payroll and contributing to updates of the staff handbook

Chief Operating Officer

We have an exciting opportunity for a Chief Operating Officer to join the team in this hybrid-working role.

Interim Head of Finance | 3 Month + | £300 - £350 per day (outside IR35) | Hybrid | Croydon

For a small but vital refugee charity, we are recruiting an Interim Head of Finance for 3 + months, starting ASAP.  Reprieve’s main office is in London, UK. Reprieve also supports full-time Fellows, who work as lawyers, investigators and campaigners in the countries in which we work. We work closely with a number of partner organisations in jurisdictions all over the world, who provide access to clients, expertise, knowledge and guidance on specific issues or regions. We work in cooperation with relevant government officials, individual lawyers and human rights defenders, as well as individual, corporate and foundation funders to further the cause of our shared goals.

About this role

The role of the Finance and Payroll Manager is to support the Development and Finance teams to manage and report on restricted income, as well as to manage monthly in-house payroll under the guidance of the Head of Finance. This involves ensuring that we are maximising the use of restricted funding, and that money is spent in line with donors’ wishes and that staff are paid accurately and on time each month. The Finance and Payroll Manager will work within a small Finance team under the supervision of the Head of Finance. They will work closely with the Joint ED, wider Senior Management Team, Head of Development and budget holders throughout the organisation.

They will support the Head of Finance with annual budgeting and quarterly re-forecasting as well as with the production of the monthly management accounts. They will support the Development team in making grant applications and develop restricted grant budgets for newly secured grants for integration into the organisational budget; they will meet regularly with the Development team and budget holders to review restricted project spend. They will produce reports for funders working in conjunction with our Development Team and casework teams. The Finance and Payroll Manager will contribute to a culture of continuous improvement of the finance systems, processes and grant management tools to ensure they continue to be fit for purpose.

Contract and location

The role is a full-time, permanent position with an annual salary of £50,571 per annum less any required deductions for Income Tax and National Insurance. 

 Reprieve operates a hybrid working model and we require staff to work a minimum of 40% from the London office and the rest of the week from home.

The role will work across both businesses following their partnership agreement in January 2023. Both businesses are steeped in the history of Birmingham, with the origins of The Yardley Great Trust Group going back to the 14th Century and SJMT’s beginnings in 1868. Their work in the Alms House arena is also highly individual, an area of support found in the heritage of SJMT.

The Finance Director role would ideally start swiftly and will take on a largely strategic direction whilst still requiring operational input.

Based in Olton, candidates with experience in a senior leadership role in finance whilst holding an understanding of how charities, housing providers or public sector organisations work will be highly advantageous.

The Finance Director post will cover many facets including, but not limited to:

Executive Leadership

• Working with the executive team to develop and manage the delivery of robust corporate, strategic and financial business plans
• Demonstrating positive leadership behaviours and bringing values to life within the organisational culture
• Effectively planning and providing for the resources required to action strategic and operational plans
• Undertaking quarterly reviews of the Charity's Risk Registers, reporting on major risks and mitigations at each Board meeting.

Financial Strategy and Control

• Leading on the delivery of strategic and annual financial business plans, ensuring viability is regularly tested through scenario modelling, appraisals, and stress tests
• Taking responsibility for annual budget and management accounts processes and preparation of statutory accounts
• Maintaining up-to-date reserves policies that meet the requirements of both the Charity SORP and RSL SORP
• Managing relationships with investment managers, ensuring regular review of performance and satisfaction
• Developing and maintaining effective systems of financial control that ensure that business plans are continually reviewed and reported on
• Maintaining overall responsibility for the computerised accounting system, including sales ledger, purchase ledger, cash book and nominal ledger

Treasury

• Being responsible for each Trust’s Treasury Management strategy and policy to ensure the availability of and flexibility of funding to support the achievement of strategic objectives and reduce exposure

Risk Management

• Leading on the development of risk management strategies and registers, audit frameworks, procedures and appraisal systems for capital projects and all other significant areas of risk.   

Growth and Innovation

• To support the Chief Executive in the development of the Strategic Business Plans in a way that supports innovation and growth in services

ICT / HR

• Leading on the development and delivery of an effective ICT and Telecoms Strategy which supports mobile and agile working and customer relationship management that underpins our drive for excellent business
• Supporting with the development, implementation and review of an effective People Strategy which supports the vision and values of each Trust
• Reviewing the administration of all statutory returns and sector-relevant returns/surveys
• Leading on the annual remuneration review to approve or decline and make recommendations for salary increases
• Taking responsibility for the outsourced payroll and workplace pension scheme
• Overseeing the relationship with the outsourced IT support provider, ensuring optimal support to staff and monitoring performance against contract
• Working with and developing the use of financial accounting software to meet the operational and strategic development needs of the business

To secure the Finance Director post, the Trusts are seeking the below:

• Proven experience at a senior leadership level in a finance environment
• Experience preparing financial business plans, modelling scenarios and sensitivity analysis
• A track record of delivering on a range of other corporate support services such as IT or HR and Governance
• A relevant Professional Qualification i.e. CCAB or equivalent and membership of a recognised UK body desirable
• Up-to-date knowledge of all regulatory requirements including Finance, People, IT & Governance
• Experience developing services to achieve and support strategic organisational objectives.
