Job Purpose

Finance

• To lead and manage the Harris Federation finance function so that Harris delivers its educational aims and objectives as well as meets all DfE and EFSA requirements

• To be responsible for the financial sustainability and development of Harris Federation and for the financial probity of the organisation

• To ensure the provision of an efficient, responsive, reliable, and effective financial service to the Harris Federation.

• To support the CEO in his role as Accounting Officer in line with the Academy Finance Handbook

• To provide strong leadership and direction to an established central finance team consisting of 35 staff), this being the led by a strong Financial Controller and the business partnering team led by a strong Head of Business Partnering

• To manage the Financial Controller and oversee the operational finance and accounts team

• To manage the Head of Finance Business Partnering and oversee relationships with key stakeholders across the academy network

Operations

• To work alongside the CEO and Directors to continue the development of an effective and efficient business model for the Harris Federation central services

• This will align with the Oracle roll out where the current operating model will require business change that will drive the efficiencies and benefits a new and sophisticated system like Oracle can bring

• To give strong leadership and direction to the central systems team (circa 6 staff), this team currently supporting the roll out of the Oracle system across HR, Payroll and Finance

• To ensure the provision of an efficient, responsive, reliable and effective systems support and development service to the Harris Federation

Key Responsibilities

Recruitment & Retention

• Administer the recruitment process by placing job adverts into the template on Canva, removing expired job adverts from the THET website; downloading applications; setting up interviews
• Update staff induction materials
• Update the Organisational Organogram on a monthly basis
• Update staff profiles on the THET website
• Maintain internal HR email/In-box
• Ensure new starters are added to the relevant induction meetings and staff meetings

Development & Performance

• Provide induction and refresher training to staff and volunteers on international travel
• Monitor implementation of staff training and development plans

Policies and procedures

• Follow THET policies and procedures, flagging any issues arising
• Update control sheet for policy review dates and maintain version control numbers for policies and forms

Administration

• Provide administrative support to the CEO and SMT
• Update and maintain the Activ absence system: – Create user accounts for new staff/ archive leavers; monitor staff absences
• Administer travel arrangements within the UK and overseas for senior managers
• Oversee and improve standard operating procedures and forms
• Support the HR & Operations Manager with administration of new and current consultants, volunteers, and interns (recruitment, contract reviews, induction, and compliance training schedules)

Operational Support

• Coordinate the procurement process for items and services including approvals, advertising, tender process, preferred supplier contracts, communication to parties
• Undertake office management tasks including responding to THET mail/ calls; arranging and servicing office meetings; maintaining email distribution lists and email accounts
• Facilitate the purchasing of staff IT and other work equipment in line with budget
• Activate email accounts; coordinate laptops for new staff/leavers; open and close IT accounts for starters, and deactivate these for leavers
• Act as the main point of contact for the outsourced IT supplier.

Health and wellbeing

• Prompt Country Directors to ensure Country risk registers are up-to-date and evacuation/hibernation plans exist

About the role

The CFOO will report to the Chief Executive and play a pivotal role for us, as we broaden and deepen our impact, transitioning from local to national scale. Finance and operations manager – Job Description 

We are seeking a thoughtful, compassionate, and experienced finance and operations manager.  This is a new role in an expanding team that will contribute to the senior leadership of the organisation and be responsible for overseeing day-to-day operations of the charity, with a focus on financial management.

• Support the CEO in overseeing the day-to-day activities of the charity, including deputising for her when appropriate. 

• Cultivate strong relationships with stakeholders (donors, community partners, other non-profit organisations), and identify opportunities for collaboration and partnership to enhance the organisation’s impact and reach. 

• Represent The Magpie Project externally where appropriate.

1. Financial Management 

• Oversee day-to-day financial operations, including all incoming and outgoing payments and invoices, and maintain accurate records in line with financial best practise. 

• Develop and manage the annual budget and produce management accounts to provide regular reports to the CEO and board of trustees throughout the year. 

• Prepare accurate and timely financial reports for donors. 

• Coordinate annual financial audits and ensure timely submission of annual accounts to the Charity Commission. 

• Maintain financial policies and procedures to ensure internal controls are compliant with relevant accounting standards, regulations, and reporting requirements. 

• Monitor and manage cash flow to ensure sufficient funds are available for day-to-day operations and strategic initiatives, identifying and mitigating potential risks. 

• Liaise with off-site payroll provider and make monthly payroll payments. 

• Oversee management of petty cash, including ensuring there is sufficient petty cash to cover travel money and emergency grants expenses at sessions.

• Develop and oversee processes for the distribution of emergency hardship grants, in line with donor expectations and best practice in record keeping. 

1. Operational Management 

• Support the CEO in the strategic direction and operational management of the charity, including planning, service design, programme management, HR, and workforce development. 

• Develop and maintain relevant internal policies. 

• Lead on risk management within the organisation, identifying potential risks and developing strategies to mitigate them.

• Maintain relationships with external suppliers including DBS service providers, insurers, telephone and internet, banking, and software technicians. 

Person Specification 

• Experience in a senior finance role in a charity, including budgeting, forecasting, and day-to-day financial management. 

• Specific knowledge of charity regulation and financial compliance with the charity commission and other regulators. 

• High level of interpersonal and emotional intelligence to enable a trauma informed, reflective and calm working environment. 

• Experience overseeing or supporting internal operations, including line-management, preferably within a charity. 

• Experience of strategic planning, with the ability to think critically and creatively. 

• Willingness to engage in co-production and co-design to include those with lived experience in all levels of planning, service design and governance, a bonus. 

• Ability to build positive relationships with external stakeholders at every level.

Duties and key responsibilities: 

Office Maintenance

• Oversee the general maintenance of the office.
• Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.
• Ensure the office and meeting rooms are well-maintained.
• Manage Sarcoma UK storage, ensuring it is fit for purpose.
• Liaise with office contractors and service providers to ensure the office runs efficiently.
• Assist with office refurbishments, expansions, and relocations.

Administration

• Be the first point of contact for all enquiries to our telephone switchboard and info@ mailbox, responding in a timely manner to all enquiries and delegating across the team where relevant.
• Manage the daily postal system including opening post and recording donations on the finance spreadsheet.
• Managing deliveries to the office and organising couriers.
• Organise travel and accommodation bookings across the whole charity including fundraising events.
• Organise travel, meetings and staff attendance at events including the British Sarcoma Group conference.
• Make any bookings and arrangements for the team that involve financial transactions, for example booking travel, conferences, training courses, flowers for supporters and event purchases.
• Provide meeting room management, including bookings and catering.
• Carry out ad hoc administrative tasks for other departments when requested e.g. fundraising and information send outs during busy periods or absence.

Health & Safety

• Ensure compliance with health and safety procedures, maintaining a safe working environment in the office. This
• Regular health and safety inspections of the office and workstations.
• Carry out regular DSE tests
• Arranging regular PAT tests
• Cary out fire risk assessments (training will be provided)
• First aid assistance and maintain the first aid supplies (training will be provided)
•  Review and update the health and safety policy.

Other

• Support the operations team when required, this will include finance, database, and HR functions.
• The post holder will be working in a developing environment, and they will therefore be required to undertake other appropriate duties as necessary for the efficient operation of Sarcoma UK.

In this role, you’ll support the Longview team to effectively deploy over $10m per year to reduce the risk of a major global catastrophe, such as a nuclear war between great powers, an engineered pandemic, or the misuse of advanced artificial intelligence. Your work will enable Longview to operate more effectively and nimbly, and you’ll support a team working on high-impact grantmaking.

Key Information

Role: The Operations Analyst will support our operations, events, executive and grantmaking teams by managing our office, coordinating meetings, setting meeting agendas, and supporting other operations processes within Longview.

Location: London, UK (working full-time from Longview’s East London office). We may be able to sponsor a UK work visa for this position.

Starting Salary: c. £35,000-40,000 p.a. We may be able to offer a higher starting salary, depending on the successful candidate’s experience and skills.

Responsibilities

The Operations Analyst will support the Longview Philanthropy executive, grantmaking, operations, and events teams. Approximately 40% of their time will be spent on office management tasks and 60% on generalist-type operations tasks (depending on the successful candidate’s specific skills and professional development goals):

• Meeting preparation and coordination
  • Creating meeting agendas for senior staff (CEO, COO & Programme Leads) and sharing them ahead of time
  • Scheduling meetings between team members and external stakeholders
  • Organising our monthly all-team meetings
• Managing our London office
  • Keeping the office fridge stocked
  • Maintaining office inventory and equipment
  • Continuously improving our working environment
    • Including helping to scope for new offices, as required
  • Receiving and managing office guests

  • Assisting our remote staff with their local office spaces, including finding suitable offices and liaising with the providers

• Supporting staff where needed with smaller tasks, examples might include ordering items for staff and registering for events on their behalf
• Administering and troubleshooting key shared systems, for example, 1Password, Asana, Slack, Calendly, Zoom, AirTable, and Notion
  • Moderating these platforms and enforcing communications and sharing norms
• Managing our general enquiries email inbox and triaging emails to ensure they receive an appropriate response
  • Logging general job applications in our database and responding as necessary

Possible duties, depending on the candidate:

• Helping administer hiring rounds
  • Communicating with candidates
  • Managing the candidate pipeline and applicant tracking system during the hiring process, as well as the logistics for work tests, trials and interviews
• Supporting our IT infrastructure
  • Updating the website
  • Conducting basic cybersecurity tasks
• Working with our Data Manager to keep our CRM up to date by tracking key interactions

The successful candidate will initially report to Katie Hearsum, COO, though management may eventually move to another member of the operations team, and ideally would be able to start in July 2024.
