A new fundraising strategy and campaign, Beyond Barriers, will be launched to secure the funds to help us realise our goals and make a positive and lasting impact on the lives of more young people nationwide.
The Fundraising Operations and Data Manager is a newly created role in our Fundraising team. They will be responsible for managing the charity’s CRM (Salesforce) and working with colleagues across the team, and wider organisation, to ensure the smooth operational delivery of fundraising processes and activities.
The Fundraising Operations and Data Manager will provide data and donor insights to help identify trends and opportunities that contribute to shaping fundraising campaigns and enhance our stewardship.
Key responsibilities include:
- Be responsible for the overall management of the Salesforce CRM system, ensuring accurate and up-to-date data entry. This includes processing donations, pipeline updates and managing data imports, exports and migrations to support fundraising activities.
- Create reports and dashboards to enable accurate and timely reporting.
- Identify opportunities for improvement and automation, collaborating with colleagues across the organisation to ensure the smooth operation and optimal use of the CRM.
- Work closely with the Head of Fundraising and Finance Manager to ensure that all donations are thanked in a timely manner and recorded correctly.
- Manage pledge payment tracking and reminders and follow-up processes for multi-year donations. Ensure that data management is carried out in accordance with GDPR and PECR, Villiers Park’s data protection and privacy notices, and the Fundraising Code of Practice.
- Act as the point person for all prospect research activities, liaising with third party providers and ensuring adherence to data protection requirements and best practice at all times.
- Oversee the recognition framework and stewardship of current supporters, managing a sustainable and creative stewardship programme that engages supporters with our work.
- Create templates and systems that enhance cultivation and stewardship.
- Generate mailing lists for fundraising and communications, which respond to a range of motivations to give and engagement with the charity.
- Oversee and deliver operational efficiencies in our fundraising processes, for example, with payment providers and events.

Key Responsibilities and Accountabilities
As Clerk to the Board of Governors
Provide procedural, regulatory, and governance advice to the Board of Governors. Responsibilities include:

provide administrative support to the governing body, for example: co-ordinating calendar of dates for governing body meetings and preparing agendas, taking notes at meetings for the preparation of minutes and ensuring that all decisions are recorded accurately and objectively, including timescales for actions

Support the implementation and effective use of New Governance Software and lead the shift to using Generative AI for note taking at meetings. Update and maintain a database of Governance information, ensuring secure handling of confidential data and information in compliance with College Policy and the General Data Protection Regulations.

support the development and performance of governors in their role, for example: updating them on changes in legislation and policy, informing them of appropriate training and helping them understand their duties

offer advice to governors and the college on the correct governance procedures and how to improve governance

Work with the CEO and Executive Leadership Team (ELT) to ensure a high level of governor engagement by ensuring an up-to-date calendar of opportunities, appropriate communications and effective tracking and gathering of feedback
As Governance and Performance Manager

Support the College’s internal governance function, providing administrative support in scheduling meetings, preparing agendas and taking notes/minutes. Lead the shift to using Generative AI for note taking at meetings and in systems and Processes to improve efficiency.

Work with the Executive Leadership Team and wider leadership team to co-ordinate regular strategy updates and report on progress against strategic goals and agreed KPIs.

Input into, and support with the co-ordination of the College’s Wider Leadership Forum and All-Staff sessions.

Update and Maintain the College’s Risk Register and Master Policy Schedule.

Assist with co-ordinating internal audit reviews in accordance with approved internal audit plan.

Receive and co-ordinate timely responses to Freedom of Information (FOI) requests.

Be a collaborative, enthusiastic member of the College’s wider leadership team, working closely with Staff and Governors to help deliver our ambitious strategy.

ROLE OVERVIEW
The Education Executive plays an important role in the facilitation and delivery of RLSS UK’s Education Strategy and will be a key contributor towards our organisation’s goal to ensure everyone can Enjoy Water Safely, Free From Drowning. The role supports the Education Manager with the implementation of educational initiatives throughout the whole of the UK and Ireland and works with both external partners and colleagues within RLSS UK to communicate our vital water safety messages to young people in an accessible, engaging and inclusive way. RLSS UK are leading experts in water safety and this role aims to grow both the number of children that receive our life-saving education but also looks to diversify the audience through adaptable resources and new approaches.
KEY TASKS & RESPONSIBILITIES
- Work with the Education Manager and colleagues throughout the organisation to deliver the RLSS UK ‘Education Strategy’, ensuring that that more young people have access to quality water safety education
- Facilitate education pilots and new interventions that are informed by the ‘Education Strategy’
- Administer future developments of RLSS UK’s education packages, ensuring that they are impactful and inclusive
- Work closely with the Volunteering Team to extend the capability of the community to deliver water safety education, providing volunteers, partners, and members with the relevant information and resources, thus standardising the delivery of our education programme
- Communicate regularly with schools, colleges and other educational institutions, encouraging the growth and stewardship of our education workforce, so that RLSS UK is more visible in schools and youth settings across the UK and Ireland
- Deputise for the Education Manager and occasionally represent RLSS UK at wider forums and groups as someone knowledgeable about water safety education
- Work with RLSS UK internal teams to ensure educational resources are up to date, accessible and attractive to a variety of different audiences
- Under direction from the Education Manager, work on new projects and initiatives which particularly seek to make water safety education accessible to ‘harder to reach communities’
- Maintain relationships with external agencies and individuals delivering similar work in the education space to network and elicit best practices
- Support the Education Manager with developing partnership work, empowering and enabling other organisations to deliver RLSS UK water safety education on our behalf
- Have a ‘finger on the pulse’ and an understanding of new initiatives in the educational landscape, with a view to utilising new technologies or methods which could help to increase the reach and impact of our work
- Always demonstrate and uphold the Society’s values and behavioural standards
