ACCT UK is a national youth charity dedicated to improving the life chances of young people through supporting the Army Cadet Force and its activities in the community. The Combined Cadet Force Association (CCFA) is a charity dedicated to the promotion of the ideals and activities of the Combined Cadet Force in schools. KEY RESPONSIBILITIES

Executive Support

• Act as liaison between the CEO and internal and external stakeholders, drafting communications and ensuring clear, timely information flow; supporting scheduling of meetings and tracking of actions and, with support from the CRM Manager, ensuring key contacts and relationship data are accurately and securely maintained on the organisation’s central database.
• Coordinate meetings and agendas with the CEO, Director of Finance and Operations, Chair of the Board, and Board sub-committees; manage papers and follow-up actions.
• Organise external meetings, including venue liaison, room bookings, and travel arrangements.
• Provide administrative support to the Senior Management Team (SMT), including preparing reports, presentations, and other materials as required.
• Coordinate SMT and Programme Board meetings including compilation and circulation of agendas and supporting documents.
• Prepare regular status updates on project progress; maintain a record of agreed actions from meetings and liaise with team members to gather updates and ensure timely completion.
• Act as a point of contact between the Senior Management Team and working groups focused on Equity, Diversity & Inclusion and Well-being.

Board Support & Impact Reporting

• Support board-level processes by coordinating meeting logistics; prepare, compile and circulate materials including agendas, minutes, reports, and presentations;.
• Maintain accurate records of meetings including tracking and reporting on Board decisions and action items, ensuring timely follow-up and completion.
• Assist in developing and maintaining risk management and impact reporting frameworks and tools for the Trustee Board.
• Collect, analyse, and report on data related to AVUK’s strategic programme impact and outcomes.

Governance and Additional EA Support Duties

• Support the Director of Finance and Operations and Operations Manager to ensure AVUK’s legal obligations regarding governance, record-keeping and reporting requirements are maintained.
• Oversee office management and liaise with landlords at AVUK centres in London, Bicester, and flexible workspaces in Glasgow and Leeds.
• Manage special projects and initiatives as assigned by the CEO or Senior Management Team, including planning and execution.

These responsibilities are not exhaustive and will be reviewed, in consultation with the post-holder, from time-to-time and amended in light of the changing needs of the charity and experience and development of the post-holder.

PERSON SPECIFICATION

Essential:

• Proven experience as an Executive Assistant in a similar role, or in direct organisational management.
• Strong organisational and time management skills, with the ability to manage multiple priorities effectively.
• Excellent written and verbal communication skills, with a high level of attention to detail.
• High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to work independently and collaboratively within a team.

We are seeking a Scientific Communications and Content Assistant to join our talented Scientific Communications Team during an exciting period of growth and change for both charities.

The Scientific Communications and Content Assistant will support us to deliver our scientific communications strategy by helping to draft, design and publish engaging content for our print and digital platforms. Fowler’s Syndrome UK (FSUK) is the only charity in the world dedicated to women (and afab) with Fowler’s Syndrome or Chronic Idiopathic Urinary Retention; a life-changing and poorly understood bladder condition that causes full or partial urinary retention.

The CEO is looking to appoint a highly organised, pragmatic, and detail-focused professional to deliver executive, project and governance support on an initial fixed-term contract of 1 year.

In this vital role, you will harness your initiative as you provide proactive PA support to the CEO and Chairs of the medical and trustee boards, while delivering project and event coordination across FSUK’s core programmes.

Excitingly, alongside executive and governance administration and support and ensuring that the charity maintains the highest standards of compliance and record-keeping, you will also be responsible for project management of two major initiatives such as FSUK’s flagship CURATE consensus project, alongside their annual two-day conference. From coordinating clinicians and steering groups, to managing logistics, guest travel, supplier liaison, and on-the-day delivery, you’ll ensure these complex projects run efficiently. You will also assist with grant applications, research activity, and the production of project trackers and reports.

Job Description

Key responsibilities:

· Maintain supplier records including validating and updating bank details, contact information, and remittance addresses.

· Monitor the Finance Department mailbox and in-tray, responding and redirecting queries as appropriate.

· Process financial transactions including supplier invoices and staff/credit card expense claims in accordance with agreed processes and deadlines.

· Support preparation and batching of weekly and ad-hoc payment runs, ensuring proper documentation is attached and ready for approval.

· Complete bank reconciliations and assist in routine reconciliations of supplier accounts, and other control accounts under the guidance of the Senior Finance Assistant.

· Maintain accurate and organised filing (electronic and paper) for all processed work.

· Assist with audit and reporting tasks by retrieving and preparing documentation as required.

· Provide cover and support across other transactional processes during peak times or absences

Working Environment:  

The post holder should expect to:

· Work in a hybrid hot desk environment, generally working 2 days a week in the London office and three from home.

· Be responsible for the input and maintenance of databases and files relevant to the post requirements.

· Will occasionally be required to attend events in the evening and at weekends.

The Role

The Events Assistant will provide administrative and event delivery support to the Head of Events and the Events Coordinator in the planning and delivery of physical and virtual meetings, events and courses.

This role is hands on and varied, involving everything from maintaining delegate registrations, liaising with venues and exhibitors, producing event materials, to staffing registration desks and supporting delivery onsite. The Events Assistant will play a vital role in ensuring BAUS events run smoothly and to the highest standards.

• Supporting the delivery of BAUS’s flagship Annual Meeting and a calendar of Specialist Section Meetings, Education Courses and virtual events.
• Maintaining accurate delegate and speaker databases, attendee lists and name badges.

• Liaising with venues, suppliers, exhibitors and delegates.
• Providing administrative support including processing payments, handling enquiries, and producing post event reports.
• Supporting set up, breakdown and onsite delivery of events (some travel and overnight stays will be required).

The Person

We are looking for a motivated and adaptable individual with strong organisational skills, excellent attention to detail and a collaborative approach. You will need to be comfortable working in a fast paced environment, with the ability to multitask effectively and demonstrate a high level of customer service.

Essential experience, skills and attributes include:

• Previous experience working in an events environment, or completion of an Events Management course.
• Strong written, verbal and numerical skills.
• Excellent IT skills, with confidence in Microsoft Office, Zoom and Teams.
• Enthusiastic, flexible and pro-active, with strong problem solving ability.

• Experience of marketing and social media, with creative/design ability.

Key tasks and responsibilities:

1. Supporting all aspects of the day-to-day running of the programme to ensure the clubs have high standards of service delivery.

2. Supporting the FOOD Club Coordinator to carry out regular compliance checks to ensure the quality and safety of the service, in order to protect service users and Family Action.

3. Ensuring all aspects of the role are carried out in line with food safety/hygiene standards.

4. Ensure volunteers are using up-to-date allergies forms to prevent any risk to service users.

5. Support the FOOD Club Coordinator with financial checks, stock control, recruitment, induction and training of volunteers.

6. Recording accurate data to enable the FOOD Club Coordinator to report on KPIs, including uptake of the scheme, service user income, and the positive financial impact on families.

7. Encourage regular attendance at FOOD Clubs to ensure income is maintained and to prevent food wastage.

8. Provide regular feedback to the FOOD Club Coordinator on the quality of food and resources from suppliers.
