UK Maths Trust is a charity that exists to advance the education of children and young people in mathematics. We do this by working with hundreds of volunteers across the UK to organise Competitions and Challenges that promote problem solving and teamwork.

As the Mathematical Programmes Administrator, you will work closely with Programme Coordinators to support the delivery of the UKMT’s competitions and activities. You will collaborate with teams across the charity, providing additional support as required during periods of high workload.

Main duties:

• To work with the Director of Mathematical Programmes and the wider Mathematical Programmes team to assist with the smooth operations of our activities. This may include:

  • Helping with the administration and distribution of Competitions, including the Team Maths Challenges.

  • Assisting with the organisation of both international and domestic mathematics training camps and Olympiad competitions.

  • Supporting the administration of the annual Summer School and Mentoring Programmes.

• To provide excellent customer service to external customers and to UKMT volunteers as required. This includes managing emails, correspondence, and routine enquiries where necessary.

• To use a variety of computer systems to facilitate tasks and analyse data including, but not limited to Competition Systems, Google Workspace, Overleaf, Canva and Mailchimp.

• To tracking tasks, deadlines, and workflows to ensure smooth delivery of our activities, in line with our organisational policies and agreements with sponsors.

Working closely with our small staff team and trustees, this role is intended to provide a solid framework for the volunteers within the organisation, as well as developing a strategy for continuing to grow our volunteer pipeline and expand our services.

The vacancy

The Housing Officer role is 37.5 hours a week, working shifts between 8am and 8pm Monday-Friday which you will share with two other staff members on an 8-4, 10-6 or 12-8 rota pattern.

The role is based in Colchester.

Your time will be spent working with residents towards independent living by assisting them to claim and maintain benefits, move into work, education or volunteering, learn about successful budgeting, to eat healthily and keep themselves safe and healthy both physically and mentally. You will also interview prospective residents, carry out room checks, fire checks, assist with our food distribution scheme, collect payments and arrears, attend appointments with the young people as and when necessary, take an active role in resident engagement and support the management team.

YMCA Essex has a 44 room, supported housing unit on Magdalen Street in Colchester. We house young people aged 16-25, supporting them towards independent living and a well rounded life. We encourage and support them into work, education or training and to be able to maintain a tenancy and look after themselves when they leave YMCA. Residents can live at the YMCA for a two-year period after which time we assist them in moving onto independent living.

You

Have an active care and concern for the community, work in an inclusive way, welcoming the diverse needs of our young residents. You are tolerant, understanding and non-judgemental. You have an interest in the needs of young people and a thirst to support them towards being the best they can possibly be.

You have experience of working in supported or general needs housing, wellbeing planning, risk assessments, working with young people and a great knowledge of welfare benefits, grants and other sources of income available. You have housing management, rent accounting and tenancy sustainment expertise as well as experience of dealing with anti-social behaviour and resident engagement.

Your IT skills are current with a good understanding of Microsoft packages and Sharepoint and you have an excellent level of education. Age UK Bromley & Greenwich is an independent local charity supporting older people across both boroughs. We work to enable, support and connect older people, promote independence and wellbeing and ensure their voices are heard.

We are looking for an Information & Advice Triage Worker to be the first point of contact for older people, carers and their families seeking support.

About the role

This role is central to our Information & Advice service. You will provide high-quality initial information and guidance, assess urgency and risk, and ensure people are directed quickly and appropriately to advice services, support services or partner organisations.

You will often be the first person someone speaks to, so a calm, empathetic and professional approach is essential.

Key responsibilities

• Act as the first point of contact for enquiries, mainly by telephone, with some face-to-face and email contact

• Provide accurate information on issues affecting older people including benefits, housing, care, health and local services

• Carry out structured triage to identify needs, priorities and risks

• Manage expectations clearly and sensitively

• Identify safeguarding concerns and follow organisational procedures

• Make timely referrals to internal services and external partners

• Maintain clear professional boundaries while offering a warm, person-centred response

• Record all contacts accurately and promptly on the organisation’s CRM system

• Maintain clear, concise and professional case notes

• Ensure confidentiality, consent and data protection requirements are met

• Work closely with advisers, service coordinators and partner agencies

• Take part in team meetings, supervision and training

• Keep knowledge up to date on welfare benefits, services and local provision

About you

Essential

• Experience in frontline information, advice, triage or high-volume customer contact work

• Confidence handling calls from people who may be distressed, anxious or frustrated

• Strong listening and questioning skills

• Ability to assess urgency and risk and take appropriate action

• Clear verbal and written communication skills

• Experience using a CRM or case management system

• Good general IT skills including email and Microsoft applications

• Understanding of confidentiality, safeguarding and professional boundaries

• Awareness of issues affecting older people and carers

Desirable

We provide services in person at our two dedicated facilities in Cardiff: Two Rhythms Cardiff Bay at the Wales Millennium Centre, and Two Rhythms Llanishen, our new centre housed within Cerebral Palsy Cymru’s Children’s Centre.

Job Purpose

The Charity General Manager is the Charity’s senior operational lead, responsible for all aspects of the day-to-day management and administration of Two Rhythms, ensuring the charity operates effectively, efficiently and professionally. This role combines hands-on operational management with a strong focus on income generation. 

The postholder will lead a small team of employees and volunteers, strengthen policies, processes and systems to ensure regulatory compliance and high-quality service delivery, and be explicitly responsible for delivering an annual income plan and pipeline across grants, donations, earned income and events.

This role is for someone who learns quickly, thrives in a varied environment, and is motivated by making a tangible difference. 

Key Responsibilities

Income generation (annual income plan + pipeline delivery)50%

Explicitly responsible for delivering an annual income plan and pipeline, covering: grants, donations and earned income (paid sessions, training, membership).

·  Effectively manage grants and funding, growing partnerships with funders and overseeing regular reporting. 

·  Lead the delivery of the annual income plan across grants, donations, earned income and events. 

·Identify, pursue and secure new funding opportunities, including writing and coordination grant applications

·Support and coordinate grant applications and funding opportunities.

·Develop and maintain an income pipeline tracker, ensuring opportunities are progressed, deadlines are met, and reporting requirements are planned and delivered.

·Grow voluntary income (donations) through practical supporter processes and clear impact communication.

·Strengthen and streamline earned income by ensuring administration, promotion and booking/payment processes run smoothly for paid sessions, training and membership. 

Operations, compliance & administration

·Oversee day-to-day operations, ensuring the charity runs efficiently and professionally.

·Improve and embed systems, processes and ways of working that support a stable “business-as-usual” environment - This wording might be needed for ensuring new person works with the board. Thinking about change management process. Ensure regulatory compliance across the organisation by developing, implementing and maintaining appropriate systems, policies and procedures (including GDPR, Health & Safety and safeguarding).

· Prepare and submit reports to relevant regulatory and statutory bodies as required, including maintaining Charity Commission and Companies House information.

· Manage procurement and contracting of equipment, supplies and services (e.g., IT and office equipment), ensuring best value for money.

Finance administration & budgeting 

·Manage day-to-day finance administration using a finance platform, including invoicing, coding and maintaining accurate financial records. 

·Support the production of regular finance updates for the Board, including budget monitoring and highlighting risks early. 

·Work with Trustees to support financial planning and sustainability.

·Manage accurate daily management and board accounts bookkeeping with external partners and contractors

People leadership, governance support & impact reporting

·Line manage and ensure performance monitoring of the management team

·Manage colleagues, creating a positive, productive, supportive and safe working environment. 

·Ensure appropriate HR policies and procedures are in place, liaising with an external provider where necessary. 

·Develop a process to monitor impact and KPIs, providing regular feedback to the Board.

·Work with the Board to develop networks and relationships with stakeholders and support review of strategic plans.

Key Outcomes (first 6 months)

·Stabilised “business-as-usual” operations with clear systems, documented processes, and a reliable compliance calendar. 

·Timely and accurate financial processing, with Clear visibility of financial position through timely QuickBooks processing and regular board reporting (with risks flagged early). 

·An agreed and active annual income plan in place, with a managed pipeline across grants, donations, earned income and events reviewed regularly with trustees.

·Impact/KPI reporting implemented and used to guide decisions and demonstrate value to funders and supporters.
