About the role:
- Providing administrative and secretarial support to the OD in performing his/her role, acting as a point of contact both internally and externally in the OD’s absence.
- Key point of contact both over the telephone and in written communication for the Regional office.
- Establish and maintain appropriate administrative systems, records and filing systems on behalf of the Region, arrange and minute meetings, producing letters, reports and other documents as required.
- Ensure the provision of all supplies including adequate stationery, furniture and office equipment, reporting any defects.
- Supervise the office I.T. system including the storage of documents, setting up directories, regular backups, reporting any faults, following the Dimensions' procedures.
- Support the Regional Management team in recruitment activity as required, liaising with the Resourcing team to ensure efficient and effective recruitment processes are achieved.

BACKGROUND INFORMATION AND PURPOSE OF THE POST
The Finance and Resources Team is responsible for responsible for HI’s finances, general services and HR in the UK. It comprises the Chief Finance and Operating Officer, a Finance Officer and an Accounting Officer.
The main purpose of this post is:
- To ensure smooth and efficient running of the HI UK office, including office services, IT, internal communications and health & safety

MAIN DUTIES AND RESPONSIBILITIES
Operations
- Maintain the office facilities and environment to agreed service levels
- Act as primary point of contact with the landlord and all suppliers for the office space, proactively dealing with arising issues
- Be responsible for the operation and maintenance of office equipment and IT equipment for all staff and volunteers, and arrange their repair or replacement, in conjunction with the Finance Officer and the Accounting Officer, as need arises
- Act as principal contact person for HI UK’s IT infrastructure and support provider, helping colleagues to access IT support when required and developing and implementing the organisation’s IT strategy
- Manage budget lines associated with running of the office and participate in procurement, primarily of office and IT supplies, liaising with external suppliers.
- Act as designated Health & Safety Officer for the office, including ensuring Health & Safety policies are up to date and being adhered to
- Continually review systems in place within the office, make improvements where required, and communicate these to relevant people
Human Resources
- Provide administrative support and advice for the recruitment of staff, consultants and volunteers, including advertising, interviews, issue of contracts and inductions, liaising with the federation manager and recruitment teams when relevant
- Assist with other HR tasks, including managing staff and volunteer files, managing the HR information system, administrative support for payroll and contributing to updates of the staff handbook
- Support teams on volunteer recruitment, contracts, induction, support and training
- Maintain an up-to-date welcome kit for new starters and provide and coordinate induction training sessions
· Make sure that HR policies and internal processes are updated and well known by all the staff
- Provide support and advice to managers on HR matters, in collaboration with the Chief Finance and Operating Officer and the Chief Executive, including leave management, payroll, pension, changes in contracts or situation, flexible working and flexible hours, diversity and inclusion, potential conflict and interpretation of the Staff Handbook
Administrative support
- Provide administrative support to the Chief Executive, including diary management, preparing and servicing meetings and filing
- Organise and support meetings of the Board of Trustees, including room booking, diary management, preparation of papers, minute-taking and organising catering
- Maintain filing systems
- Deal with enquiries, calls and emails from the public, partners and other HI entities
- Support specific projects as needed
Other tasks
- Contribute to projects led by the Finance and Resources team and the HI UK whole team.

Colostomy UK is a national charity that offers support and advice to people who have had stoma surgery (ostomates) and to their friends, families and carers. Our projects empower ostomates to return to sports, hobbies and other activities after their surgery and give them the confidence to take on fresh challenges. About the role:
As the Volunteers and Support Administrator you will provide efficient administration to our support services and volunteer team. You will also undertake any admin duties involved with running the Colostomy UK office and support other members of the team. You will be answering and re-directing incoming calls on our stoma helpline. This role is a pivotal one in Central England Law Centre as we strive to deliver excellent service to our wide range of clients from the local community in Birmingham.

We are seeking a dedicated and experienced operations manager to join our team. We are looking for someone who will help strengthen the foundations of our organisation, as well as help us expand our growing network of partner organisations across the UK.
As a small charity, the role will require balancing practical tasks with strategic planning and management. Building on what has already been done, you will work directly with the CEO to help build the operational structure of Big Green Heart, and support its day-to-day operations.
You will also facilitate the national deployment of Big Green Heart workshops across the UK, and will work with the CEO and trustees to implement the strategy needed to upscale the work of Big Green Heart.

RESPONSIBILITIES

The Gregory Centre for Church Multiplication (CCX) helps the Church make disciples in new and renewed ways. We work with willing partners across the Church to catalyse multiplication, equipping leaders through adaptive learning pathways.

CCX’s organisational structure is a hybrid management model, blending elements of both functional and project-based structures. Project teams are formed to address specific initiatives, tasks, or delivery projects. These teams are cross-functional, comprising individuals from different specialties, typically with a project manager working under the direction of a CCX lead. The two core teams of Operations and Media operate as shared services across the organisation.
Under the direction of the Bishop of Islington, a suffragan bishop of the London Diocese, CCX supports church planting and church growth work in London, nationally and beyond.
Collaboration and partnership will be key features of this role, working closely with the Bishop, Chief of Staff, and Team Leads. This role has a strong focus on agile and efficient systems development and improvement, resource optimisation and stakeholder engagement.

Key Duties and Accountabilities include:

● Manage and supervise staff or contractors within the operations team to ensure effective performance, including roles such as Business Applications Manager, Finance and Office Manager, Data and HR Coordinator.
● Develop, implement, and maintain corporate policies, strategies, and procedures pertaining to finance, human resources, IT, data management, safeguarding, and governance.
● Ensure the capacity and capability to provide support services to CCX team and stakeholders, such as dioceses, church leaders, church planters, TEIs, and Together partners, by recruiting and retaining skilled personnel and providing necessary resources.
