An exciting opportunity has arisen for an Executive Assistant to join the Chief Executives office. Your role is to provide high quality support to the Directors and by extension, the Senior Leadership Team

Role Requirements

• Provide high level administrative support to the Directors.
• Exercise judgement in prioritisation, dealing with matters within own remit and / or referring them to the director as and when necessary, ensuring tact, discretion and courtesy at all times.
• Review incoming mail, prioritising, redirecting or responding to issues.
• Monitor the email inbox of the Director(s), responding where relevant and highlighting any urgent messages to Director.
• Draft, edit and format documents
• Arrange travel bookings / itineraries
• Communicate instructions and other messages to managers and staff clearly and promptly on behalf of the Director(s)
• Keep Emergency Procedures File up to date.
• Monitor team PDR dates, and keep Director(s) updated in this regard; schedule PDRs for Director’s direct reports.
• Effectively support meetings in terms of venue, accommodation, equipment, and refreshments.
• Attend team and other relevant meetings taking and producing minutes for distribution (as required);
• Liaise with Reception in relation to external visitors and ensure the smooth running of internal and external meetings and visits;
• Process expenses on behalf of the Director(s).
• Manage the Director’s corporate credit card and reconcile against monthly statements
• Assist the Director(s) with additional administrative/organisational tasks assigned at the discretion of the Director.
• Assist in the planning, execution and tracking of key projects. Coordinate project timelines, deliverables and resources to ensure successful completion within deadlines.

The Administrative Officer will play a key role in helping to ensure the smooth running of HEP’s operations, events, and communications, and in delivering the high-quality service that underpins our success.  This role reports jointly to the Operations Manager and the Lead for Digital and Communications. 

Key Responsibilities 

Administrative Support

• First point of contact for schools, clients, suppliers, and visitors triaging issues and responding efficiently and helpfully to queries in person, via phone, and by email
• Manage day-to-day administrative tasks including maintaining records and supporting internal workflows and some internal team communications

Event / Visitor Coordination

• Prepare and manage meeting rooms and training venues liaising with trainers and delegates

CPD Support

• Support with organising and hosting online and in-person training and courses

Community Project Lead

IPSEA is the leading charity in the field of SEND law in England, and we provide free and independent legal advice and support to families of children and young people with SEND. We also provide training on the SEND legal framework, and we influence policy at both a local and national level.

We are looking for an experienced and motivated Community Project Lead to join our team and lead the development of our advice services for under-served communities. This two-year, fixed-term role is a key part of our strategy to reach groups who may not traditionally engage with IPSEA’s support - including children and families with English as an additional language, cared-for children (children in care), migrant children, detained children, and Gypsy, Roma and Traveller communities.

The project builds on a detailed scoping exercise we’ve recently completed, which involved working closely with a wide range of charities and organisations that support these communities. The resulting report outlines the barriers they face, and will form the foundation for this project and directly inform the work you will lead.

What you’ll do 

• Design and develop pilot advice services that are tailored to the needs of under-served communities, using findings from IPSEA’s research 

• Build and maintain strong relationships with community groups, charities and service providers to co-produce accessible services 

• Collaborate with IPSEA’s advice, legal and policy teams to address the barriers these communities face in accessing SEND legal advice 

• Contribute to and share outreach materials, training resources and toolkits to support families of under-served communities and empower local advocates 

• Plan and lead workshops, focus groups and community events to raise awareness, gather feedback and enhance service delivery 

• Monitor and report on project outcomes and impact, providing regular updates to IPSEA staff and stakeholders

Main Purposes of Job and Key Tasks

We are seeking a highly organised and quick-witted Operations Officer to join our dynamic team at Spring Community Hub. The ideal candidate will have experience in operations or project management and excel at managing multiple priorities simultaneously. The Systems and Administration Officer will be responsible for the effective running of Heart of the City’s systems and administrative processes, ensuring that digital tools are utilised in the most effective way, and governance, finance and business support processes are delivered efficiently.

The post holder will manage the delivery of key IT, finance, governance and administrative processes. This includes ensuring the legal compliance, effectiveness and security of cloud services and software used by the team, supporting the director with financial planning and administration and managing calendars, governance systems and general correspondence. The post-holder will also be a key contact point both internally and externally; this includes senior stakeholders on the Board of Trustees and Council of Members. They will also support the team with day-to-day office management and queries with software and cloud service usage, with a view to streamlining systems where possible.

This exciting Database Officer role will support the data team with data imports, data selections and processing of income.

The Foundation has just started using a new CRM after undergoing a CRM migration from Raiser’s Edge, a very exciting time to be joining the Foundation! What does the role involve?

• Support training for colleagues using the new CRM (Beacon) and help ensure all members are trained and kept up to date on new features and enhancements as they require to do their job effectively.
• Support the reconciliation of the bank statement with Beacon and ensure the Finance team know where to find information to enable accurate coding for management accounts.

What skills, knowledge and experience are we looking for?

• Demonstrable relevant experience working in Fundraising, or a Charity database team role using Beacon, Raiser’s Edge or any database similar, with experience of CRMs in general.
