PA to Executive Director of International Programmes

Contract: 13 Months Fixed-term contract, Full Time, Maternity cover

About the Role:

The role will be split 80/20 with a majority focus on executive support for the Executive Director, ensuring they are well organised and briefed and supported to maximise her capacity to lead WaterAid effectively. In this role, you'll:

A) Provide professional, timely and proactive support to the Executive Director of International Programmes, including:

• General administrative support

B) Operations for the department

• Oversee departmental operations to ensure compliance with wider WaterAid processes as well as championing, innovating, or streamlining the department's process and procedure.
• Maintain effective filing systems ensuring archive material is safe and can be retrieved in line with Data Protection Regulations.
• Organise and lead logistical planning for any departmental events that take place in either the UK or Country Programme locations, as necessary.
• Work as part of a wider team of PAs and Administrators across the organisation, ensuring mutual support and good communication between teams.

About You:

• Proven successful track record of being a Senior Administrator or Personal Assistant in a global organisation, including exceptional diary management;
• Effective time-management, organisation and prioritisation skills, including ability to manage multiple projects and priorities and to keep track of high volumes of information within a busy environment;
• Excellent communication skills (written and verbal), including ability to assimilate information quickly and produce accurate minutes, clear PowerPoint presentations and written briefings;

The purpose of this role is to provide efficient and comprehensive administrative support to the joint directors of development and engagement (D&E), and director of policy and strategy (P&S). This would be an ideal role for a well-organised and enthusiastic candidate who is looking for the next step in their business administration career. The post-holder will also work closely with colleagues in the chair’s, chief executive’s, deputy chief executive’s and other directors’ offices, and will be a key member of a busy, but collaborative, executive support team (EST).

About the Role

The Kennet and Test Valley Methodist Circuit in North West Hampshire and West Berkshire offers a warm welcome to  visitors at any one of our six Churches where we worship in a variety of different styles. Our mission is to proclaim and reflect the love of God in all that we do.

We are looking for someone who has a passion and expertise for delivering care home ministry. The main focus of this role will be to work with us to continue developing a sustainable care home ministry. We have a desire to further extend our outreach into other care homes in the area from which it is anticipated there will be missional and development opportunities. You should have a nationally recognised biblical, theological or practical mission qualification or equivalent experience evidenced for the role.

About the role:

Reporting to the Senior Patrons Manager, the Patrons Manager is responsible for cultivating a pipeline of potential Patrons, from prospecting through to making the ask. You will work to achieve significant growth of Patrons membership whilst ensuring the highest standards are met.

• Significantly increase income from the Patrons scheme in-line with the Museum's Patrons objectives and strategy, primarily through the recruitment of new Patrons.

• To ensure that all UK and international Patrons are aware of opportunities to give to the scheme in a tax efficient and effective manner.

About you:

• Educated to degree level or equivalent, preferably in a subject which requires excellent written skills.
• Experience in fundraising and private giving with sound knowledge of Annual Giving schemes.

We are looking to recruit a Head of Member Acquisition and Engagement on a part-time contract. This is an exciting new role that will play a key part in our continued growth and will make a real impact on the teaching profession; we are looking for someone who believes in our mission and the work we do.

Working closely with the Deputy Chief Executive, Associate Director: Partnerships and the Marketing and Communications Manager, the Head of Member Acquisition and Engagement will take a lead on activity related to attracting and retaining our individual teacher members, including developing, rolling out and evaluating recruitment and retention programmes, initiatives and campaigns for current and prospective members. The successful candidate will be confident using data to inform decision-making and monitor progress towards membership growth targets and have the ability to work well independently and within a team.

Location:Our well-equipped office is in Kings Cross, London, WC1X 9NW. We encourage staff to work where they wish, at home or in the office, within the limits of the role and taking into account personal circumstances. This role will generally be expected to attend the office at least once a week and will have meetings at other locations in London fairly frequently.

Role Summary

This position provides key support for the policy and research functions of the charity, in addition to collaborating on campaigns and public affairs work. You will be responsible for carrying out primary research relevant to the charity’s policy and research functions. You’ll be monitoring and collating new policy and research materials and contributing to public communications including report-writing, blog posts and social media activity. You’ll be providing input into strategic planning regarding policy and research activities. You’ll connect with researchers and policy people from other charities and from universities. Finally, you’ll be attending conferences and meetings on behalf of the charity.

Key Tasks and Responsibilities

Policy

• Support the P&RM, DR&PA and CEO in responding to public consultations, advising policymakers and working with national policy and research bodies as appropriate.

• Represent the charity in meetings with policy partners where appropriate.

• Attend policy and research conferences on behalf of the charity, providing feedback to the team on key learning and opportunities that arise.

• Work with the SC&PA and DR&PA to draw up influencing strategies to target key stakeholders on policy priorities.

• Monitor external research that helps our policy work and opportunities for collaboration.

• Work with the SC&PA  to engage campaigners in our policy work.

Research

• Work with the P&RM to carry out research activities relevant to the policy and research functions of the charity; including collating and analysing data, and co-authoring reports for both internal and public purposes.

• Work with the P&RM and the Communications and Marketing teams to produce engaging and accessible communication of research findings for a range of audiences. 

• Monitor and collate new policy and research materials, including research reports, policy documents and media activity. Work with the P&RM to produce internal reports where appropriate and to ensure the charity’s activities reflect and respond to the wider policy and research environment.

• Work with the P&RM on external research projects funded by the charity, including support with assessing the quality of bids by external researchers. 

Across both areas

• Produce social media communications where relevant to policy and research. Work with colleagues across the Research and Public Affairs and Communications and Marketing teams to develop strategies for maximising impact, especially in digital communications.

• Contribute to strategic planning by contributing to staff meetings, producing supporting materials and providing feedback on public affairs.

The postholder will also be expected to:

• attend training courses and develop skills as required, sharing learning with other staff as relevant

• in unusual circumstances, work weekend and / or evening hours, for which time in lieu will be given

• undertake other reasonable work as requested by the P&RM.

We are looking for someone to help us promote the work of our diocese, which covers our churches in Edinburgh, the Lothians and the Borders.

The Diocesan Office of the Diocese of Edinburgh is a small friendly team. It includes the Bishop, the Dean, the Diocesan Administrator and Bishop’s PA, the Adviser for Christian Life, and a number of part-time officers The office supports the work of the 53 charges (church congregations) around the Edinburgh Diocese, which stretches from Falkirk across to Dunbar, and from the Firth of Forth down to the English border.

The Diocese of Edinburgh is one of seven dioceses in the Scottish Episcopal Church. We work closely with our counterpart colleagues at the Provincial General Synod Office and in the other six diocesan offices around Scotland. 3 As with any small organisation, there is a need for employees to be able to work flexibly and collaboratively alongside others.

• a communications, digital communications or marketing related role
• using Content Management Systems such as WordPress

MAIN PURPOSE OF JOB:

To work within the admin team to help provide administration support and answer a busy switchboard within the department under the direction of the PA to The Chief Executive/Admin Manager. 

ABOUT THE JOB:

An experienced and capable administrator with excellent literacy, numeracy and organisational skills, you will work within the admin team to assist with data entry, incoming and outgoing mail as and when needed.  You may, on occasion, assist other teams within The Trust with their duties.

Reception tasks will include answering all incoming telephone calls promptly, meeting and greeting visitors to reception and assisting with data entry and correspondence.

A good telephone manner is essential, together with excellent literacy and IT skills, coupled with the ability to work to tight deadlines, often under pressure.

This is a sensitive role which requires an individual with the ability to handle confidential information and empathise with our clients.  In addition, a compassionate, professional public image and the ability to liaise and communicate at all levels with sincerity, warmth, efficiency and flexibility is essential.

As a Business Support Officer/Administrator, you will provide general administrative support to the Operations team and assist the wider Malaria No More UK Team. Additionally, you will serve as the first point of contact for general enquiries and provide PA duties to the CEO and Leadership team. •  Assist  the Head of Operations in varied administrative tasks and ad hoc projects.
• Provide PA support to the CEO and Leadership Team.
• Manage diaries and meeting bookings.
• Ensure everyone has the equipment or resources they need to carry out their work efficiently.
• Responsible for office supplies and facilities.
• Work with the Head of Operations to contribute to an efficient, pleasant and effective day to day office and team environment.
• Main point of contact for communications, telephone and organisation email.
• Assist the other teams with general support, mailouts (using Salesforce) and more.
• General administrative tasks for the organisation.
• Manage all team travel, domestic and international.
• Data entry (using Salesforce).

Essential

• Excellent IT skills, confident in using Outlook, Excel, Word, Power Point and Databases.
• A demonstrably good level of numeracy and literacy.
• Experience working in a support role for a busy team.
• Confident and effective communicator – verbally and in writing.
• Experience of working with external suppliers.
• Extremely well organised and able to manage own workload.
• Committed to delivering accurate work to agreed and sometimes tight deadlines.
• Diary management experience.
• Extensive travel arrangement experience for a team.
• Problem solving skills.
• Ability to work from our office in Millbank, London a minimum of 1-2 days per week. Including every Wednesday.
