Job Purpose

This role sits at the heart of Operation Smile UK’s five-year strategy to deliver transformational growth across all income streams. As Retention Fundraising Lead, you will be instrumental in delivering on three of the four core strategic priorities:

1. Build Regular Giving – retain and maximise value from the regular giving base

2. Drive All Donors to Legacy – ensure donors experience best-in-class stewardship, increasing their loyalty to the charity with an objective of feeding into legacy and long-term giving goals.

3. Maximise Growth Through Digital Fundraising Integration – leading the expansion and optimisation of digital growth for all existing supporters.

The Retention Lead is responsible for delivering Operation Smile UK’s strategic individual giving retention and legacy marketing programme. This role is key to driving income growth from our existing donors from the point of recruitment, maximising value and minimising attrition from the regular giving pool and generating and retaining legacy actions and prospects.

You will lead on the strategy, planning, delivery and evaluation of retention campaigns, with full accountability for managing significant budgets, agency partnerships and performance metrics.

You will support the development of the Legacy strategy, be instrumental in planning legacy activity and delivering legacy marketing for the existing supporter base across all income streams and methods of support, from Partnerships, Volunteers and public fundraisers.

This is a senior, hands-on role suited to an experienced Individual giving fundraiser with strong commercial acumen and a data-driven mindset.

Key Responsibilities

Strategic Campaign Leadership

• Develop and implement the retention strategy, aligned with income targets and supporter growth objectives.
• Lead on the planning and delivery of campaigns across cash, donor stewardship, legacy prospecting and stewardship, welcome, conversion, reactivation and upgrade appeals.
• Lead on strategic development of the cultivation journey to ensure Operation Smile maximise growth through digital channels.
• Monitor and report on campaign performance, providing insight-driven recommendations to optimise results.
• Drive testing and innovation to expand existing approaches and introduce new ones within acceptable risk and return parameters.

Budget Ownership & Performance Monitoring

• Take full responsibility for retention and legacy budget management, income forecasting and cost control.
• Set, monitor, and evaluate key performance indicators (KPIs), reporting against ROI, value and response, retention and conversion metrics and long-term value across all supporter groups channels.
• Collaborate with the Senior Database Manager and the Director of Data and Technology to develop and maintain performance dashboards (e.g., Power BI) and support strategic data analysis, including both short term and long-term channel performance evaluation.

Line Management

• Provide day-to-day leadership and support to the Retention team, ensuring clarity of objectives, effective workload management, and professional development opportunities.
• Conduct regular 1:1s, annual appraisals, and performance reviews for direct reports, supporting their growth and accountability.
• Foster a collaborative and inclusive team culture, encouraging innovation, learning, and high standards of delivery.
• Provide strategic and operational direction to external agencies or freelancers working on retention projects.

Agency & Partner Management

• Manage day-to-day relationships with external fundraising and creative partners.
• Lead on the relationship with the external fulfilment agency working with multiple internal stakeholders to ensure an effective partnership is in place.
• Lead briefings, content sourcing, agent training, stakeholder approvals, and quality assurance processes.
• Negotiate contracts and hold suppliers accountable for delivery and performance.

Cross-Team and Market Integration

• Represent the retention and legacy programme in cross-functional planning meetings and contribute to a unified team culture focused on strategic delivery.
• Work closely with the Acquisition and Digital lead to deliver a seamless supporter journey from point of recruitment to donor communications.
• Work closely with the Philanthropy Manager to develop and manage the pipeline of HV/Major donors.
• Work closely with the Legacy administrator, Philanthropy Manager and Volunteer Manager to develop the legacy pipeline.
• Work closely to ensure all digital communications are aligned and support the retention strategy
• Act as a key liaison with colleagues across Operation Smile global markets, sharing insights and exploring opportunities to align strategy, co-develop creative, or pilot cross-market initiatives.

Compliance, Risk & Best Practice

• Ensure all campaigns meet legal, ethical and data protection requirements (e.g., GDPR, Fundraising Regulator).
• Act as a key contributor to organisational risk assessments relating to income performance and supplier performance.
• Keep up to date with sector trends, innovations and benchmarks to maintain best practice.

Person specification

Essential Experience

• Extensive experience (ideally 5+ years) in Individual Giving, Legacy or fundraising acquisition roles.
• Proven success delivering multi-channel (including digital) retention campaigns for both cash, legacy and regular giving donors with strong ROI.
• Experience managing external agencies and suppliers to high performance standards.
• Strong background in regular giving retention.
• Demonstrable experience managing and reporting on retention budgets.

We're now looking for an experienced Centre Operations Manager to play a key senior role in ensuring our busy community hub runs safely, smoothly and effectively for the thousands of people who use it each year.

About Abbey Community Centre

Abbey Community Centre works with people of all ages and backgrounds, with a particular focus on older residents and low-income families with young children. We deliver a wide range of activities, services and support including children’s stay-and-play sessions and drop-ins, fitness and wellbeing activities, befriending schemes, digital inclusion support, community meals, warm space provision, food support, volunteering opportunities and specialist outreach.

The role and its impact

As Centre Operations Manager, you will be the organisation’s senior operational lead on the ground. Working closely with the CEO, you will hold delegated authority for the day-to-day running of the Centre — ensuring the building, people and systems all work together to support high-quality community activity.

This is a hands-on leadership role combining practical problem-solving with people management. You will line manage and help develop operational staff, oversee facilities and contractors, lead on health and safety and operational compliance, support volunteering, and ensure organisational systems and processes function reliably.

The Finance & Operations Manager is a senior leadership role responsible for the financial sustainability, compliance and operational effectiveness of the charity. Human Dignity Foundation (HDF) is a private, philanthropic foundation which was established to enable children to live with dignity. In recent years, we have focussed on funding organisations who help protect and safeguard children from sexual exploitation and abuse (CSEA). HDF is a spend down foundation which expects to complete the funding of its international partner projects by the end of 2033.

In 2023, HDF updated its strategy to drive the expansion of our portfolio of projects and maximise the foundation’s future impact – to support more children affected by or at risk of CSEA. Job Purpose

The Finance and Operations Manager will oversee and support the operations of the UK charity, working closely with the HDF team based in Dublin, to ensure its smooth running and compliance with UK laws and charity regulations.

Key Tasks and Responsibilities

The Finance and Operations Manager role will be dynamic and diverse given the small nature of HDF’s team. The role will be expected to build on the processes, policies and tools already in existence within HDF Switzerland and adapt them to the UK context. Core responsibilities of this role will include:

Finance

•  Process and record payments and other transactions in the accounting system;
• Maintain financial records and prepare monthly management accounts, reconciliations, etc. for review by the Director of Finance and Operations;
• Support payroll processes and liaise with external providers;
• Manage required filings with HMRC as required (expected to be minimal);
• Prepare annual financial statements and coordinate/ support the annual audit/ financial verification of the charity;
• Prepare the annual budget and produce quarterly cashflow forecasts, ensuring timely drawdowns of funds from HDF Switzerland as needed.

Operations & Administration

• Produce and oversee the submission of reports and/or required filings to the Charities Commission and ensure broader compliance with its requirements;
• Produce reports and filings to Companies House as needed, and coordinate with the Company Secretary for their timely submission;
• Maintain the charity’s risk register to ensure risks are appropriately understood and mitigated;
• Produce and update internal policies, procedures and tools (templates to be provided where available);
• Set up and oversee the UK pension scheme, life assurance/ health insurance schemes as required with the relevant providers;
• Support the planning and delivery of meetings of the Board of Trustees and other internal and external meetings as needed;
• Organise travel arrangements for UK based staff(s) and Trustees as needed;
• In time the role may take over Company Secretary duties from our external provider;
• Conduct procurement, liaise with suppliers and manage their contracts as needed;
• Conduct other administrative tasks to support the running of the charity as needed, including but not limited to IT and HR;
• Support the charity’s Executive Chair of Trustees with tasks as may be reasonably required.

Grant Administration

• Support the development and amendment of grant agreements with partners as needed;
• Track and reconcile grant payments against agreements and perform required follow up with grantees as needed;
• Update and maintain HDF’s grant management information and filing system to ensure HDF’s records are accurate and up to date.

The service is a short-term (up to two years) supported living service for people who have an enduring mental health diagnosis and who require and can benefit from, the help and support offered. It consists of 14 self-contained flats and one crisis room for adult men with medium to high-level support needs who require 24-hour supported accommodation, helping them to continue to live in the community and to reduce the risk of admission to hospital.

In this role, you will support in leading the team by providing overall leadership to the service and line management responsibilities to support, enable, and empower your team to deliver high quality support to our residents. You will also support with some day to day responsibilities of the team such as providing tailored support to our residents directly. As a Manager, you will support in driving service outcomes in line with contractual requirements, ensuring quality and consistency within a trauma and psychologically informed environment. Our partner, an established UK charity with a focus on fighting poverty by transforming access to health care services in lower- and middle-income countries in Africa seeks a highly dynamic individual for a one-year fixed-term contract, with the possibility of an extension. The position is part of the management team, and the post holder will be expected to lead on the financial accounting, management accounting, and budgeting for the organisation as well as taking forward some strategic finance and operations projects as we expand our programmes in existing countries. The individual will also be expected to support the Co-CEOs with administrative, compliance and IT related tasks.

Finance
•Maintain a strong control environment, ensuring accounting records are complete and accurate.
Financial accounting
•Prepare annual statutory accounts in accordance with SORP 2015.
•Prepare for the annual external audit and host auditors ensuring the audit process runs smoothly. This includes supporting  country offices in hosting their respective audits.
•Ensure annual statutory accounts are finalised and submitted to Companies House and the Charity Commission by the appropriate deadlines.

Management accounting
•Coordinate the month-end process with the Finance Officer (UK) and Programme Finance Lead, and review transaction postings.
•Prepare monthly management accounts with cash flow forecasts, modifying the format as needed to suit the preferences of senior management and the Board of Trustees.
•Prepare the annual organisational budget and mid-year reforecast.
•Improve existing budget templates to enable straightforward and transparent budgeting for donors.
Support to country offices
•Collaborate with the Programme Finance Lead on a monthly basis to reconcile intercompany accounts, ensuring that reconciling items are cleared promptly.
•Support country office teams in fulfilling any reporting and financial compliance requirements.
•Conduct internal process reviews (internal audits) of country offices where required.
•Review the bi-weekly payment runs for the UK office and the monthly country office fund requests, ensuring cash flow planning is in place for these payments.
•Ensure asset registers are maintained appropriately.

Administration
•Support staff in conducting procurement in line with our procurement policy.
•Assist with preparation for quarterly Board meetings.
•Support office management tasks.

Other
Review and develop existing policies and procedures (e.g. the Finance Manual).

The Role  

The Operations Assistant is a new role at Figurative, supporting the Operations Manager and the wider team to ensure processes are as streamlined and efficient as possible and evolve with the growth of the organisation. The Operations Assistant will have the opportunity to work across a variety of areas, from finance and data analysis to event support and CRM database development.

Key Responsibilities

The demands of this role will be both operations specific and general to Figurative. You will play an important role in supporting the operations and finance functions within Figurative. In particular, this includes:

● Responsibility for accounts receivable and accounts payable management, across both Figurative and its impact investment funds

● Supplier communications and management, including maintenance of up-to-date records and contracts

● Maintaining up-to-date records of credit card expenses and receipts

● Updating cash reconciliations and payment trackers and providing updates and accurate corresponding figures to the Investment Team and Operations Manager

● Maintaining Figurative’s shared drive, ensuring all documents are filed in a timely and well-organised manner

● Providing administrative support in the monitoring of organisation and fund reporting requirements

● Working closely with Figurative’s Operations Manager to ensure new company-wide initiatives are established and maintained with strong and compliant operational and financial processes

● Maintaining the CRM system and ensuring records are accurate and updated on a regular basis

The general Figurative duties will include:

● Diary management and co-ordination for wider team meetings and events

● Minute taking, including during fund investment committees

● Inbox management and dealing with all incoming general enquiries

● Management of company-wide document signing processes

● Collaborating on the development of internal processes to ensure the efficient and effective management of data

● Contributing to the development of a company-wide intranet, drawing on processes and guidelines in place across each department

● Supporting the wider Figurative team on matters relating to technical/ IT queries, logistical queries, incoming and outgoing post and other day-to-day matters arising

The Person

The role requires a self-starting and curious individual, with the initiative and enthusiasm to seamlessly support Figurative’s work across the cultural and creative sector. Specifically, with the following:

Experience

● Practical experience in diary management, minute writing, inbox management and prioritising tasks across multiple workstreams

● Exposure to data entry, cleansing and analysis

● Experience developing or supporting the development of new internal systems, processes and guidelines

● Desirable: experience supporting the finance function of an organisation

● Desirable: experience of working with arts & cultural sector organisations

● Desirable: experience of social impact investing, in any capacity

● Desirable: experience, and enjoyment, of working in a dynamic and varied role/ organisation

Knowledge

● An understanding of the operational and financial processes involved in supporting an organisation of Figurative’s size and nature

● Familiarity with a range of IT platforms, including Google Workspace

● Desirable: a basic understanding of the underlying structure of databases and how these feed into analytical tools

● Desirable: a basic understanding of bookkeeping and finance

● Desirable: an understanding of the social impact investment and/or arts and culture sector

Skills

Working as part of the Partnership Team, the Philanthropy Manager position will secure critical income from new and existing major donors through compelling, donor-centred approaches and excellent stewardship.

The position will build on existing relationships with individuals who make significant personal donations, aiming to grow their contributions, as well as making approaches to new prospects, working closely with the Director of Partnerships.

Main Duties & Responsibilities

Philanthropy Development

• Ensure achievement of annual income target for philanthropy
• Develop and implement plans for a structured philanthropy programme, for both new and existing donors, aligning their giving with our strategic priorities
• Take primary responsibility for managing the current small pool of major donors, to grow and sustain their giving – strategic development of each relationship will be essential
• Develop and maintain a pipeline of new major donor prospects, creating propositions/proposals and making approaches, working with the Director of Partnerships
