Job purpose
The Executive and Operations Coordinator provides essential administrative, operational, and executive support to enhance the effectiveness of Toynbee Hall’s Advice Services directorate. This role combines high-level executive assistance including managing the diaries of the Managing Director and Deputy Director of Advice Services, coordinating communications, and preparing for meetings with operational support across finance, HR, onboarding, and general administration. Working closely with the finance team, HR, and advice teams, the Executive and Operations Support Officer raises and tracks purchase orders, processes invoice, reconciles credit cards, and ensures contracts and approvals are completed on time. They also provide flexible support across the directorate, assisting with logistics, meeting documentation, and crossteam coordination as needed. Reporting to the Deputy Director of Advice Services, this role plays a key part in ensuring seamless operations and enabling senior leaders to focus on strategic priorities and service delivery.

Key Responsibilities
1. Diary and Inbox Management:
- Manage the Director of Advice Services' diary and email communications to ensure optimal organisation and timely responses to internal and external queries.
- Coordinate appointments, meetings, and travel arrangements, balancing the Director’s workload and priorities.
2. Senior Leadership Support:
- Organise, plan, and take minutes at senior leadership meetings, including handling logistics like booking rooms, arranging refreshments, and notifying attendees.
- Follow up on action items and ensure the implementation of decisions made during meetings.
- Prepare and distribute reports and other documentation to keep the leadership team informed and engaged.
3. Operational and Admin Support for Deputy Director of Advice Services:
- Assist with delegated tasks from the Deputy Director to support broader operational and strategic objectives.
- Facilitate communication between the Deputy Director and other departments or external stakeholders.
- Support and work on operational and admin tasks as needed.
4. Operations Team Support:
- Assist the advice services operations team with administrative tasks, particularly in finance, such as processing invoices, raising Pos, tracking payments, etc.
- Support project management activities, ensuring tasks are completed within deadlines and budgets.
5. Communication Facilitation:
- Serve as a point of contact for internal and external stakeholders seeking to connect with the Advice Services directorate.
- Manage the distribution of information to staff and stakeholders to ensure consistent and clear communication.
6. Event Coordination:
- Help plan and execute internal and external events, including workshops, conferences, and staff meetings.
- Handle all event-related arrangements such as guest lists, venue, catering, and technology needs.
7. Ad-hoc Support:
- Provide flexible support to other senior managers and teams within Toynbee Hall as needed, including during special projects and peak periods.
- Coordinate and organise additional meetings and manage any emergent administrative needs.

What will I be doing?

About this key role
Working as part of a multi-disciplinary team to identify and assess young victims of violence, you will also provide support, advice and advocacy for children, young people and their families as they plan to be discharged from hospital back into the community. You will produce support and risk management plans based on your assessments and also deliver a holistic support service, working solo or with colleagues as the situation dictates, to each client. This will include providing practical guidance with social and housing support, accompanying to appointments, ETE options, benefits work, debt advice, DIY work and cleaning.
We will also count on you to develop and maintain relationships with partner agencies, including community-based services such as police, children’s services and local authorities, while closing cases efficiently and positively, identifying a referral route for children and young people that will identify agencies that can be used for ongoing support and agencies that can be used if serious problems develop in the future is also an essential aspect of the role.

Providing tailored support and guidance to children, young people, and families, this role will actively contribute to achieving high standards of care, quality, and positive outcomes - supporting service users to fulfil their potential, through consistent and meaningful participation.
Main Duties:
- Providing tailored one-to-one support, guidance, and interventions.
- Assessing the needs of children and young people, determining appropriate support plans and pathways, and informing risk reduction plans - supporting access to additional or specialist services where necessary.

About the role
Our People and Culture team are hiring a Payroll and Pensions Administrator to join the team to support with ensuring our staff are paid efficiently, accurately, and on time. You will play a pivotal part of the team to support with the preparation and processing of monthly payroll for all, coordinating effective and efficient end-to-end payroll and pensions administration, plus any additional relevant activities. You will utilise the tools and resources available to ensure we meet the needs of all our stakeholders and comply with legal matters. The role will further include:
- Taking ownership of administrative tasks in the payroll and pensions process, being the point of contact for enquiries in this area.

About the Department/Role
The Church of England is continually striving to improve its safeguarding practices. The 2020 report by IICSA on the Church highlighted failures in respect of child sexual abuse and, more broadly, the challenges facing the Church to get safeguarding right.
The Church's aspiration is that safeguarding is not experienced and approached as a matter of administrative compliance. Rather, it should be what the Church is - something that flows from its core beliefs and values, part of its DNA.
The Church has made important and positive strides over recent years. There is, however, still much to be done to keep children and vulnerable adults safe, and to promote their well-being. The Church is a complex collection of different bodies. Most of the safeguarding work is carried out locally within the 42 dioceses and cathedrals in England. This work is supported centrally by a National Safeguarding Team (NST).
What you'll be doing
The Church of England seeks a committed and collaborative Safeguarding Policy Officer to join the National Safeguarding Team. This role is central to developing, revising, and implementing national safeguarding policies that protect and support all members of the Church community.
Working closely with Safeguarding Policy and Development Leads, you'll ensure policies are grounded in academic research, aligned with legislation and canon law, and informed by survivor experiences and Church-wide learning.
In this role, you will:
- Co-manage the development and roll-out of safeguarding policies, codes of practice and guidance
- Collaborate with stakeholders, including survivors, bishops, Diocesan Safeguarding Officers, and Church bodies
- Ensure policy relevance across dioceses, parishes, cathedrals, religious communities, and theological institutions
- Lead the coordination and improvement of the safeguarding e-manual
- Engage with NCIs departments to embed safeguarding policy into wider initiatives
- Support the NST's learning and review cycle to refine policies over time
- Represent survivor perspectives within policy, training, and quality assurance activities
- Provide briefings and respond to safeguarding queries from Church bodies
- Take ownership of non-legislative content creation related to safeguarding
Key role requirements
- A basic DBS check will be required as part of our pre-employment checks.
- This is a hybrid role, and working arrangements can be discussed with the hiring manager.
- Please note: This is a fixed-term opportunity, and we are seeking to appoint three candidates across the following contracts:
- 1 position: 2-year fixed-term contract
- 2 positions: 15-month fixed-term contracts

You will need to be/have:
To thrive in this role, you'll bring a unique blend of analytical skill, emotional intelligence, and commitment to safeguarding excellence. Below are the essential and desirable qualities we're looking for:
- A degree is not required for this role; however, the candidate will need to evidence at least 5 years of relevant experience in a similar field
- Strong written communication, able to tailor content for diverse audiences
- Skilled in analysing complex and conflicting information and distilling it into clear policy or guidance
- Confident working collaboratively across internal and external partnerships
- Able to lead and facilitate stakeholder groups to achieve outcomes
- Able to build trusted relationships with varied stakeholders, including survivors and Church colleagues
- Ability to communicate sensitively and effectively with individuals from all backgrounds, both written and verbal
- Experience in producing clear, effective policy and guidance for a range of audiences.
- Knowledge of national safeguarding legislation, statutory guidance and policy (e.g. Children Acts, Care Act, Working Together, criminal justice legislation), both current and historical, as relevant to non-recent abuse.

Your Salary
- A salary of £48,557 per annum, plus age-related pension contributions between 8-15% of salary. We will also match any pension contributions you make up to an additional 3% of your salary.
