The Concerts Team
The LSO’s Concerts team meticulously plans and organises all of the orchestra’s live and online performances, including the LSO’s main residency at the Barbican Centre; other UK concerts; commercial studio recordings; overseas tours; and all rehearsals.  The team develops key relationships with the LSO’s musicians, extras, conductors, composers, soloists, artist’s agents, promoters and other venues

Overall Responsibilities of the Tours Assistant/Coordinator:

• Prepare and follow up cost estimates, contracts, technical riders and invoices for tours and UK concerts 
• Coordinate logistics for overseas tours including travel, accommodation and per diem rates for the Orchestra. 
• Prepare, label and assist in distributing electronic train/flight tickets, assist in creating seating plans 
• Update and maintain the LSO diary and database (ArtsVision).
• Assist and advise players with their immigration arrangements. 
• Assist with instrument freight documents for overseas tours.
• Liaise with third parties on preparations and logistics for upcoming tours.

We’re looking for a part-time Senior Operations Manager with extensive operational, business, Health & Safety, IT and HR experience. Time & Talents is a lively, busy community centre in the heart of Rotherhithe, SE16.  Set in a leafy heritage building, and ‘T&T2’, our second venue in Surrey Quays Shopping Centre, we offer something for everyone. Eclipse is looking for a competent, organised and experienced Finance and Operations Manager to join the organisation during a period of transition.  The Finance and Operations Manager will be responsible for managing the finance support service for the organisation together with operational support for Governance, Admin & HR.

Purpose of the Post

• To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
• To be responsible for effective management of the day-to-day office administration, and HR processes.
• To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
• To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.

The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.

Terms and Conditions

Reports to: Senior Change Director

Other reporting: Board of trustees

Line manages: Other administrative staff once recruited, external accountants, IT supplier

Salary: £35,000 gross per annum (pro rata if applicable)

Location: Working from home with some working from company office in Leeds with reasonable notice

FTE / Hours: Full Time (1.0 FTE) at 35 hours per week, plus a compulsory break for one hour. Part-time options of 0.5 to 0.8 FTE would be accepted.

Holidays: 28 days per year (including statutory Bank Holidays), pro rata if applicable

Term: 1-year fixed term contract, with a view to extend following a contract review

Role responsibilities
The Finance & Operations Manager is responsible for:

Finance

• Preparation, monitoring, and control of the budgeting and forecasting processes.
• Provision of clear and timely management accounts to the senior team and Board of Trustees.
• Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
• Liaising with the external payroll provider and payment of monthly salaries.
• Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
• Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions. 

Governance

• Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
• Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.

Administration & HR

• Day to day responsibility for managing the HR function of the company.
• Keeping in contact with and responding in a timely manner to any queries from key stakeholders.
• Support the organisation to maintain key relationships and deliver report writing.
• General administration and office management lead.
• Management of the company calendar.
• Administration of company compliance and reporting to statutory bodies e.g. Companies House and the Charities Commission.
• Working as a central point of contact through phone and email.
• Management of the company administration systems.
• Support the delivery of contracts and letters of agreement.
• Support recruitment and onboarding processes.
• Support accommodation, travel, logistics, and tour-booking processes.

The Senior Finance Officer will sit at the heart of our Operations Team, reporting to the Head of Operations and the Co-CEOs and playing a crucial function in ensuring the efficient day-to-day management of the organisation’s financial functions.

This will include all day-to-day management of our financial systems and banking, including our accountancy software (Quickbooks) and our internal financial spreadsheets. This involves recording and tracking the income expected from funders, processing invoices and payments, preparing payroll and producing monthly reconciliations and termly budgets. You will also work with our teams to ensure compliance with our financial policies, process expenses and work with our external accountants each year to provide the information needed for our accounts.

You will also research, advise and steer on both necessary changes to our processes, policies and procedures and standalone project work which may involve tasks such as reviewing our pensions processes or any savings and investments. You will understand and enjoy the challenge that working at a charity with multiple complex funding streams brings.

You will have experience of similar work, ideally in the charity sector and will be familiar with the use of both accountancy software and managing cashflows and budgets using Excel. You will have excellent communication and people skills as well as a proactive approach to problem solving and be methodical with a very keen attention to detail.

 The Veterans’ Outreach Officer will support  the Head of Veterans’ Outreach in developing and managing the programme of activities encouraging engagement and social interaction between In Pensioners and other service veterans thereby helping to alleviate the social isolation and loneliness felt by many older veterans. Responsibilities will include promoting the programme within veterans' networks and finding innovative ways to connect with veterans; the management of themed events both at the RHC and further afield as we seek to expand nationwide. The Strategic Partnerships Fundraising Manager will play a key role in driving forward our business development ambitions. You will lead the prospecting and cultivation process right through to collaborating with experts across WAGGGS on programme/product design through to bid development for some of our largest, most exciting and complex corporate funding opportunities.

Your focus will be on developing new and scaling our current programmes and projects on topics such as climate change, menstrual hygiene, leadership, gender-based violence and STEM.

About the Team:

The team is comprised of New Business Experts with a full range of bid development skills from budget building, programme design and commercial expertise required to secure high value multiyear opportunities. Alongside side new business fundraisers you will also be working with our Senior Membership Organistaion Partner, who will support and negotiate funding opportunities at a country led level.

The Strategic Partnerships Team works closely with colleagues from across WAGGGS such as the Global Programmes, Core Mission, World Centres and Membership to deliver on our objectives. About You:

The successful candidate will have significant experience in devising strategies to generate income from corporate donors, ideally within the international fundraising space.

You will be adept at maintaining and building solid working relationships with senior stakeholders and corporate partners, especially in cross-cultural settings.

You will have a good track record of budget management and delivering agreed fundraising targets.

French, Spanish or Arabic language skills are desirable but not essential.

The Senior Officer – Network, Partnerships and Programmes plays a critical role as the initial contact point for CSC’s global network of 200+ NGOs and delivery lead for our practice-based partnership programmes and Street Work training, working closely with a small but dynamic team in pursuit of CSC’s vision and goals.

The postholder will contribute towards CSC’s strategic goal to transform street-connected children's experience of the street, now, so that they are safer, with better access to services and a sense of belonging in their communities, by:

• Working with network partners to develop, evidence and model innovative & integrated rights-based approaches to supporting street-connected children and securing their rights
• Promoting and supporting skilled street work as the first, critical step in a rights-based approach to supporting street-connected children

Role Summary

• Reporting: To the Director of Programmes for Network, Practice and Children’s Participation
• Working hours: Part time 3.5 days per week (24.5 hours)
• Salary: £34,000 pro rata
• Annual leave: 25 days + 8 Bank Holidays pro rata to a total of 23 days
• Pension: Employer contribution of 5% of gross salary
• Location: Hybrid, with at least one day per week at CSC’s office in St Margaret’s House, London, E2 9PJ
• Duration: 1 year fixed term

Specific Tasks and Responsibilities

1. Programme delivery

• As the delivery lead for CSC’s practice-related partnership programmes, (including our Inclusive Education Programme), work closely with partners, working group members and other stakeholders to develop and deliver high quality programming which maximises learning and dissemination opportunities, engaging external stakeholders and learning partners where appropriate
• Manage and cultivate relationships with current programme funders, ensuring that high quality reports are submitted to deadlines
• Where required, support the delivery of other programme activities in partnership with network members
• Working with partners and CSC’s finance manager, review and manage programme budgets
• Working with the Senior Legal and Advocacy Officer and with the oversight of the Directors of Programmes, implement processes for collecting and analysing monitoring data on partnership programmes and with the wider team to identify learning to inform CSC’s future work.

2. Programme development

• Working with the Directors of Programmes, guided by CSC’s strategy and building on our existing strong partnerships, develop programme plans and project concepts in advancement of CSC’s goals
• Working with the Directors of Programmes, identify funding sources for partnership programme activities and contribute to the development of high-quality project proposals
• Support the further development and delivery of CSC’s Street Work training offer, working closely with the Director of Programmes for Network, Practice and Children’s Participation, including supporting proactive efforts to secure training contracts/funding and nurturing CSC’s Global Trainer group.

3. Network development

• With the support of the staff team and Directors of Programmes, develop and implement CSC’s network approach to achieve CSC’s strategic goals
• Identify areas for collaboration with and between network members and facilitate shared learning, including via network-wide events, thematic working groups and geographic clusters within the wider network
• Be the first point of contact for reactive enquiries relating to the network and membership
• Be the ‘holder’ of network data, which will be jointly populated and maintained by the team 
• Be a champion for shared learning and knowledge exchange between the network and CSC team, including via network surveys and online engagement events
• Work with the wider staff team and network to design and deliver CSC’s annual International Day for Street Children campaign and activities.

4. Other

• As a member of CSC’s Safeguarding Committee, contribute to the effective implementation of CSC’s Safeguarding Policy and promote a safeguarding culture within the organisation
• Carry out any other duties within the scope, spirit and purpose of the job.
• Abide by all CSC Policies, Regulations and Procedures, including our Child Protection Policy and code of conduct

Person specification

• Strong programme management skills developed in the international development or human rights sectors
• Experienced at partnership management and supporting partners to develop skills, address capacity gaps, and share learning
• Excellent relationship management skills with partners, donors or similar external-facing relationships
• An understanding of charity finances, budgeting processes and legislation
• Experience in a network facing or membership role preferred
• An understanding and curiosity about the key issues for street connected children and the organisations that support them
• An understanding of, and commitment to, children’s rights
• Strong communicator, both written and verbal, with excellent written English skills
