Role purpose
This role would suit someone with at least 2 years’ experience in a charity finance role, who has experience or knowledge of all the core accounts department processes and some understanding of different charity income streams. You might be studying for an accounting qualification (e.g. AAT or ACCA) or be qualified by experience.
A training package may be available for an applicable accounting qualification.
Responsibilities
- Day to day management and systems administration of Xero accounting software, expenses software (ExpenseIn), and other linked financial applications.
- Carry out monthly reconciliations of bank accounts, debtors and creditors, and set up payment runs.
- Prepare monthly management accounts journals (prepayments, accruals, depreciation, deferred and accrued income) and control account reconciliations.
- Being the systems administrator for the Fundraising CRM system (Donorfy) and linked platforms and applications (e.g. JustGiving, Stripe, EventBright).
- Database management of Donorfy and linked platforms and applications.
- Reconcile data between Donorfy and Xero, and where necessary, with other linked platforms and applications.
- Ensure Gift Aid returns are correctly submitted to HMRC (via Donorfy)
- Support with the development and implementation of new systems and procedures.
- Provide training and induction to new joiners in using Donorfy and ExpenseIn as well as for any other relevant platforms and applications.
- Business partnering - provide day to day support to the wider organisation with finance and fundraising system queries, payment information, and supplier queries.
- Working with budget holders to provide transaction reports, income and expenditure reports, and updates on payments from finance and fundraising systems to assist them to manage their project budgets.
- Assist Finance Director and Fundraising team where necessary with financial reporting to funders.
Skills/ experience
Essential
- Proven experience in all areas of accounts - purchase and sales ledger, banking and cash management, basic management accounts.
- Experience of Xero or similar cloud-based finance system.
- Excellent Microsoft Office skills, particularly excel and an ability to quickly learn new systems.
Desirable
- Accountancy qualification or studying for (e.g. AAT, ACCA).
- Experience of Donorfy or similar CRM system.
- Experience of dealing with charitable income and an understanding of how to account for restricted grants.
- Experience of liaising with auditors and other external stakeholders.

The role
The Financial Accountant will report to the CEO and be part of our small management team. They will oversee our finances as we seek to scale up our grant-making while maintaining our high-quality assurance processes. They will also be responsible for providing scrutiny and a strategic eye to the management of our endowment. A small but important element of the role will be oversight of OCF’s cybersecurity. The successful candidate will combine a rigorous eye for technical detail with long-term thinking and a passion for our mission.
Accountable to: CEO
Key relationships: Treasurer, Chair of Finance Committee, Chair of Trustees, staff team and trustees and OCF fundholders.
Salary: £55,000 (full time equivalent) subject to negotiation for the right candidate.
Hours: 0.6 FTE (21 hours a week, which can be spread flexibly across the week)

Responsibilities
· Accountable for producing the Annual Report and Financial Statements in accordance with the Charity SORP, and being primary contact for the auditors.
· Preparation of annual budget and forecast, quarterly financial reports and monthly management accounts and updated forecasts.
· Maintain the detailed records of the endowment and restricted funds on a monthly basis. Oversee accurate statements for fundholders and provide ad hoc reports and analysis as required.
· Responsible for maintaining strong financial systems to provide accurate financial records and control systems for OCF, working closely with the Development and Grants teams to ensure complete alignment between internal systems (eg SAGE and Salesforce).
· Responsible for ensuring the Finance Committee is effectively supported, including: agenda and minutes, the production of timely reports, following up on actions and ensuring compliance with Charity Commission, HMRC Gift Aid and other reporting requirements.
· Liaise with OCF’s Investment Fund Managers (currently CCLA and Brompton Asset Management) and work with the Finance Committee to ensure performance is maximised.
· Monitor cash balances and ensure OCF is getting value for money on its cash.
· Management and development of a Finance Officer
· Oversight of effective delivery of all financial transactions, bank accounts, cash flow, bank reconciliations and staff payroll; includes oversight of checking the accounts for potential grant recipients.
· Bring to the early attention of the CEO and Chair of Finance Committee any matters of concern and risk in relation to the finances of OCF, and provide financial advice on mitigating actions.
· Maintain cybersecurity and insurance to meet operational requirements, and provide oversight to ensure OCF contracts are value for money.
Key competencies
· ACCA/ACA/CIMA qualified and membership of one of the major UK accountancy bodies
· Experience of charity accounting and knowledge of best practice
· A proven track record of financial management in a an organisation with significant turnover understanding of restricted spend-down funds and endowments
· Experience in accounting software – preferably SAGE – with good computer literacy, including MS Excel and ideally CRM systems such as Salesforce
· Ability to think strategically in financial matters and identify areas of risk and opportunity, and to implement improvements working with colleagues.
· Good communication skills, particularly with the ability to explain financial data to a generalist audience of senior decision-makers.

Financial Management

People Management
- Provide leadership and direction for the Finance Team.

- Co-ordinate the work and monitor the workloads of direct reports, undertaking performance reviews for Finance staff as appropriate.
- Identify individual training and development needs for direct reports and the Finance Team and assist in their development.
Service Delivery Management
- Create a culture of excellent customer service, ensuring that staff treat colleagues, students and stakeholders in a friendly manner and do everything in their power to exceed their expectations.

- To lead the development of finance IT systems to simplify and streamline approaches whilst maximising efficiencies.
Compliance Management
- Contribute to the development and maintenance of UPSU’s Risk Register.
- To update and maintain the Union’s asset register and other records of the Union’s financial and physical resources.
- Lead responsibility for any IT Service Level Agreement with the University.
- Ensure the department’s operations are compliant with national and local legal requirements including Health & Safety and the Students’ Union’s internal procedures.

They are looking to recruit an Interim Finance Treasury Manager for 9 - 12 months responsible for the operations of the Treasury Function and its development, working closely with the Financial Reporting Team.
This role is within the Financial Planning and Reporting team of the Finance, Infrastructure and Commercial Services Division, providing financial information, analysis, insight and advice to customers. The team supports University executives, academics and researchers as well as Professional Services directors and managers to achieve the University's strategic objectives. The services provided include management information, financial and strategic planning and forecasting, scenario modelling and options appraisal, risk management, stewardship and monitoring of budgets and value generation.
Reporting into the Senior Financial Accountant, this role will oversee all operational aspects of the treasury function, oversight of commissioned services provided by the PS Connect, month end treasury routines alongside the Financial Reporting Team, and support the Senior Financial Accountant and Director of Finance in strategic treasury activities as required.
You will provide reports to senior management and Council to demonstrate compliance with treasury management, demonstrate how cash is effectively invested, as well as statutory accounts preparation.

As a debt adviser you will provide advice, support, and money management help to people struggling with problem debt. This will include helping callers to form a budget, prioritise their debts and identify possible solutions, in compliance with Financial Conduct Authority (FCA) regulations. You will be required to think and work out solutions for the client.
This is a role for resilient candidates who are consistent in approach and can demonstrate that they are able to deal with subjects that can be highly emotive and sensitive. Training and assessments are intense and there is a requirement to manage your own development during and outside working hours to stay up to date with new legislation in this arena. You will need initiative to research some of the finer technical points of debt advice. The calls they receive and productivity targets you need to achieve are challenging and you will be dealing with vulnerable clients daily who may be experiencing poor mental health or at risk of suicide.

Purpose of Role
The Finance Business Partner is the bridge between Finance and the other Directorates we support. The focus of the role is to provide finance expertise to budget holders to help them to understand their financial information and make informed decisions about their areas.
It is someone who truly partners with budget holders, to understand the key drivers, needs and priorities of different areas of the organisation and works with the relevant stakeholders to deliver our ambitious strategic goals.
The role
Support to budget holders:
- Develop and maintain a thorough working knowledge of all areas of the organisation.
- Establish strong relationships with and become the finance point of contact for budget holders with queries.
- Review monthly performance with budget holders and agree any revisions that are needed.
- Provide high quality financial support and training to budget holders on processes to develop effective budget management and controls.
- Implement and maintain strong business processes to support record-keeping, analysis, and good decision-making.
Monthly reporting process:
- Support the Head of Finance with month end process, to include: reconciliation of legacy funding with outsourced support organisation, accruals and prepayments.
- Run and review cost centre reports prior to sharing with budget holders.
- Distribute cost centre reports to budget holders and discuss variances .
- Compile incorrect transactions from budget holders and post correcting journals. Investigate reasons for mispostings and instigate corrective action.
- Produce management accounts and related variance analysis for Executive Leadership Team.
Budget and quarterly forecasts:
- Lead and coordinate the annual budget process, 3-year planning and quarterly reforecasting.
- Produce templates and guidance to support budget holders with budgeting and forecasts.
- Arrange meetings to discuss and support budget holders with completion of templates.
- Work with the Chief of Staff to align the annual budget and business planning processes.
Funder proposals and reports:
- Support Fundraising team and Programme implementation teams with proposals to funders.
- Work with budget holders to develop and maintain list of funding, timelines and reporting requirements.
- Prepare financial reports for external funders.
Ongoing support:
- Work closely with the Fundraising team to improve and strengthen reconciliations, reporting and system links between the CRM system (Salesforce) and the Finance System.
- Develop and deliver training to staff and volunteers on finance processes and understanding financial information.
- Support with the development and monitoring compliance of the financial policies and processes and controls.
- Support Finance process improvement activities.
Finance team tasks:
- Creation of and running reports and transaction queries from SUN systems using Q&A.
- Managing quarterly VAT return process.
- Support annual external audit to include preparation of schedules and financial statements/notes.
Undertake such other duties as may be reasonably required of the post holder by the Ramblers.

Qualifications
- Qualified Accountant (ACA, CIMA, ACCA, CiPFA or equivalent formal qualification) or in the final stage of qualification.
Knowledge and Experience
- Substantial experience of charity fund accounting (SORP).
- Knowledge & extensive experience of finance systems (SUN systems desirable)
- Knowledge of CRM systems (Salesforce desirable).
- Experience of business partnering in the charity sector, working with budget holders to prepare departmental and project budgets and forecasts.
