The Database Assistant will maintain Symplectic Grant Tracker, a key organisational database, ensuring all data is accurate and meaningful. This database holds the application portal for organisations and is how the Grants & Learning Team manage and support funded partners with their grants. You will undertake regular database administration tasks, such as adding new users, updating forms, importing data and amending the database where required by the team.
You will play a key role in the organisation around GDPR and data protection, working alongside the Database Administrator with a focus on our Salesforce databases, to ensure consistency across both systems. You’ll be working within a team that advocates for evidence-led decision making and a sustainable data culture.
You’ll be a member of the Communications & Marketing team, reporting into the Insights Manager. You’ll also be working closely with the Grants & Learning Team who are responsible for delivering our ambitious, nationwide grants programme and who currently support over 500 grassroots organisations and 18-25 year old creatives. This role will be responsible for ensuring that the correct information is stored effectively and is easily accessible, reportable and usable on Grant Tracker. The Database Assistant will assist us to demonstrate delivery against our Business Plan by programming our grants database to be the most effective at collecting and producing the data output needed by the team.
This new role will be a reliable support for users across the organisation, providing helpful and friendly support.

You will have experience with databases, excellent administration, communication and analytical skills, and a keen eye for detail. Purpose of the role
The Facilities Manager will be a key member of NAE’s operations team, responsible for overseeing the maintenance and operations of our 4-storey building (including gallery spaces, meeting rooms, performance space, workshop, artist studio, cafébar, plant room and technical storage) is fit for purpose.
Main duties of the role
Oversee planned preventative maintenance (PPM), testing/inspections, and reactive repairs across all building services including but not limited to plumbing, electric wiring, HVAC, lifts, film alarm, emergency lighting, fire extinguishers and suppression systems, intruder alarm, CCTV, access control, pest control, etc, within budget.
Ensure NAE’s building is always well-presented, clean and aesthetically in a good state of repair, ensuring all areas are maintained in a tidy and well organised.
Responsible for the management of the facilities budget, including negotiating the best possible value across utilities, contracts and service level agreements.
Ensure all maintenance and service works take place with agreed SLA’s, is delivered on time and to budget and service reports and other filing is well managed.
Responsible for Health and Safety across the building and organisation including health and safety policy, fire strategy, risk assessments covering all areas of the building and specific RAs for each event, safe systems of work, accident/incident reports and compliant filing.
Responsible for building security systems, keys and fobs, alarm monitoring and keyholding services, and alongside the General Manager oversee emergency procedures & act as a fire warden.
Responsible for premises cleaning (including line management of two part-time cleaners) and associated services such as waste management and sanitary collections.
Support the Executive Director to develop and implement an Environmental Policy to ensure that NAE considers the environment within all new and existing suppliers’ arrangements.Responsible for carbon footprint reporting.

We are delighted to be partnering with The Leche Trust in the search for an experienced, highly organised Grants Director.
Established in 1950 through the endowment of its founder, Angus Acworth, The Leche Trust is an independent funder dedicated to supporting charities in the performing arts and heritage conservation sectors across the UK. With an annual distribution of approx. £240,000 in small grants, the Trust plays a vital role in nurturing cultural heritage and artistic endeavours. As part of its ongoing commitment to excellence, the Trust is transitioning to become a Charitable Incorporated Organisation in 2024.
As the sole employee of The Leche Trust, the Grants Director will spearhead the Trust's operations and day to day management, providing invaluable support to the Trustees while managing relationships with external stakeholders and funding networks. The successful candidate will play a pivotal role in administering grants, overseeing governance and secretarial duties, managing financial administration, and facilitating effective communication both internally and externally.
Example of responsibilities:
- Manage the grant programme and smaller funds for conservation bursaries and research projects.
- Review and process grant applications, compile final grant recommendations for board review and notify applicants of decisions.
- Oversee grant contracts, payments and ongoing communications with grantees.
- Conduct light touch monitoring of funded projects and share insights with trustees to inform future strategy.
- Prepare meeting agenda and papers in consultation with the Chair of Trustees.
- Record accurate minutes of meetings and manage administrative tasks related to governance.
- Develop annual budgets, monitor expenditure, liase with auditors and investment managers to facilitate financial reporting and management.
- Respond to all enquires as required.
- Maintain the Trusts' online presence, ensuring website is kept up to date.
- Collaborate with other grant-making charities on ad hoc projects.
The Grants Director requires an ability to work independently, self-direct and prioritise.
We're looking for someone who's experienced in grant making process and systems, who also has knowledge of good practice in charity administration and governance. They will require excellent communication skills and have some experience working directly with a board of trustees. We're also looking for someone who has a good understanding of either the UK performing arts sector or the UK heritage conservation sector.

The Producer, Early Years & Families is a 2.5-day part-time fixed term role (August 2024- August 2025), responsible for the planning, delivery, development and evaluation of Modern Art Oxford’s programme offer for babies, toddlers, young children and their families and carers. The position forms part of the Communities, Practice & Participation team (CPP) and is managed by the Head of Communities, Practice and Participation (CPP) at Modern Art Oxford (MAO).
Person Specification
We are looking for an arts professional (artist, curator, educator) with strong interest in creative socially-engaged practice and with a minimum of three years’ experience devising and delivering early year’s projects, working with children from all backgrounds. This role requires a highly proactive team worker who demonstrates the importance of effective, consistent communication in a dynamic organisation delivering a range of engagement activities. It is imperative that the position holder is astute in observing safeguarding practices for all workshop participants in accordance with Safeguarding and Health & Safety policy, which includes risk assessments ahead of workshops.
