We are urgently seeking an Administrative Assistant to join our God Loves You Tour team. The role is full time, but part time will also be considered, and will be based from our London Hub office, in East London.
This is a fixed term position with an immediate start, to end 31 July 2025. The successful candidate will have previous administrative experience, excellent attention to detail with the ability to work to tight deadlines. Key duties will include:
• Providing day to day administrative support in the office for the GLYT London
• Compiling weekly feedback report for Bus Route Director of Engagement
• Maintaining and updating information and records using Microsoft Office suite
• Organising travel arrangements for staff, including booking accommodation, transfers, car hire, and other travel logistics as needed
• Organising couriers and assist in co-ordinating marketing materials
• Handling administrative duties relating to the Christian Life & Witness Course training (CLWC)
• Monitor CLWC registrations and class attendance
• Ensuring that all administrative processes are in place for CLWC and that they are followed, including post event administrative tasks
• Responding to general enquiries relating to the London Tour Bus Program including phone calls and email enquiries
• Interfacing with the HUB office Staff to process information and prepare data for the database, based on requirements needed for the London Tour

ABOUT THE ROLE
Lambeth Palace is the London home of the Archbishop of Canterbury, his family and two religious communities. It is the centre of his ministry, worship and hospitality.
The staff members at Lambeth Palace work as a small and close-knit team and support each other during busy periods with flexibility and good humour. You will be responsible for supporting the Chaplain to the Archbishop of Canterbury at an Executive Assistant level. This post gives an excellent opportunity of working in a small, friendly, busy office, in unusual and pleasant surroundings.
The role of the Chaplain at Lambeth Palace is to support the ministry to which God has called the Archbishop. This involves a wide variety of tasks, much of it behind the scenes. The Chaplain carries responsibility for pastoral and liturgical dimensions of the Archbishop's ministry in the Church of England, his speaking, publishing and award-giving commitments while leading on the Archbishop's first priority of the renewal of prayer and religious life.
He/she is also responsible for the pastoral care of those who work and/or live at Lambeth Palace - the 'community of communities' and the regular pattern of worship in its two chapels, in liaison with Chemin Neuf. He/she is also responsible on behalf of the Archbishop for liaison with the recently-founded Community of St Anselm.
Core Responsibilities
- Being aware and helping to deliver the Chaplain's objectives and views, and communicating these to external and internal parties, as well as maintaining discretion and confidentiality where necessary.
- Managing and prioritising communications with the Chaplain, whether by phone, e-mail, letter or in person, enabling him/her to achieve their objectives while ensuring timely responses.
- Dealing with the Chaplain's correspondence, including drafting replies to letters and emails, and where appropriate replying on their behalf. In addition to drafting briefs for the Archbishop's official engagements for which the Chaplain carries responsibility.
- Managing the Chaplain's diary, including booking rooms and offering hospitality where appropriate, and making travel arrangements.
- Organising the Chaplain's expenses and drafting budgets for the team.
- Receiving and greeting visitors, as required, on behalf of both the Chaplain and the Archbishop.
Key Requirements
- The role is primarily office based, however, there is some flexibility to all to allow for a degree of home working, specifically when there are no internal or external face-to-face meetings. This can be discussed once you have been appointed to the post.

About the charity: Cavernomas look like raspberries and are found in the brain and spinal cord. They're formed of abnormal blood vessels with thin leaky walls, which can bleed at any age without warning. 1 in 625 people are thought to have a cavernoma, and whilst most people won't experience symptoms 1 in 2,700 do. About the role:
We’re looking for an Admin Assistant to support our Education and Research team for a period of 12 months. The role is varied and includes processing of learner enrolment, attendance and payment data, issuing certificates of attendance and collecting and collating evaluations. A substantial part of the role also involves being the first point of contact for course enquiries.
You will have defined areas of responsibility but also be required to be adaptable and undertake other administrative tasks when necessary.
About you:
You’ll have great interpersonal skills and ability to produce accurate and well-presented work. You'll also have knowledge of computer systems and programmes including MS Office, and accounting software. You will be able to organise your own workload whilst responding to ever changing priorities.

- Work closely with the Operations team to maximize occupancy in our winter night shelters.
- Ensure our winter services are fully occupied each night, prioritizing guests on the waiting list according to Glass Door's policies.
- Summarise daily activity from our guest management system into an email report, highlighting any incidents or issues.
Data Management
- Provide insights for service delivery improvements based on your operational experience. Maintain accurate and secure records of data logs.
Guest Interaction
- Communicate sensitively and compassionately with guests, explaining key information about our services through phone, email, or text.
- Invite new guests to our services over the phone, directing them to arrive that evening. Manage guest inquiries, referring them to appropriate personnel within Glass Door.
General
- Perform job duties in alignment with Glass Door's Equal Opportunities Policy. Fulfil other duties relevant to the role as reasonably required.
Person Spec
Essential
- Ability to work remotely and independently.
- Strong communication skills, especially with vulnerable adults, through various channels. Proficiency in Microsoft Office and IT skills.
- Strong organizational and time-management skills.

- Lived experience of homelessness.
- Fluency in additional languages such as Polish, Romanian, Arabic, Spanish, French, Bulgarian, Russian, or Tigrinya.
- Experience with Salesforce or similar CRM platforms. Familiarity with the principles of trauma-informed care.
