MARKETING AND COMMUNICATIONS COORDINATOR

Contract: Permanent
Hours: Full-Time or Part-time (14-35 hours per week). If part-time agreed then additional hours may sometime be required and can be taken as Time Off In Lieu.

The charity’s inaugural Marketing and Communications Coordinator will be responsible for all aspects of marketing, comms and PR of our Community Hubs, with a focus on our Oldbury Court Hub. The role will drive enhancements to the charity’s engagement and impact which will secure further support and resources for its critical work.

The postholder will work with colleagues in delivering regular communications output, events and campaigns, and in building and managing networks of local stakeholders and partners.

The Refugee and Migrant Centre (RMC) is an established, multi award winning charity that provides a safe, welcoming environment to thousands of refugees and migrants living in the Black Country and Birmingham.

Our highly skilled and diverse staff team provide a broad range of services including advice and support on immigration (OISC regulated level 1, 2 & 3), employment, welfare, education, ESOL, housing, homelessness, destitution, citizenship, health and wellbeing.

RMC have been assisting beneficiaries to access and sustain appropriate accommodation and improve their housing and living conditions for nearly two decades. RMC also deals with many aspects of homelessness, destitution, rough sleeping, exploitation, etc.

What you will be doing

All Caseworkers (Levels 1,2 and 3) will be required to carry out the tasks shown below. The skill level to progress from one level to the next level is also detailed below.

· To provide professional and effective OISC regulated casework as well as advice, guidance and support to a broad range of RMC’s service users.

· To assist/support the team and the management to meet the needs of the beneficiaries and achieve targets.

· To support and supervise colleagues on a lower level of OISC regulation and designated volunteers.

· To deliver presentations and represent RMC at meetings/events when required by management.

· To take responsibility of projects related to the job

Working within the team

· To ensure the requirements of OISC are respected and met during the delivery of immigration-related advice and casework.

· To assist the senior colleagues and managers in order to drive efficiency, quality, systems improvement and target achievement.

· To supervise and/or manage colleagues on a lower level of OISC-regulation and designated volunteers.

Casework and advice

· To offer advice & casework to service users with various aspects related to their immigration case.

· To deliver the appropriate level of casework either independently or under supervision, depending on the level of OISC registration.

· To provide appropriate support and mentoring to any caseworkers and/or advisors that are under this role’s supervision.

· To maintain confidentiality in all dealings with service users and ensure their needs are met in a satisfactory and sensitive manner.

Other

· To be responsible for the day to day delivery of specific projects if requested by the Senior Management Team–this is flexible and could change depending on the nature of funding.

· To represent RMC at external meetings and events when required by senior colleagues.

Flexibility

We are looking for someone who is outgoing and enthusiastic to join our Supporter Care team, who will carry out essential supporter engagement and administrative activities associated with marketing campaigns, donations, fundraising events and requests for materials. With previous experience of providing excellent customer service, you will have the ability and confidence to communicate with a variety of people, engaging with supporters by phone, email and in writing about a wide range of enquiries. 

The Supporter Care team at Alzheimer’s Research UK is often the first point of contact in the charity for supporters, potential donors and members of the public. The Supporter Care Administrator works alongside five other team Administrators handling supporter enquiries, processing donations, and thanking supporters to ensure an excellent standard of customer care and to generate the maximum amount of income for dementia research. This role reports to the Senior Supporter Care Officer (SSCO) and ensures that the team successfully deliver an efficient and a first-class supporter experience for the charity.

This is a 12-month fixed term contract, or on return of the substantive post holder, due to a secondment. This role will you to be in the office 2-3 days per week depending on business needs.

Main duties and responsibilities of the role:

Supporter engagement

· Answering inbound telephone calls; responding to a wide range of enquiries including marketing campaigns, donations, fundraising events and requests for materials.

· Managing email enquiries, either by responding or forwarding as necessary.

· Responding to written enquiries received in the post.

· Making outbound telephone calls in order to increase the value of, or to retain supporters; including thanking, obtaining Gift Aid declarations and reactivating lapsed donors.

· Recording feedback received by the charity and assisting in the resolution of complaints.

· Champion high quality supporter care, ensuring that all supporters and members of the public have an excellent experience when contacting the charity.

 Donation processing, database and general administration

· Processing donations from telephone calls and mailings, acknowledging supporters appropriately.

· In Memoriam giving; sending out materials, processing donations and sending appropriate acknowledgements to donors, Funeral Directors, and the Next of Kin.

· Regular giving; processing new Direct Debit instructions and Standing Order payments, amending and cancelling gifts as necessary.

· Processing and thanking donations relating to regional fundraising and sporting events.

· Ensuring the integrity of the database (currently Salesforce), by amending supporter details as necessary.

· Opening and batching incoming post.

· Updating team procedures as required.

· Archiving, scanning and filing documents.

What we are looking for:

Additional Information:

Ways of working: As part of our Agile ways of working you will be required to work approximately 2 days a week from the office, which is subject to the requirements of the role and the business needs. Flexibility on where you work can be split between working from home and our office.

Roles that are classed as part of the Agile ways of working are not able to claim any costs for Mileage/Travel on Public Transport, Accommodation and/or Meals.  This includes when attending the office for various meetings/events.

Main purpose of post  

The main purpose of this post it to work alongside the Events Manager and Fundraising team to help deliver a range of charity events, both Weston Park Cancer Charity led and third part events, throughout the year. This will also involve seeking out new opportunities and events that the charity can get involved with in order to continually grow the events portfolio year on year.

This Role will also involve working closely with our supporters, especially those attending/taking on an event for the charity by providing a high level of donor care.

We are looking for someone with a passion for events and the charity sector, and the ambition to help continually grow our event generated income.

What you do  

Key Responsibilities:

• Work with the Events Manager to plan, organise and deliver the Weston Park Cancer Charity key events across the year including: Doncaster Race Evening, Golf Days, Walk as One and Sing Under the Stars.

• Work with the Events Manager to deliver third party active events including: Skydive, Yorkshire Three Peaks and Great North Run.

• Provide support as well as lead on other events that the charity may be involved with throughout the year including hospital engagement events.

• Work with the Events Manager to continually develop the charity events portfolio for 2025 and beyond

• Provide high level donor care to support donors on their ‘journey’ for those taking on an event for the charity, through exploring opportunities to feel connected and enthusiastic about the work that we do. This will involve welcoming supporters, sending them good lucks and following up with them post event to see how they got on.

• Work closely with our fundraising platform, Raisely, to give our supporters the best stewardship journey possible.

• Seek new event opportunities that Weston Park Cancer Charity could partner with or be involved in.

• Represent the charity at charity events across the region and the UK

• Understanding the opportunities for developing new relationships as well as retaining existing ones.

Digital Champions will operate at local community venues including Community Pharmacies, Phlebotomy clinics, and at community events, with a strong focus on NHS App promotion to Bexley residents. Key Duties:

• To be the first point of contact for the existing network of Digital Champions in the borough, and support organisations to recruit, onboard and manage new Digital Champions.

• To organise regular online and face-to-face meetings for Digital Champions.
• To develop and implement a communications plan that raises awareness of the Digital Champions Network in Bexley and of the challenges and opportunities digital inclusion presents.

• You will attend regular meetings with your Area Manager and regional Teams and either virtually or on occasions in person. You will undertake your course virtually.
• You will have 6 hours per week dedicated to study, which would be in addition to your development day where you will undertake training and development to further support you in your role.

• GCSC (English and Math's) – preferable. If not, you will be expected to do an additional functional skills element to your apprenticeship.

Role Objective

To raise awareness and promote Kooth to children and young people (and/or Qwell to adults) by engaging with trusted referrers including schools, colleges, GPs, A&E, pharmacies, community groups, sports clubs and charities. This role involves weekly travel.

Promote Kooth to young people in schools and colleges

• Maintain an up to date, comprehensive database of all secondary schools and FE/ Sixth Form colleges in contract area(s)
• Maintain an up to date, comprehensive database of all GP surgeries and medical centres in contract area(s)
• All new contacts including local service providers and voluntary organisations to be uploaded into Salesforce
• Prioritise engagement of at least the top 25% of all secondary schools and colleges that are the largest (no. of students) in contract areas
• Prioritise engagement of at least the top 25% of all secondary schools and colleges that are the most deprived (pupil premium)
• Take a strategic approach to diary management and planning outreach to maximise reach and engagement across whole contract area(s)
• Use monthly data to assess and evolve your approach to maximise effectiveness of your local engagement - for all age groups, localities and demographics

Inform and promote Kooth (and Qwell where applicable) to referrers

• Engage education, healthcare & local community professionals to encourage them to refer young people to Kooth (and for Qwell to use for themselves or refer adults) 
• Embed Kooth across contract geographical area and demonstrate engagement with a breadth of different referrers
• Encourage parents/carers to tell their child about Kooth (and that Qwell is available for them where applicable)
• Demonstrate knowledge in the specific reasons why Kooth compliments referrer needs (our key ‘selling’ points) e.g.
  • for education professionals: out of school mental health support, aligns with Ofsted assessment criteria, positive mental well being improves education outcomes, specific support for students around exams
  • for healthcare professionals: reducing the 8am rush at GPs, taking the pressure off other care pathways and mental health waiting lists, NHS cost savings, supporting crisis step down, reduce A&E presentations, providing equity of access with our whole population service 
• Build confidence and skills in presenting to and engaging a professional audience of broad disciplinary backgrounds
• Regular recording (weekly) of all new contacts and activity/ engagement of CYP and professionals on Salesforce
• Host stalls at high footfall public events, including Freshers Fairs, and attend key regional network and partnership meetings to support and promote Kooth (and Qwell where appropriate)
• Organise, present or support national & regional KoothTalks Training webinars to professionals and national webinars to CYP when requested
• Follow up all requests from local referrers who attended a national webinar in a timely manner

Manage the distribution of promotional materials

• Send monthly newsletters, printed promotional materials and/or digital resource packs to all referrer contacts
• Email the correct tailored newsletter to referrer contacts in a timely manner every month
• Manage the ordering and distribution of printed promotional materials within the monthly credits allocate
• Ensure the appropriate digital assets and links to referrer information hubs are included in all external referrer communications

Raise awareness via social media 

• Promote Kooth (and Qwell where applicable) via local social media networks to teachers, parents, healthcare professionals and local organisations
• Regularly post information about Kooth to local networks on LinkedIn, Meta and Twitter

Administration Officer – England Central
