We are looking for a Senior Administrator on a part time basis (2 - 3 days per week) to provide administrative support to the Chief Executive and PA to the Chief Executive through a variety of tasks.
About this role:
As Senior Administrator, you’ll provide general administrative support to the Chief Executive and PA to the Chief Executive, including:
- Managing and processing expense reports and reimbursement claims
- Making travel arrangements for the Chief Executive (and, where required, Trustees and other members of the Leadership Team), often at short notice
- Responding to letters and department queries quickly and accurately, always maintaining confidentiality.
- Monitoring the Chief Executive’s emails, deleting, responding, contacting the Chief Executive to discuss where necessary, in the absence of the PA
- Working with the internal comms team to arrange and deliver regular Manager Q&A sessions
About you:
To be successful in this role, you’ll have previous experience in a secretarial role in a busy office environment, with the ability to organise and prioritise your own workload effectively. You’ll have excellent listening skills with the ability to communicate both in writing and verbally at all levels, and you will have a positive attitude and the ability to adapt quickly to changing situations, always remaining calm under pressure.

Personal Administration Support

- Ensure all necessary briefing papers and documents are compiled for the Chief Executive in good time in advance of meetings
- Prepare and present excellent Powerpoint and other presentations for internal and external audiences, e.g., meetings with donors, trustees and other key stakeholders.
Governance Support
- Co-ordinate and attend Trustees’ meetings, including arranging dates, preparing papers in advance, taking and sending out minutes
- Administrate the Investors’, Communications, Fundraising, Strategy and Finance, and other Trustee Steering Groups
- Support with various ad hoc projects to enable robust organisational governance
- Coordinate the Strategic Delivery team monthly meeting, and Senior Leadership Team weekly meeting, including organising meeting dates, preparing agendas and sending out minutes, as well as ensuring follow-up actions are completed
Wider team support
- Work with a team to man the reception desk during office hours, and answer the office mainline phone and email inbox

What the job involves
We're on the lookout for an Executive Assistant to join our team at Prostate Cancer UK. This role plays a crucial part in facilitating the efficiency and effectiveness of the CEO, Chair of Trustees and Director of Fundraising by delivering high-calibre, proactive administrative, logistical and operational assistance.
You’ll act as the key liaison between the CEO, Chair of Trustees and/or Director of Fundraising with internal and external stakeholders, managing at times sensitive, confidential information. You’ll manage the charity stakeholder map ensuring appropriate contact with all priority stakeholders.
You’ll particularly ensure the CEO is fully prepared and briefed by proactively scrutinising papers and submissions made to the CEO, identifying critical issues for urgent attention and/or decision, undertaking collaboration with internal stakeholders for their advice as appropriate. You’ll also represent the CEO providing executive input management and support on projects / steering groups where they are unable to attend.
This will be a busy but varied, rewarding and interesting role where you’ll get to see firsthand the work and impact of the work of Prostate Cancer UK, significantly contributing to our mission to give every man the power to navigate prostate cancer. What we want from you
To be successful in this role you’ll have extensive experience of senior level organisation and administration support in a small to mid-sized organisation. Any experience within the not-for-profit sector, volunteering or as acting as a Trustee would also be beneficial for this role.
Due to the strategic importance of the role, it will be important to have a calm and professional approach to work with a solution focused mindset, being able to work independently and collaboratively as required.
You’ll also understand the importance of confidentiality and discretion when working in a trusted role with access to highly sensitive information. About the role
Are you a changemaker? Fancy working for an organisation creating a better world, free from poverty? How about learning the ins and outs of a leading development charity? As Executive Assistant to the Director of Fundraising and Supporter Engagement, you'll ensure the smooth running of the department whilst enabling the Director to do his job effectively. You'll develop and grow, taking the lead on key departmental comms and project work, and gain a strong understanding of fundraising and supporter engagement in the process. Purpose
This role will report to the Senior Project Manager, Learning & Innovations Unit, and will be responsible for providing executive assistance to both the Deputy Director (DD) and the Finance & Operations Director (F&OD). The main duties include scheduling meetings, handling correspondence and assisting with the management of projects that both Directors are involved in. To be successful in this role, you will be able to initiate, meet deadlines and communicate effectively. Ultimately, you will be identifying and addressing the needs of the Deputy Director and the Finance & Operations Director, performing management and administrative tasks and building good working relationships to increase the effectiveness of the organisation.
Main Responsibilities
Working as the Executive Assistant & Project Manager your main responsibilities will include:
Contribute towards CUK’s mission and strategic objectives through Executive Support function
· Manage DD and F&OD’s diaries including booking meetings, scheduling attendees and organising venues, in person and online.
· Manage DD and F&OD’s correspondence including prioritizing and responding to emails.
· Schedule Appraisal and Supervision meetings and visits: ensuring both Directors’ time is well used through proper preparation and follow-up with direct reports, other local staff and external stakeholders.
· Process expenses.
· Maintain an electronic filing system, ensuring processes and software are up to date and in working order.
· Provide management and administrative support to assist DD and F&OD in their workload.
Build and manage projects and achieve work targets effectively
· Co-ordinate projects and ensure follow-up with team members where required.
· Create and manage systems to monitor performance of the Chapters, Projects and staff supervised by DD: e.g. through reporting mechanisms and supervisions and appraisals.
· Maintain an action log for DD including following up with those responsible to ensure actions are taken. Manage DD’s workflow and to-do list, assisting with prioritisation and the delegation of tasks to staff.

Acting as the first point of contact for the Corporate Partnerships team, you will provide PA support to the Head of Corporate Partnerships and flexible and responsive coordination of a wide range of projects. You will be responsible for extensive diary management and administrative support to the Head of Corporate Partnerships as well as supporting the wider team. Responsible for the financial management of the team budget, you will process all elements of financial activity for the Corporate Partnerships team and ensure exceptional service delivery of multiple Account benefits.

You will have a proven track record of handling multiple projects at a time and calmly working under pressure. The ideal applicant will:
- Have experience of providing Senior PA or EA support at Senior Executive level and be comfortable and confident liaising at this level and with public figures on occasion.
- Be incredibly organised and able to prioritise and respond to short notice requests and changes.
- Have excellent interpersonal skills and be able to get to know people, build rapport and trust very quickly.
- Have excellent IT skills – especially in Microsoft Office packages and Teams but a general good understanding of IT and IT equipment.
