Endometriosis impacts the physical and mental health of 10% of women and those assigned female at birth, from puberty to menopause - although the impact can be felt for life. Yet it’s a disease most people have never heard of, do not understand and that has no cure. It costs the UK economy around £8.2 billion every year in healthcare costs, loss of work and treatments and yet it isn’t recognised by most employers. Eclipse is looking for a competent, organised and experienced Finance and Operations Manager to join the organisation during a period of transition.  The Finance and Operations Manager will be responsible for managing the finance support service for the organisation together with operational support for Governance, Admin & HR.

Purpose of the Post

• To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
• To be responsible for effective management of the day-to-day office administration, and HR processes.
• To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
• To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.

The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.

Terms and Conditions

Salary: £35,000 gross per annum (pro rata if applicable)

Location: Working from home with some working from company office in Leeds with reasonable notice

FTE / Hours: Full Time (1.0 FTE) at 35 hours per week, plus a compulsory break for one hour. Part-time options of 0.5 to 0.8 FTE would be accepted.

Holidays: 28 days per year (including statutory Bank Holidays), pro rata if applicable

Term: 1-year fixed term contract, with a view to extend following a contract review

Role responsibilities
The Finance & Operations Manager is responsible for:

Finance

• Preparation, monitoring, and control of the budgeting and forecasting processes.
• Provision of clear and timely management accounts to the senior team and Board of Trustees.
• Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
• Liaising with the external payroll provider and payment of monthly salaries.
• Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
• Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions. 

Governance

• Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
• Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.

Administration & HR

• Day to day responsibility for managing the HR function of the company.
• Keeping in contact with and responding in a timely manner to any queries from key stakeholders.
• Support the organisation to maintain key relationships and deliver report writing.
• General administration and office management lead.
• Management of the company calendar.
• Administration of company compliance and reporting to statutory bodies e.g. Companies House and the Charities Commission.
• Working as a central point of contact through phone and email.
• Management of the company administration systems.
• Support the delivery of contracts and letters of agreement.
• Support recruitment and onboarding processes.
• Support accommodation, travel, logistics, and tour-booking processes.

For over 35 years Ethical Consumer (ECRA) has been the hub of the ethical consumer movement, helping consumers to shop ethically, campaigners to challenge corporate power and businesses to improve their supply chains. The role of the board is to help ECRA to meet its long term goals and to move its social purpose forward. 

Board members meet quarterly to assess and advise on the progress that ECRA is making. Meetings normally last two hours. We also hold an annual strategy session to address issues chosen by the board. Board members may attend these meetings by zoom or in person (in Manchester) at their convenience. Travel expenses can be paid. Board members are paid £125 for each meeting attended during the year.

About the post of CEO

JOB DESCRIPTION

Strategy and Operations

1. Develop, implement, and lead execution of the charity's annual operational plan and 3-year strategic plan.

2. Identify appropriate level of staffing, volunteering, ensuring that all staff and volunteers are appropriately interviewed, vetted, inducted, trained, developed, and supported to deliver against their objectives.

3. Ensure appropriate upkeep, security, and management of the charity’s premises, including all relevant contracts and payments.

4. Ensure that the charity’s IT systems are fit for purpose and compliant with relevant law.

People

5. Line management of seven staff members, and responsibility for staff and team development, cohesion and appraisals.

6. Recruit and support social club facilitators and appropriate consultants to provide additional resource to the charity as required.

7. Lead staff member for safeguarding, liaising directly with Hammersmith and Fulham Adult Social Care.

8. Ensure appropriate mechanisms and safeguards are in place to support up to 100 regular volunteers, and up to 100 additional corporate/student volunteers.

9. Ensure appropriate mechanisms and safeguards are in place to support up to 500 beneficiaries and additional attendees at FGN events.

Finance and Fundraising

10. Develop, implement, and lead charity’s financial and fundraising planning and management, ensuring that the charity operates at least at break-even, ideally with a small surplus.

11. Ensure that the charity has a diverse range of income across various streams, inclusive of (but not limited to) public sector, trusts and foundations, corporate income, events, and online giving.

12. Ensure that the charity is receiving value for money with all expenditure, ensuring contract review on a timely basis as appropriate.

13. Ensure appropriate cashflow projections so that expenditure does not exceed income in any one year unless pre-agreed with trustees.

14. Ensure that appropriate financial controls are in place so to protect charity and anyone handling money on behalf of the charity.

15. In conjunction with the finance administrator and hon. treasurer monitor all income, expenditure, accounts, funding investments and budgets.

Governance

16 Ensure compliance with charity and company law, inclusive of writing, presentation and filing of annual report and accounts and other Company Secretary duties.

17 Organise, attend, record and report at board meetings every two months, inclusive of finance and operations reporting and the regular cycle of governance reviews.

18 Plan, organise and attend AGM and annual strategy session.

19 Ensure appropriate level of risk management and insurance are in place for the charity.

20 Ensure all relevant policies, procedures and financial controls are in place, inclusive of annual review.

Communications and Impact

21. Represent and promote the charity in public, sourcing media opportunities as appropriate so to increase visibility.

22. Represent the charity on appropriate networks and forums so to develop stakeholder relationships and source opportunities for cross-partner collaboration.

23. Ensure positive, fit-for-purpose, internal and external communications, inclusive of monthly newsletters, social media presence and other marketing materials.

24. Ensure appropriate monitoring and evaluation of projects and develop relationships with academic institutions and/or research consultancies where possible so to elicit external perspectives and scrutiny of the charity’s work.

PERSON SPECIFICATION

These are newly created administrative roles to increase capacity in Londonwide LMCs, the membership organisation representing approximately 7,000 NHS General Practitioners in nearly 1,200 practice teams in London, providing pan-London leadership and shared committee services for its members. An exciting opportunity has arisen to join our Primary Care team which supports committee effectiveness and ensures representation within Local Medical Committees within London. The post holder will report to the Director of Primary Care, working across local committees within the Primary Care team.

ABOUT THE ROLE

We have an exciting opportunity for a Head of Compliance, Risk and Audit to join the wider Compliance, Audit and Risk team at SIG! You will have the overall responsibility of keeping participants, residents, and staff safe. The team manages the development, monitoring, and reporting of several areas including but not limited to accidents, incidents, and near misses (AINMs), safety reviews, safeguarding, whistleblowing, complaints, policy and procedure, health and safety, internal audit, business continuity planning and data protection.

As The Head of Compliance, Risk and Audit, you are the lynchpin of the wider team, linking strategic vision with solid and accountable implementation. You will be responsible for developing the team in the broad space of compliance as well as in their own areas of specialism, ensuring that a transparent and accountable compliance framework is implemented and embedded in line with regulatory and legislative change.

Working Pattern: 37.5 hours per week, Monday to Friday. At least 2 days per week in central office (Islington) and our services which are in and around London, Brighton & Hove, Kent, Havering, Bedford, Luton, Nottingham, and Liverpool.
The additional 3 days can be worked from home. You may at times be required to visit a service more than 2 times within a week.

OVERVIEW OF KEY RESPONSIBILITIES

• Line Management and leadership throughout employee lifecycle this includes; Recruitment, Onboarding, Inductions, training, support and supervision, relations, wellbeing support, and other areas.
• Formalise Key Performance Indicators (KPI’s) and Service Level Agreements (SLA’s) to monitor objectives.
• Provide both line management and professional consulting using best available forums and mechanisms, including meetings, support effective teamwork and communication. Facilitate a culture where constructive challenge is welcomed, and conflict is managed supportively in line with relevant policies and procedures.
• Deputise for the Director as required.

Safeguarding, Audit, and Compliance

• Oversee the compliance audits across departments and services, providing support, and follow up with operational teams on a regular basis.
• Oversee the Safeguarding infrastructure, deputising for the designated safeguarding lead (DSL) as necessary. Oversee complaints and other processes and develop these to ensure they are safe, fair, equitable, and fit for purpose.
• Support services with commissioner led quality assurance framework (QAF) inspections and those registered with the CQC to maintain their portfolios and ensure they are ready for inspection at any time to retain their registrations.
• Promote and support a positive whistleblowing culture, assist Champions, People and Culture, managers and the audit and compliance team on concerns raised and ensuring the whistleblower is protected.

Reporting and Analysis

• Attend and develop AINMs review meetings for maximum impact in terms of positive safety culture. Ensure the lessons learned from AINMs reviews, safety reviews, and safeguarding concerns are shared and feedback loops are closed.
• Review the collation and analysis of AINMs and Safeguarding alerts, developing the Audit and Compliance team, as well as other operational teams in reflection and root cause analysis

Data Protection

• Monitor the use of external data protection and compliance partners to ensure we maintain ICO requirements and maintain our Data Security Protection Toolkit Certification.
• Monitor and ensure integrity in document control, policy, and procedures as they are developed, reviewed, and published.
• Understand and support an Information Security infrastructure alongside additional teams in the organisation and support Managers and teams with training and challenges where necessary.

KEY CRITERIA

What we are looking for:

• Proven experience in complaints and incident handling, safeguarding, data protection, and audits
• Proven experience in governance systems and structures which can include auditing, risk management, investigations, complaint handling, policy, procedure, and report writing
• Experience and/or ability to coach, develop, and manage direct reports
• Background in health, social care, criminal justice, and/or supported housing systems
• IT Proficiency, ability to learn new software programs, and ability to confidently use and utilise Microsoft programs
• Adequate understanding of the importance and mechanics of document control and writing policy and procedure
• Working knowledge of health and safety processes and procedures
• Ability to write reports in a clear, readable format

The role will include ensuring that project leads have the tools, systems and processes in place to deliver against their grants, whilst adhering to organisational and donor-specific compliance standards.

The Global Wind Energy Council (GWEC) is a high-profile organisation and trade association leading the international clean energy transition as the world seeks to stay within 1.5c global warming target. Our mission is to ensure that wind power establishes itself as the answer to today’s energy challenges, providing substantial environmental and economic benefits.

Over the next two years, GWEC expects to rapidly scale up the number and size of the grants that we are managing globally. The post-holder will play a pivotal role in securing new grants, and building the capacity of the global staff team to effectively manage the grants once secured. The successful applicant is likely to be someone who enjoys problem solving, innovation and collaboration with multiple departments and individuals. 

Headline overview of responsibilities: 

- Grant identification and pipeline management: Conduct research to identify potential grant funding opportunities. Conduct research and analysis on the reporting and financial requirements of prospective donors. Maintain the funding pipeline/ grant management database

- Grant application oversight: Manage the end-to-end grant application process for new grants.

- Budget and financial management: Collaborate with the project and finance teams to develop project budgets. Monitor spending against grants in relation to activities delivered. Ensure Project Leads receive monthly spend updates. Ensure donor budgets are utilised as directed, financial reporting is on-track, and any alterations are communicated internally and externally. Support Project Leads to re-forecast budgets.

- Grant compliance: Ensure compliance with grant agreements, reporting requirements, and regulatory guidelines. Ensure that the project delivery team is inducted on contractual obligations, and provide support and advice regarding adherence to contracts throughout the grant period. Support on grant management documentation, including quality assuring processes. Support the project delivery teams in the preparation and submission of donor reports, through until grant close-out.

- Grant Performance Management: Ensure that all grant management tools are set up with each grant’s inception period. Coordinate quarterly grant oversight meetings, and hold project delivery teams to account for delivery of projects. Ensure GWEC fulfils its obligations to donors as per grant contracts. Support the finance team to liaise with auditors throughout audits.

- Knowledge sharing: Stay informed about trends and best practices in grant funding and statutory funding. Share technical advice, grant specific guidance and project management best practices and tools. Contribute to GWECs grant-related systems, policies, processes, and guidelines.

- Strategy delivery: Support the Grants Director in the delivery of the fundraising strategy, including assuming responsibility for the delivery of identified tasks within the team’s annual work plan. Engage in regular monitoring of progress against the work plan.

Essentia Person Criteria:

• Right to work in UK or Portugal

• Fluency in written and spoken English

• University Degree (BA or Bsc)

• 3 or more years relevant  experience, in either a non-profit organisation or a grant making organisation

This causes problems for them and society. So, we offer an early intervention service for girls living in areas of deprivation to have the greatest impact.

This is an exciting role with an opportunity to lead the charity into the 150th Year of delivery and with a new strategy to address need. It will involve working with the leadership team and all departments but also the board and their support committees, the ambassadors, and presidents as well as the wonderful team of volunteers across England and Wales.

CARA’s CEO is responsible for leading and developing CARA, taking overall responsibility for the operational and financial management, generating income, working closely with the board of trustees to achieve CARA’s strategic and budgetary aims, whilst ensuring compliance with statutory, contractual, and regulatory requirements.

Strategic leadership

·Work with the Board of Trustees and the Head of Operations, and consult with staff, survivors, and others, to develop and define a clear, strong vision and direction for the future of the organisation.

·Lead on and be responsible for the creation, ongoing development and implementation of the organisation’s strategic, business and annual plans.

·Foster, model and promote an inclusive, feminist, anti-racist organisational culture that reflects CARA’s ethos and values.

• To act as lead representative for CARA in the Synergy Essex Rape Crisis Partnership, developing strong working relationships with the other partners and negotiating CARA’s role, responsibilities and the financial allocations it receives from the partnership. 
• To keep up-to-date with current developments affecting victims and survivors of sexual violence and ensure that CARA responds appropriately to these developments.
• To be the chief spokeswoman for CARA, responding to media and other enquiries as appropriate and playing a pro-active role in bringing relevant issues to the attention of the public, issuing press releases and initiating debate, as appropriate.
• Build, support and oversee strong relationships with individuals and organisations across the voluntary, public and private sectors, and in local and national government.
• To contribute to Rape Crisis England and Wales campaigns and other campaigns, as appropriate.
• To remain informed of national and regional Rape Crisis perspectives, drawing on Rape Crisis England and Wales expertise and resources as appropriate.

Organisational management

·Ensure policies and processes that support good communication, staff health and well-being, and safe and effective delivery of work are in place and adhered to throughout the organisation.

·Take overall responsibility for the staff team, its management and performance.

·Capture the organisation’s work through robust monitoring and evaluation, and ensure CARA’s impact and any learning is shared throughout the team and with the Board, survivors, funders and other partners as appropriate.

·Oversee and ensure robust financial management processes for the charity.

Other

·To oversee safeguarding at CARA, working with the Designated Safeguarding Leads to ensure effective policies and procedures are in place and communicated to staff, trustees, sessional counsellors and volunteers, and that CARA follows best safeguarding practice.

About Synergy Essex

CARA is part of Synergy Essex – the Essex Rape and Sexual Abuse Partnership. We work with SERICC Rape and Sexual Abuse Specialist Service and Southend-on-Sea Rape Crisis (SOS Rape Crisis) to deliver the contract for the Office for the Police, Fire and Crime Commissioner (PFCC) for Essex for services for victims and survivors of sexual violence and child sexual abuse across Essex, Southend and Thurrock. Synergy Essex also shares a number of other projects, funded by the Ministry of Justice, Essex County Council and the National Lottery Community Fund.

Our current PFCC contract ends in March 2025.  Synergy Essex intends to submit a bid for the new contract, which is expected to be put out to tender in the summer of 2024.

Day-to-day support across the charity including, but not limited to:

• Support the Head of Finance and Governance with relevant Trustee checks and forms, ensuring compliance with Companies House and Charities Commission.

• Collate monthly quarterly Global Board updates, liaising closely with SMT.
