Duties and key responsibilities:
Office Maintenance
- Oversee the general maintenance of the office.
- Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.
- Ensure the office and meeting rooms are well-maintained.
- Manage Sarcoma UK storage, ensuring it is fit for purpose.
- Liaise with office contractors and service providers to ensure the office runs efficiently.
- Assist with office refurbishments, expansions, and relocations.
Administration
- Be the first point of contact for all enquiries to our telephone switchboard and info@ mailbox, responding in a timely manner to all enquiries and delegating across the team where relevant.
- Manage the daily postal system including opening post and recording donations on the finance spreadsheet.
- Managing deliveries to the office and organising couriers.
- Organise travel and accommodation bookings across the whole charity including fundraising events.
- Organise travel, meetings and staff attendance at events including the British Sarcoma Group conference.
- Make any bookings and arrangements for the team that involve financial transactions, for example booking travel, conferences, training courses, flowers for supporters and event purchases.
- Provide meeting room management, including bookings and catering.
- Carry out ad hoc administrative tasks for other departments when requested e.g. fundraising and information send outs during busy periods or absence.
Health & Safety
- Ensure compliance with health and safety procedures, maintaining a safe working environment in the office. This
- Regular health and safety inspections of the office and workstations.
- Carry out regular DSE tests
- Arranging regular PAT tests
- Cary out fire risk assessments (training will be provided)
- First aid assistance and maintain the first aid supplies (training will be provided)
- Review and update the health and safety policy.
Other
- Support the operations team when required, this will include finance, database, and HR functions.
- The post holder will be working in a developing environment, and they will therefore be required to undertake other appropriate duties as necessary for the efficient operation of Sarcoma UK.

The role of Finance Administrator is a crucial one in our small Finance team, where the successful candidate will be responsible for maintaining financial records. This position requires strong organisational skills, an attention to detail, enthusiasm for figures and good financial practice. The post holder will coordinate and provide information-based sexual health outreach services, testing and brief HIV prevention interventions in commercial venues and at events across London. Interventions will predominantly target people who may be at higher risk of HIV and STI acquisition, particularly amongst higher prevalence communities such as Gay, Bisexual and Men who have Sex with Men (GBMSM), Black African and Trans communities. This role will involve working within sex on premises venues frequented by GBMSM and would therefore be best suited to someone from that community. This position is only open to applicants who identify as male (Equality act 2010 Schedule 9 Part 1) as the role will involve working in male only venues.
Programme
The post holder will be a member of the GMI Partnership team, based at METRO, working closely with their counterparts at other GMI partner agencies (Positive East and Spectra). The partnership is the main provider of the London HIV Prevention Programme, a sexual health and HIV testing outreach programme for GBMSM, across the capital. The post holder will be responsible for liaising directly with other contract partners and being a main point of contact for various outreach venue providers. The worker will form part of the METRO HIV Domain and will support the overall HIV prevention services provided by the charity.

Head to Toe, the charity of Cambridgeshire and Peterborough NHS Foundation Trust (CPFT), has been awarded a 3-year grant to support patients receiving end of life care. This is a partnership between Head to Toe, CPFT voluntary services, NHS community nursing teams, and charity end of life volunteering specialists, the Anne Robson Trust.
Working alongside healthcare services, you will co-ordinate a group of compassionate, dedicated volunteers, who will support members of their local community in the last months of life, providing company, comfort and companionship to patients across Cambridgeshire and Peterborough.
You may have experience in similar projects, or come from a clinical background, but will understand and champion the role of volunteers in enhancing NHS services and patient experiences. These are newly created administrative roles to increase capacity in Londonwide LMCs, the membership organisation representing approximately 7,000 NHS General Practitioners in nearly 1,200 practice teams in London, providing pan-London leadership and shared committee services for its members. The organisation has an important role to Value, Care for and Protect general practice.
An exciting opportunity has arisen to join our Primary Care team which supports committee effectiveness and ensures representation within Local Medical Committees within London. The post holder will report to the Director of Primary Care, working across local committees within the Primary Care team.
The focus of this role is to provide administrative support to Local Medical Committees, enabling the smooth running of Committee meetings. It would be helpful if candidates have a contextual understanding of the health environment or other public sector environments that we work in, along with excellent administration and note-taking skills. We would like to hear from candidates who have experience of:
- Owning the administrative tasks required to ensure Committee meetings have professional and timely agendas, papers and minutes/action records.
- Attending Committee meetings to support the facilitation of the meetings and ensuring accurate record keeping of meeting content.
- Working flexibly to provide cover across teams and for other Committee Administrators across Londonwide as required.
As an organisation, we work flexibly, and regular home working is supported. The post is contractually based at our offices located in central London near Euston where we host quarterly connect days for all staff. Whilst regular home working is supported, some travel or office attendance may be required to attend preplanned meetings.
We have two full-time (35 hours per week), permanent posts available, but applicants seeking part-time/job-share roles are welcomed. The salary for the role will be £30,000 pa plus membership of the group personal pension scheme with a 16% employer pension contribution (£4,800 making total remuneration £34,800). Benefits include 25 days’ annual leave, flexitime and other flexible working options. The Operations and Marketing Manager plays a crucial role in the ISG, overseeing both organisational operations and marketing efforts. This position ensures the maintenance of high standards, adherence to regulations, best practices, and organisational efficiency. The role requires maintaining close relationships with the ISG Board, management team, staff and volunteers, ensuring a cohesive and integrated approach to achieving the ISG's mission.
Key Responsibilities:
Administration and Operations Management
- Develop, maintain, and enhance operating policies, procedures, and principles.
- Enhance governance frameworks and operational strategies.
- Forge and maintain external partnerships to bolster the organization's objectives.
- Oversee office management and serve as the minute taker at key meetings.
Marketing
- Lead branding and marketing initiatives to promote ISG and ichthyosis effectively.
- Lead the creation, distribution, and management of ISG literature and digital content.
- Support educational events, activities, and social media engagement.
- Manage the ISG newsletter and email communications.
Finance and Accountancy Support
- Enhance financial systems, procedures, and record-keeping.
- Provide support for annual accounts, bookkeeping, and financial documentation.
Administrative Systems
- Oversee the ISG database, CRM systems, and operational platforms.
- Ensure secure and efficient information sharing and storage and maintain external communication channels.
General Enquiries

- Lead the identification, application, and management of grants and funding opportunities.
Fundraising

- Support and enhance member and external fundraising initiatives.
Event Management
- Coordinate and manage ISG events, liaising with third parties, participants, and volunteers.
Volunteer Coordination
- Develop volunteer recruitment and management strategies, supporting national, regional, and online volunteer activities.
Reporting
- Responsible for the preparation and management of various organizational reports.
Qualifications and Experience:
- Proven experience in operations and/or marketing management, preferably in a nonprofit or similar setting.
