Lead and manage the end-to-end office relocation project, collaborating with the Senior Leadership Team, Executive Support, contractors, and suppliers to ensure timely delivery and minimal business disruption.

Stakeholder alignment - to manage stakeholder communications and operational change. Serving as the primary central contact for all office move enquiries and vendor updates, and staff communications, this role ensures all internal departments have clear line of sight on move logistics and operational dependencies.

Compliance Partnership - Provide support to the Business Support Manager and Executive Assistant regarding insurance, health and safety compliance, and landlord communications throughout the transition period.
Main responsibilities:

Planning, leading, and delivering the office relocation.

Liaising with vendors, movers, partners, landlords, and legal advisers to ensure the fit-out and move are cost-effective and on schedule.

Maintaining project budgets, schedules, tracking logs, and documentation to ensure the project is delivered in the timeframe required with accurate reporting and records.

Overseeing logistics, space planning, desk allocations, floor plans, and move-day support for staff.

Coordinating administrative office setups (including interim supplies, access passes, utility setups, and facilities services).

Desirable experience requirements:

What you’ll be working on:

These are an unrivalled source of data about how the Earth and its natural systems formed over 4.56 billion years, with the potential to support research that addresses some of the critical issues facing the world, including biodiversity and climate change. They contain evidence of the changes in the natural world including the impact of human life on our planet over the past few thousand years. The scientific, commercial, and societal benefits of these collections are currently constrained by the limits of physical access, and by highly fragmented digitisation efforts with less than 10% digitally available.
DiSSCo UK is a consortium of UK natural science collections, led by the Natural History Museum in partnership with the Arts and Humanities Research Council (AHRC) and UK Research and Innovation (UKRI), who are developing a national infrastructure to support the digitisation and use of the UK’s natural science collections to support this critical research.
This will take the form of a 10-year programme focused on digitisation of critical mass of collections as FAIR data, made available through a well-supported backbone of technology infrastructure, with continued development and application of innovative approaches such as greater use of Artificial Intelligence and robotics. Investment of the order of £155m over ten years from 2026-27 is expected to unlock at least a four-fold economic return on investment, as well as efficiency savings for UK and global researchers, and the potential for research innovation and studies that have not previously been possible – underpinning a future in which both people and planet thrive.

About the role
The Collection Assistant plays a vital role in ensuring collections are accessible, well-organised, and prepared in advance of digitisation activities. Working closely with digitisation teams, curators, and collection managers, you will help scale up operations for the accessibility and transparency of important scientific collections.
This position is an excellent opportunity to contribute to a nationally significant programme of work during a key phase of DiSSCo UK’s rollout. This role is specifically working as part of the Distributed System of Scientific Collections UK programme.
UK natural science collections hold more than 140 million items. These are an unrivalled source of data about how the Earth and its natural systems formed over 4.56 billion years, with the potential to support research that addresses some of the critical issues facing the world, including biodiversity and climate change. They contain evidence of the changes in the natural world including the impact of human life on our planet over the past few thousand years. The scientific, commercial, and societal benefits of these collections are currently constrained by the limits of physical access, and by highly fragmented digitisation efforts with less than 10% digitally available.
DiSSCo UK is a consortium of UK natural science collections, led by the Natural History Museum in partnership with the Arts and Humanities Research Council (AHRC) and UK Research and Innovation (UKRI), who are developing a national infrastructure to support the digitisation and use of the UK’s natural science collections to support this critical research.
This will take the form of a 10-year programme focused on digitisation of critical mass of collections as FAIR data, made available through a well-supported backbone of technology infrastructure, with continued development and application of innovative approaches such as greater use of Artificial Intelligence and robotics. Investment of the order of £155m over ten years from 2026-27 is expected to unlock at least a four-fold economic return on investment, as well as efficiency savings for UK and global researchers, and the potential for research innovation and studies that have not previously been possible – underpinning a future in which both people and planet thrive.

About the role

We are looking for someone who
Has experience of working within training or education, particularly within a school setting, and can build positive relationships with learners and employers.
You will have excellent communication and ICT skills, be highly organised and confident managing a varied caseload and competing priorities. You will be able to motivate learners, work effectively as part of a team and maintain high standards of quality and professionalism.
Experience within an assessor role and knowledge of SEND would be particularly valuable. An Award in Education and Training, PGCE or equivalent teaching qualification, alongside an assessor qualification such as D32/33, A1, TAQA/CAVA or equivalent, would also be desirable.

The Role
We are seeking an experienced Recruitment and Payroll professional with a strong understanding of UK employment law, payroll legislation, statutory requirements, and HR best practice. The successful candidate will have proven experience managing end to end recruitment and payroll processes, always ensuring compliance and accuracy. A sound knowledge of HR systems, particularly iTrent, payroll administration, employee lifecycle processes, and current employment legislation is essential.
The ideal candidate will be highly organised, resilient, and dependable, with the ability to manage competing priorities within a small team. They will have experience working both independently and collaboratively, demonstrating excellent attention to detail and a proactive approach to problem-solving.
Strong interpersonal and communication skills are essential for this role, along with the ability to build effective relationships at all levels of the organisation. The postholder will be confident in providing guidance and advice on recruitment, payroll, and employee relations matters, ensuring decisions are legally compliant and aligned with organisational policies and procedures.
What will I be doing?
- Lead and sign off all payroll related activities, ensuring accuracy, compliance, and effective liaison with internal and external stakeholders
- Manage end to end recruitment activity, delivering effective attraction, selection, and onboarding processes to secure high quality candidates in a timely manner
- Coach and support managers on HR policies, processes, and employee lifecycle matters, including family leave, return to work arrangements, and complex or sensitive people issues
- Contribute to the continuous improvement of People services, including HR systems, People Team processes, EDI initiatives, and the effective management of employee and manager queries
- Line managment of People Officer

- Internally, the role works across all departments as well as IOP Publishing HR and Finance
- Externally, the role works with employment lawyers, recruitment agencies, occupational health providers and EDI professionals
Ideally, your skills include:
Essential Criteria
- Sound knowledge of UK employment legislation and its practical application
- Strong recruitment and payroll experience, including end-to-end recruitment and payroll processes
- Strong understanding of HR best practice and employee lifecycle processes
- High level of professionalism, discretion, and commitment to confidentiality
- Excellent interpersonal skills, with the ability to listen, influence, negotiate, and provide advice on complex or sensitive matters
- Line manager experience
- Experience working autonomously in a busy, varied, and fast-paced environment
- Exceptional attention to detail and commitment to accuracy
- Strong line management skills, with experience coaching, developing, and supporting employees to achieve individual and organisational objectives.
- Ability to think strategically, plan ahead, and develop creative solutions to complex challenges.
- Strong working knowledge of HR systems, ideally including iTrent, Harbour, and MyFlex.
- CIPD Level 5 qualified
Desirable
- Experience using HR systems, ideally iTrent (Electric Theme) and/or DayForce
- Supporting in HR system rollouts

We operate a flexible, trust based working model that gives colleagues autonomy over how, when and where they work, while recognising the value of in person collaboration. You will be assigned a base office, with hybrid working offered as standard.
You will engage in regular in person collaboration with your team (as operational appropriate), as well as with colleagues across the wider organisation, to ensure effective operational alignment and to support our inclusive approach to working.
As an organization we meet in person once a quarter at our Head Office in Kings Cross, London and once a quarter within the People & Operations Department alongisde team meetings as apporiate.
