As a Personal Assistant, you will be responsible for proactively managing the diaries of 2 Directors, the administration of meetings, including the taking of notes, archiving of papers and distribution of letters and emails, agendas and other documents where required.
If successful, the main duties of your role will be:
- Proactively manage both Director’s diaries and respond to emails where appropriate including the organisation and prioritisation of all internal and external meetings
- To archive and record all relevant papers for retention in respect of Welfare and Operations Directorate activities; that can be easily retrieved and accessed at a later date
- To book travel and accommodation in line with the expenses policy for the RBL Group.
- Forward plan internal meetings, booking accommodation, sending invitations and arranging catering as appropriate
- Provide administrative support to the Specialist Services and Casework Assistant Directors for meetings e.g. issuing agendas and recording the actions of meetings as required. This may require a degree of travelling and occasional overnight stays away in appropriate hotel accommodation iaw RBL guidelines
- Design high quality presentational information for the Directors which can be used both internally and externally

The Executive Assistant provides efficient administrative and general support to the CEO and Senior Management Team to assist them in fulfilling their roles effectively. As the Executive Assistant you will support the Senior Management Team in their role as leaders by ensuring they can act efficiently, with their time optimised and act as Office Manager by maintaining a safe, efficient, professional, and welcoming office environment (both physical and virtual).
You will provide flexible support to the director of the charity, and other senior members, co-ordinating diaries for the Senior Management team, liaising with external and internal contacts to confirm appropriate appointments and making necessary arrangements.
About you
To be considered you will have the ability to build relationships at all levels, both internally and externally. You will have the ability to take and prepare minutes to an excellent standard and have advanced planning and organisational skills. The candidate will also be confident in using outlook email and calendars, Teams and Microsoft Office and have touch typing skills of at least 50 wpm.

Description
The main duties of the Executive Assistant are;
- Manage a complex calendar, coordinate and support meetings and other events, and ensure that the President's time is scheduled in an efficient manner
- Coordinate travel arrangements, including obtaining visas, booking flights and transfers, and preparing travel documents
- Provide daily in-office logistical support, including greeting guests, connecting video conferences and calls, setting up meeting rooms, etc.
- Develop and implement working protocols for remote work days
- Provide timely, accurate, and detail-focused attention to tasks, including but not limited to drafting and processing correspondence, creating and updating electronic and paper filing systems, scanning, copying, screening calls and directing messages, taking notes during meetings, gathering and distributing meeting materials
- Reconcile complex monthly expense reports
- Collaborate with Executive Office colleagues to ensure coordination across teams * Opportunities for occasional travel to staff the President at board meetings and external events, not to exceed 10% of weekly time
