The role of Operations Manager sits within the Management Team.
The Role
The role of Operations Manager is critical to the long-term sustainability of the charity and plays a pivotal part in ensuring that we remain both relevant and necessary.
This role involves:
- Oversight and responsibility for the day-to-day delivery of guest services
- Line management and HR responsibility for the operational team
- Oversight and responsibility for health and safety organisation-wide
- Implementation and delivery of new guest services
- Review and development of existing guest services
- IT/technical responsibility – system admin/super-user
- Reporting and responsibility for specific budgets
- Guest/beneficiary satisfaction – ensuring consistently high standard of service and satisfaction is achieved across all areas
- Impact and outcome tracking/reporting
- Training/mentoring/performance management
- Support with grant application preparation and reporting
- Deputising for the CEO in operational matters

- Representing Hearts Together externally at networking events, including occasional evening work.

Person Specification:
Essential Requirements:
- Strong HR background in terms of leading others and managing HR matters/employee relations
- Demonstrable experience of working to targets and delivering quality outputs collaboratively with others
- Confident and sophisticated communicator
- Strong customer/supporter focus, with excellent interpersonal skills
- The ability to manage conflicting priorities in a fast-paced customer focused environment
- Financial and business acumen – ability to draft budgets, report on variances and interpret financial data
- Strong report writing skills
- Knowledge and experience of facilities management and health and safety, including food hygiene, risk assessments and policy writing
- Confident and proficient in the use of IT systems as a user admin/super-user level
- Highly motivated, with a strong work ethic
- A team player, happy working within a ‘flat’ hierarchy

About the role:
We began a contract with the Ministry of Justice in June 2021, delivering a pan London Housing Advice & Interventions Service, in partnership with St Mungo's. With Single Homeless Project staff co-located in probation offices, you will be working in close partnership with Probation Services, to support people on probation to either sustain their current accommodation or to secure new housing as needed.
We are seeking people who could deliver housing advice, guidance and support to clients. Working with a caseload in your local designated boroughs, you will produce comprehensive and high-quality assessments on their support needs; particularly their housing, employment and financial needs and follow the most suitable pathway for them.

About you:
- Some understanding of working in supported housing or floating support services, with a demonstrable knowledge of Housing and other related Legislation or a relevant qualification

- Previous experience in keyworking with the young people that we support, including primary responsibility in complex cases and being able consider the feelings and the wishes of the young people that we support.
- Previous experience in shift leading, supervising team members in the absence of the Registered Manager / Assistant Manager, including contribution to assessment and appraisal of the team.
- Have a sound knowledge around the safeguarding of the young people that we support.
- A good standard of written English and IT skills would be essential, you will be writing reports and keeping record of the Children and Young Peoples progress.
- Transporting children / young people to an activity or school is a requirement. A driving licence that has been held for 12 months would be desirable.

About the team
The Volunteering Team is a collaborative and supportive team sitting within Shelter’s Equity, Inclusion & Culture Directorate. We are passionate about the positive impacts of volunteering for both individuals and causes and believe volunteers are a vital part of Shelter’s Fight for Home.
Shelter involves around 2,000 volunteers in our shops, offices and local communities. The Volunteering Team enable a coordinated and consistent approach to how we involve volunteers across Shelter and Shelter Scotland. We provide the insight, policies and best practice approaches to ensure all our volunteers have a quality volunteering experience.
About the Role
As a Volunteering Administrator, you will be essential to the coordination of the Volunteering Team’s work in developing a consistent, inclusive and high-quality volunteering offer. You’ll be delivering administrative support across the team, enabling smooth delivery of the service. This will include managing our busy Mailboxes, processing elements of volunteer recruitment and administrating our volunteer database, Better Impact. Working on the database forms a large part of this role; as well as routine tasks such as data reporting, you’ll be working on more in-depth database development. This includes leading on a piece of work restructuring the way our database is set up.
You’ll also be supporting volunteer managers through delivering training demonstrations on our database, creating process guides and providing advice. You’ll provide additional admin support across the Volunteering Team, including coordinating meetings and managing agendas. You’ll be a key member of the team with in-depth knowledge and understanding on volunteering processes and policies to promote our volunteering culture across Shelter and Shelter Scotland.
With this role, we can offer the option of completing an apprenticeship in a related subject. This will involve spending approximately 20% of your work time completing education/learning for the duration of the apprenticeship. About you
Having strong administration skills with confident use of databases is essential for this role. We’re looking for someone who is comfortable taking ownership in processes, including introducing and delivering new ideas, methods or processes. Having a proactive approach and the ability to manage time effectively while working in a fast-paced environment are all important too.
Also important for this role is having excellent communication skills and the ability to build relationships and work collaboratively with colleagues across our organisation. Experience of delivering training or presentations is a bonus, but more-so a willingness to develop your skills in this area. PVD is a serious condition which can lead to heart damage and trigger symptoms like breathlessness, chest pain, fatigue, poor growth, fainting and light-headedness. It can reduce both quality of life and length of life, but it isn’t widely recognised, or well-understood.
We bring together an international network of professionals to improve clinical care, education and PVD research. The network comprises thousands of clinicians, scientists, academics and industry partners, supported by our small team in Bermondsey, London. Together we deliver conferences, e-learning, an academic journal, and we raise awareness of the condition.
Much of the work is done by international working groups, and we’re seeking a new Project Coordinator to provide administrative and project support to those groups.
About the role
The job involves co-ordinating and servicing meetings across different time zones, maintaining workgroup records, developing surveys, pulling together academic papers for publication, event planning, and project work.
We’re looking for someone with excellent organisational and administrative skills, strong interpersonal skills and the ability to write and adapt complex information to produce clear, accurate and accessible documents in English. You’ll need strong IT skills, and the ability to juggle competing demands with efficiency, tact and good humour. You can find details of all these activities on our website.

About CleanupUK
We’re a small charity that brings communities together to create cleaner, connected and safer urban and rural neighbourhoods by tackling the litter problems where they live. Litter-picking brings people closer together, enables neighbours to meet one another other and helps create a greater sense of pride and community in local areas.
Historically, we have delivered litter-picking focussed community engagement projects in London and Birmingham. Our current focus is developing partnerships with community organisations across England to expand our reach and increase impact.
Main duties of the role

To provide a pro-active, high-quality administration and support service to the Operational Team, Chief Executive and the Corporate Partnerships team.
Operational Team: Deals with logistics, processes and day to day functions of our work on the ground with community partners and volunteers.

To attend weekly team meetings

To assist in research into new areas of operation for the charity.

To oversee orders of equipment and printed resources to our partners with various suppliers around the country.

To maintain meticulous records regarding our growing national Cleanup Hub network of community partners.

To collate statistics and create regular reports of programme activity, using our website and new database.

To provide help and advice to enquiries that come through our information email inbox. This could include; helping people access their profiles on our website or advising them as to how to get involved in community litter picking activity.

To use Mail Chimp to send mailers to our partners and followers.

Database Management, to take a pro-active role in our upcoming database development project, considering how best to structure, store and export data. Following the launch of the database lead on database development and maintenance, such as an annual data cleanse.

To assist with setting up, maintaining and updating database information, Community Cleanup Hub registrations, profiles and filing systems, ensuring that data handling complies with GDPR requirements.
