Mary’s Meals International is recruiting for an experienced Personal Assistant to join our Risk & Governance function. Reporting directly to the Support Services Lead, you will be responsible for providing efficient and effective support to our Chief Growth Officer, Chief Operations Officer and Chief People & Governance Officer, with ad hoc support to other members of the Executive Leadership Team (ELT). In this fast paced and varied role, you will work closely with our Boards, Committees and Leadership teams, providing a variety of support including: diary management, attending meetings, taking minutes, managing follow up actions, event coordination, maintaining systems and processes and undertaking specific projects as required.
Key responsibilities & activities:
· Assess ELT priorities and re-directing calls, enquiries and requests as necessary.
· Drafting emails and other correspondence, proof-reading, and writing reports.

· Carrying out background research and providing reports on various subjects.

· Attending monthly ELT meetings in person in Glasgow.

The Role
In this vital role you will be working closely with the Archdeacon and Associate Archdeacon of Oxford facilitating the smooth running of the Oxford Archdeaconry office. You responsibilities will include providing a confidential PA, secretarial and administrative support to both, through effective diary management, managing correspondence, supporting meetings, handling email and enquiries, taking minutes and facilitating events.
Working with the clergy and churchwardens in the Oxford Archdeaconry, you will keep records of those in post and be responsible for updating the diocesan and national databases. About the role
We’re looking for a super-organised, pro-active business support professional who has proven experience of managing a busy, ever-changing diary for a senior leader. Working alongside our CEO’s executive assistant, you’ll ensure our CEO is prepared and has everything they need to undertake their role. This includes the coordination of briefings, documentation and meeting logistics, to ensure a seamless service is provided to support our CEO.
You’ll also act as a key point of contact for our board of trustees, establishing yourself as their ‘go-to’ in the charity and ensuring an exceptional experience for our trustees as they undertake their responsibilities in relation to the charity.

The role
Working to support the CEO and Board of Trustees, this is a key role within the charity and we are looking for someone who is highly organised and enjoys the challenges of providing effective support, administration and governance at a senior level.
The individual we are looking for will:
- Have previous office management experience at Board level or within a charitable environment. They will be used to providing administration for meetings including the preparation and distribution of reports, agendas and papers in a timely manner along with the production of minutes.
- Be able to demonstrate good communication, in particular, concise and creative written communication as well as strong verbal skills.
- Demonstrate the ability to work on their own initiative and without supervision. They will be used to managing and prioritising their own workload as well as meeting demanding timescales and conflicting priorities.
- Be flexible and adaptable to the needs of the charity, the CEO and the Board of Trustees along with offering a wholehearted commitment to the vision and values of Penny Brohn UK.
This role is offered at 22.5 hours per week with a minimum of 1 day per week working in the Penny Brohn UK National Centre in Pill on the outskirts of Bristol. Due to the nature of the role, flexibility will be required in regard to the agreed work pattern in order to attend the Board and sub-committee meetings.
Board meetings - are held in person once per quarter and take place between 9am - 4pm on a Friday at the charity’s National Centre in Pill.
Sub-committee meetings are held via Teams and can vary between 3-5 meetings per month and take place across the week.
All meetings are planned well in advance and Board and Sub-Committee meetings are not held during school holidays.

This is an exciting new support role created to provide support to the team, and the CEO. ABOUT YOU
A track record of at least 4/5 years’ experience providing PA/Administrative support, ideally at a senior or executive level, with experience within the education/charity sector advantageous.

The ability to build strong, collaborative relationships both internally and externally is essential for you to be able to hit the ground running in this new role.
