Summary of the role:
This role will provide day-to-day administrative support and project support to the department head and the overall team to ensure the successful delivery of the organisation’s operations in an efficient manner. This role will focus on generating reports, tracking progress, and ensuring all the necessary processes relating to compliance, finance and HR are completed in a timely and accurate manner.
About the Role:
- Develop a thorough understanding of Muslim Aid’s work areas in order to ensure strategic linkages / appropriate dissemination of information or assignment of actions.
- Develop, maintain and review administrative systems to achieve maximum efficiency and to have high-level exposure across the organisation including admin, finance, IT, HR, supporter services, IP, comms etc.
- Prepare purchase orders and document payments according to Muslim Aid’s financial procedure and in conjunction with the Finance team to ensure speedy payment of invoices for internal / external stakeholders.
- Assist the Head of Income Generation and Marketing with the preparation of PowerPoint presentations, documents, briefing papers, action points and reports as requested and to track work across all relevant departments to ensure the nominated Manager undertakes action within the agreed timeframe.
- Provide administrative support to Head of Income Generation and Marketing in preparing and drafting correspondence, booking meetings, minute-taking, planning and supporting events, organising travel and preparing travel itineraries and relevant tasks as required by the Head of Income Generation and Marketing.
- Be the gatekeeper and first point of contact to stakeholders, assessing priorities, redirecting calls, enquiries, and face to face meeting appointments.

Job Purpose:
The Fundraising and Administration Officer role primarily focuses on providing excellent supporter care and administrative support within the fundraising department. This role plays a crucial part in maintaining supporter relations, optimising fundraising efforts, and ensuring efficient administrative processes are in place.
Key Responsibilities:
Supporter Care:
- To be a first point of contact for the Fundraising Department, answering the phone and meeting and greeting people who arrive to the office.
- Respond to enquiries from supporters, prospective supporters and volunteers via telephone, e-mail, and post, maintaining excellent supporter relations.
- Ensure timely and appropriate acknowledgments, using both standard and bespoke correspondence.
- To adhere to administrative procedures to ensure the delivery of a high-quality service which is compliant with all relevant legislation, policies, regulations, and guidelines.
- Provide admin support for Direct Mail letters and appeals, including the use of mail merge, when required.
- Assist with the ongoing stewardship of Regular Givers.
Community Fundraising:
- Co-ordinate the recruitment and appropriate use of volunteers to support fundraising.
- Develop relationships with volunteer fundraisers, with the aim of maximising the funds they raise through challenges, events and talks.
- Support the formation of volunteer fundraising groups.
- Support ongoing and new events within the UK, which may include occasional weekend and evening work.
- Take the lead with the co-ordination and administration of public collections in the UK.
- Take the lead in monitoring fundraising merchandise, and liaise with suppliers, for fundraising materials, including Christmas Cards.
Digital Marketing:
- Support in developing UK digital fundraising opportunities.
- Administer digital acquisition campaigns in the UK e.g. through digital advertising, to generate new donors.
Database Management (Training will be provided):
- Create and maintain contact records on Salesforce, ensuring supporter information is kept up to date by recording changes to mailing preferences, gift aid eligibility and contact details etc.
- Database maintenance and housekeeping e.g. identifying and merging duplicate records, removing, or archiving redundant data, adhering to GDPR protocols.
Finance Administration (Training will be provided):
- Efficiently process and reconcile incoming donations, received daily by post, online and phone. Bank cheques and cash on a weekly basis, and process credit card and CAF donations.
- Record all donations to Salesforce, ensuring the accurate coding of income to the correct source and supporter.
- Administer new Direct Debit instructions.
- Support monthly and quarterly reports demonstrating fundraising income received against budget, to inform the management team and provide accurate forecasting.
- Scan and upload credit card statements and invoices for payment by the Finance team.
- Record and reconcile petty cash expenditure.
- Assist the Finance team in the reconciliation of all income received, responding to any queries.
General Office Administration:
- Order office stationery and fundraising supplies, as required.
- Co-ordinate general office maintenance, as required.
- Arrange accommodation for staff travel to Shrewsbury.

We are Ada, the National College for Digital Skills, a high performing technical college with the mission of educating and empowering the next generation of diverse digital talent.
We work with a fantastic roster of partners such as King, IBM, Deloitte, Salesforce and Bank of America and offer an innovative, supportive sixth form experience for our 150+ students that prepares them to be digital pioneers achieving both academic success and, more importantly, setting them up for successful careers in tech. This is an exciting time to join Ada in our new state-of-the-art campus , just a few minutes walk from Victoria station. This new campus provides us with the capacity to significantly increase our student volumes and meet our ambitious target of transforming 10,000 lives by the end of 2030 while ensuring that we achieve our mission to make the tech sector more representative targeting 50% of learners to be female, 50% to be from ethnic minority backgrounds and 50% to be from low income backgrounds.

This year we are celebrating 10 years since I co-founded the college. So much has changed but our focus on supporting underrepresented people into tech jobs has remained central. This role is situated right at the heart of our mission; your direct actions will help impact the career trajectory of our students. We have dozens of stories of the amazing jobs that our learners have gone on to achieve and the flourishing lives that they are now living. We are looking for someone that can increase the scale and success rates of our apprenticeship applicants so that even more young people can reap the benefits of their unique tech education.

We are looking for an Apprenticeship Outreach Officer who is super passionate about our mission, to educate and empower the next generation of diverse digital talent, and is focused on preparing and providing support to our Sixth Formers in their journey through the apprenticeship application process.

Key responsibilities of this role include:
- Working with your line manager and where delegated, the Apprenticeship Outreach Programme Manager, to create bespoke events and short courses for potential apprentices.
- Building relationships with our Sixth Form learners through their 2 years at Ada and helping them prepare for the different stages of the apprenticeship application process.
- Linking apprenticeship opportunities to specific Sixth formers.
- Social media promotion: working with our marketing manager on SM campaigns to raise awareness of Ada’s short courses, partnerships with employers and open recruitment campaigns.
- Completing the legacy apprenticeship recruitment activity for Autumn 2024 and Spring 2025.
- Shortlisting Sixth Form candidates for any exclusive apprenticeship opportunities.
- Assisting the Sixth Form Outreach and Recruitment team with event planning, administration and delivery including outreach events (Careers Fairs, Open Days, Lift-off days, school visits to Ada and Keep Warm events. (This will involve commitment on some weekends and evenings during busy times.)
- Assisting with wider college events.
- Supporting the Sixth Form recruitment effort as needed through the administration of the application process.
- Keeping accurate records, inputting data into Ada’s systems and exporting relevant information to produce reports and dashboards.
- Assisting with tasks and administration in the wider teams including Reception and Front-of -house, facilities and External Relations.

Essential
- You have a passion for career support and employability.
- You have excellent communication skills including written and verbal, both face to face and on the phone.
- You have the ability to communicate effectively with a variety of audiences; both educational and corporate.
- You are accurate with excellent attention to detail.
- You are a confident user of technology and productivity tools such as calendars, spreadsheets, trackers and databases.
- You have experience working in administration. Experience of admissions and / or outreach would be a bonus!
- You are willing to work flexibly, where necessary outside of normal working hours, and to travel around London, as necessary for the role.

- You are willing to develop and demonstrate public speaking skills.

This role is an opportunity for a Paralegal to join a large in-house legal team and work on a broad range of matters. It will specifically involve supporting the Agreements, Information and Disputes (AID) team within legal services, consisting of five lawyers.
The successful candidate will be required to work across areas of law including but not limited to information law, contracts, intellectual property, procurement, subsidy and state aid, insolvency, recoveries and public law. In addition to providing research, drafting and general support to the Fund’s lawyers, it is expected that the Paralegal will handle matters under supervision and use legal knowledge to improve the Fund’s internal processes and precedents.
The bulk of the Paralegal’s workload will consist of legal support work however the candidate will also be expected to perform some administrative tasks and cover for the team’s administrative officer when required.
Experience working in a fast paced in-house or private practice environment would be ideal with legal research and IT literacy an advantage. Knowledge of insolvency and debt recovery would be desirable.

We are recruiting for an enthusiastic and proactive individual to join our Finance Team in the role of Finance Assistant.
The Finance Assistant supports all aspects of the Hallé’s work at the Bridgewater Hall, the Hallé Venues and concert halls across the UK.
The Finance Assistant works in a department currently comprising Finance Director, Finance Manager, Assistant Finance Manager and Finance Assistant.
The department is responsible for all aspects of the financial affairs of the Society and its related trusts. The Finance Assistant is responsible to the Assistant Finance Manager.

They will also need to work collaboratively with colleagues across the wider Hallé as well as with external customers and suppliers.
The post is full-time permanent based on a 36.25-hour week. Our core office hours are 09.00-17:15, from Monday to Friday. There is an option to work up to 50% of hours from home.
