Westway Trust are seeking an experienced and confident Team Administrator to provide efficient and effective administrative support to the Property Department, playing a key role in ensuring the annual cycle of organisational requirements in terms of administration are well planned, on track and delivered by the relevant part of the team. 

You will be a friendly, motivated and pro-active Administrator who will be highly organised to drive a number of competing work packages. You’ll be comfortable in connecting with colleagues, tenants and key partners and stakeholders on the Westway Trust 23 acres estate, with the ability to listen and gather a range of source material and feed these back into the work of the Property Team.

Key responsibilities of the role include but are not limited to:

• Provide efficient and effective administrative support to the Head of Property and the Property Managers, including the scheduling of team meetings.

Why Access Social Care Exists 

Every day, millions of older and disabled people are denied the social care they need. Most local authorities can’t meet the growing demand for care, and none are confident they can meet their legal duties in the future. This affects all of us - we will all need social care at some point in our lives. 

We all have a right to hold public bodies to account, but most of us cannot afford lawyers so rely on legal aid. The 92% drop in legal aid cases since 2010 means that we have nowhere to turn. Without access to justice, our rights do not exist. The rule of law is broken. 

What we do 

Access Social Care provides free legal advice and information for people with social care needs, helping achieve a better quality of life. We work with communities to increase knowledge of the law and our rights. We highlight the gap left by cuts to Legal Aid and provide advice for those who can’t afford it. 

With a 98% success rate, our network of lawyers provide access to justice when things go wrong. We collaborate with social services whilst ensuring legal obligations are met. We are working towards a future where social care is adequately funded, and we all get the support we need. 

We provide rights awareness training to front line managers, and legal advice and support to families and individuals. As well as providing access to justice, our aim is to drive system level change through evidence-led influencing and strategic casework.

Responsibilities

Travel and Logistics Coordination

About the role

We are seeking an enthusiastic team administrator to join our small, friendly and relaxed team at SCONUL, the professional association for academic and research libraries. The team currently works one to two days a week from our modern offices close to Euston station and the remainder of the week from home. 

You will be responsible for providing administrative support across all aspects of the organisation’s work, including diary management, the organisation of meetings and supporting the delivery of the SCONUL Access Scheme. It’s a role that provides scope for autonomy and to become involved in the full range of the organisation’s work and to develop a broad set of skills.

We are looking with someone with relevant office or administration experience who is well organised and with strong communication and IT skills. The role would suit someone who is self-motivated, flexible and happy to take the initiative.

• Supporting the delivery of the SCONUL Access Scheme including:
  • answering routine queries from Access Scheme users, applicants and university administrators
  • providing SCONUL Access contacts with timely and relevant information about the scheme
  • providing routine technical support to applicants and university contacts responsible for processing applications and refer potentially more complex or disruptive technical problems
  • drafting changes to website content to reflect the scheme’s current practice and procedures.
• Supporting the delivery of SCONUL events including:
  • drafting and following up invitations to speakers and other participants with support from the Project Manager
  • managing and processing events registrations
  • booking accommodation and travel arrangements when required
  • production of event documentation
  • helping to manage events on site, including briefing and managing colleagues, volunteers, and external suppliers, supporting, advising and directing event participants.
• Processing invoices and other office paperwork.
• Answering general queries from members and students phoned into the office.
• Uploading content onto the SCONUL website and helping keep the content up to date.

Skills and experience required

About you:

You will be an accomplished project manager, with a high degree of business acumen and substantial experience of setting up and delivering projects working with and through multiple stakeholders and partners. Purpose of the Job  

We are looking for the Production Supervisor to play a key role in our brand-new Production team under project ‘Unit 17’.  

You will be the on the ground senior leading the teams in the daily tasks to be completed, working as the connection between the management team and the team members and volunteers. Working hands on within all the production lines, leading by example and supporting the team across the operation. 

This is an operational role, mainly based on the production floor but with a range of reporting and administrative tasks involved. You will report into the Production Manager and work closely with them on the day to day running of the unit as well as supporting covering their duties when they are away.

You will be supervising and supporting the teams to deliver on each day’s production targets as well as ensuring that all rules and HACCAP plans are followed correctly, providing real time feedback to the management team on any issues and resolutions taken.

More about Unit 17 

In early/mid 2025, we opened our second production facility as part of the Coronation Food Project. The Coronation Food Project was set up to celebrate His Majesty King Charles 75th birthday and seeks to bridge the gap between food waste and food need across the UK. 

We will be taking in surplus food from our supplier network and creating a range of products which have added value and extended shelf life.  A particular focus will be seasonal produce gluts, using ingredients which we may otherwise not be able to redistribute.  

Using four key processes (re-packaging, jarring / preserving, dehydrating and freezing), we will create a range of products which will be used in these three main ways:  

• Distributed to our partner community organisations as ‘ready to eat’ or ‘easy to use’ products for their service users - always delicious, achieving relevant safety standards and meeting the needs of the eventual end user. 

• Used in the East London Central Production Unit (CPU) to support creating Felix Ready Meals.  

• Used in Unit 17 in the creation of other products (for example frozen produce later used to make jarred sauces or preserves) 

A typical day at Unit 17 will likely include planning new product/s based on the ingredients available that day, agreeing relevant food safety requirements and working in line with this, working with the production team and volunteers to prepare, produce and package delicious products, planning for future products and project work.  

Duties and Responsibilities

The Operations Administrator will work closely with the broader Operations team to provide centralised communication and administrative support, and effective coordination across all aspects of the work of the Operations team.

As this role is central to the work of the Operations team, the person will need to be proactive, organised, and able to juggle multiple tasks and deadlines. We are looking for the Assistant Kitchen Manager to play a key role in the Kitchen team.

Felix’s Kitchen is the longest running Production site we have here at The Felix Project, the staff and volunteer team in the kitchen, turn surplus food into almost 5,000 meals a day. These meals are cooked and packed on site and then go into our network of depots and on to some of the 1,200 community organisations we support.

This role is support in the managing of the day to day running of the kitchen, its team, the food production and packing of the meals and all aspects related to these responsibilities. Assist The Kitchen Manager in all aspects of the operation and planning for the kitchen.

No two days are ever quite the same in our kitchen, we work with volunteers and surplus food this means we adapt and thrive in a fast and changing environment. This role supports and oversees the entire operation, from the kitchen and chef team to the packing room and packing team, our volunteers and engaging and organising within the wider Felix Project.

POSITION OVERVIEW

The Programme Development Manager represents an evolution from our Programme Manager role, focusing on shaping the future direction of The Avenues Youth Project's programmes whilst maintaining oversight of current delivery. This isn't just about managing what we do now, it's about looking ahead and designing what comes next.

Working closely with the Programme Director, you will be responsible for researching innovative approaches to youth work, developing funding proposals, and creating programmes that respond to the changing needs of young people aged 8-19. ● Monitor programme quality through systematic observation, feed \back collection and data analysis.

● Lead programme effectiveness reviews and provide recommendations for improvement.

● Liaise with external quality assurance bodies, inspectors, and regulatory authorities as required.

Staff Leadership and Development

● Line Management of Programme Operations Manager and Lead Youth Workers - including regular observations, formal supervisions, annual appraisals, and investing in their professional development.

● Attend Line Managers training and regular sessions with HR Manager.

● Deliver reflective practice sessions to the youth work team to support continuous professional development as part of our Learning and Development plan, in collaboration with HR Manager.

● Assist in recruiting or contracting new workers, tutors or teachers as required.

Funding and Financial

Strategic Funding Development

● Collaborate with the Fundraising Manager to identify funding opportunities that support programme development priorities and organisational objectives.

● Contribute to funding applications for new programme areas, ensuring proposals demonstrate clear impact potential and realistic delivery plans.

● Develop comprehensive business cases for programme expansion, including cost-benefit analysis and risk assessment.

● Monitor funding environments and policy developments that may influence programme design.

Financial Administration

● Work with the Finance Controller to ensure high-level financial administration and record keeping, with accountability for project expenditure.

● Maintain clear understanding of AYP's programme budgets and finances, with responsibility for budgeting, monitoring and reporting of assigned budgets.

● Participate in regular budget meetings with the Programme Director and work with the Finance Controller to ensure costs remain within budget.

● Check and approve Lead Youth Workers timesheets for allocated budgets and resolve discrepancies.

Safeguarding and Compliance

● Act as Designated Safeguarding Lead and carry out responsibilities in strict accordance with AYP's Safeguarding Policy,

● Work with TACs, PRUs, Police, Early Help Teams, MARFS, LADO etc. where required to ensure safety of all young people, staff and volunteers,

● Act as main point of contact for safeguarding referrals, working in partnership with other agencies to ensure safety and wellbeing,

● Maintain comprehensive knowledge of safeguarding practices and current legislation.

GENERAL RESPONSIBILITIES 

· In conjunction with your Line Manager to continuously develop the role to ensure that all tasks are being undertaken in an effective and appropriate manner which meets the strategic aims and objectives of The Avenues. 

· Participate in internal/external meetings as required, and attend training events, conferences, and other functions as necessary. 

· Participate in regular supervision and annual appraisal and help in identifying your own job-related development and training needs. 

· Adhere to all The Avenues’ policies and procedures. 

· Stay abreast of policy and developments in youth work locally and nationally.

· Always undertake your role in a professional manner maintaining a high-quality standard of work and in accordance with our values and role model our Behaviours Framework.
