Key tasks and responsibilities

• Liaising with educator partners to ensure key quality assurance documentation is submitted to deadlines and collated on the appropriate systems.

• Assisting the team with arrangements for meetings and events including booking travel, venues, catering and accommodation.

The Helen Bamber Foundation (HBF) is a specialist UK charity which provides expert care and support for refugees and people seeking asylum who have experienced extreme human cruelty such as torture or human trafficking. We work with hundreds of clients every year from all over the world. HBF delivers a specialist Model of Integrated Care that addresses the complex needs and vulnerabilities of survivors. Through the Model of Integrated Care, the HBF offers survivors access to an individually tailored programme of specialist psychological care and medical advisory services, legal protection including providing expert medico-legal documentation, welfare and housing support, and creative and skills activities within an integration programme. The Role
This is an exciting opportunity to join the Client Services Team which operates within HBF’s vibrant, multi-disciplinary team. The duties of Client Services Administrator are two-fold 1) is to host our busy reception area and friendly waiting room; welcome clients and visiting professionals to the Helen Bamber Foundation and attend to any needs they might have and 2) to oversee the booking of appointments between clients and staff/volunteers across the organisation; liaising with third parties and clinicians in relation to Initial Assessments; booking and managing doctor’s diaries for our Medical Advisory Services and the booking of interpreters across the organisation. You will be at the heart of an exciting team of experts, working as the face of HBF and the first point of contact for both external and internal queries. Now, nearly half of them are - or recently have been - sleeping rough and with the numbers of young rough sleepers in the capital growing at an alarming rate, New Horizon Youth Centre has had to take decisive action to unlock support and housing for this group. The Head of Services - Rough Sleeping is a brand-new role for the organisation and will lead on developing a new internal strategy for young people facing rough sleeping, as well as holding operational oversight of our established youth-specific street outreach function and emergency accommodation hub, both of which are unique in London. You will need to be strategic in approach and an excellent relationship builder. As the Customer Services and Administration Manager, managing a team of Customer Service Officers, you will ensure that on a day-to-day basis the team functions efficiently, effectively and delivers excellent customer care service to all supporters, staff and members of the general public. You will ensure all staff within the team are managed and developed so they provide a high level of support to those using the team and the services provided.
Responsibilities:
- Oversee all aspects of customer service ensuring the supporters, members and members of the public have a great experience when contacting the organisation.
- Organise a rota that ensures all the elements of the Customer Services function are comprehensively covered.
- Put processes and procedures in place to ensure agreed SLA’s and KPI’s are being met, in line with strategic goals.
- Continuously improve processes and the services provided and troubleshoot issues as soon as they arise.
- Responsible for any complaint escalation/investigation.
- Develop and manage the team, performance management and the performance development review.
- Ensure the team are processing direct debits in accordance with BACS rules and regulations.
- Deal with queries and questions raised about our direct debits processes.
- Ensure all income is tracked and all donations are banked and thank in a timely manner.
- Manage the analysis and evaluation of performance information, monitoring and reporting against objectives, outcomes, SLAs and KPIs.
- With the Data Governance team ensure data protection laws are adhered to, storage of data, review and update policies.
To be successful in the role of Customer Services and Administration Manager, you will have previous experience, skills and knowledge in the following areas;
- Experience of managing a team within a Customer Services, Supporter Services, Supporter Care, Membership department. Delivering a progressive programme of customer service delivery to internal and external customers.
- Experience of managing and responding to complaints and feedback
- Experience of processing Direct Debits payments or similar and ideally thanking of supporter donations via a database
- Experience of the BACS direct debit claiming process and following regulations

Synergy, Brent is a Housing Related Support (HRS) Service for a range of vulnerable people who have been or are at risk of homelessness. The age eligibility criteria for the service is adults between the ages of 18 to 60, who are identified to have low/medium support needs. Some of the needs we support are:
- Single homeless between ages of 18 to 60
- Socially excluded individuals
- Ex-Offenders
- People with substance misuse
- Mental Health (Low)
- Learning disability (Low/Medium)
- Women who have come from domestic abuse environments and situations who may need low level support as part of their resettlement following a move on from a refuge or other safe domestic abuse supported accommodation.

LINE MANAGEMENT/LEADERSHIP
- Provide leadership to employees throughout the employee life cycle. SERVICE DELIVERY

- Ensure service responsibilities and requirements are carried out effectively. This includes but is not limited to; welfare checks, risk assessments, support sessions, safeguarding checks, training and development, and other responsibilities required for effective service delivery.
- Support the Service Manager to ensure the service and team meet and exceed Key Performance Indicators, and work in line with professional codes of conduct.

RISK MANAGEMENT, INFORMATION MANAGEMENT AND CASE RECORDING
- Follow the relevant risk assessment and management procedures, share any relevant information with partner agencies as appropriate.
- Ensure all case recording, and information is accurately recorded in a timely manner, ensuring electronic records are protected in line with GDPR, and kept up to date and written to a high standard.
- Alongside the Service Manager, champion, and act as a point of reference for safeguarding concerns within the service(s). Ensure all staff attend relevant safeguarding and training and use knowledge to coach and advise the team.
PROPERTY AND HOUSING MANAGEMENT
- Create and manage a welcoming, psychologically informed home environment for residents and participants, ensuring a continuous focus on safety, health, and wellbeing.
- Ensure the accommodation in which residents live is maintained to a high standard, in line with SIG’s property standards and meets all legal and statutory health and fire safety requirements to operate safely, effectively, and efficiently.
- Ensure all repairs and maintenance issues are correctly reported and managed through to completion.
FINANCIAL MANAGEMENT
- Provide support in setting the service’s budget and reviewing monthly management accounts; manage set budgets effectively and ensure resources are maximized.
- Maintain financial management within the service, including but not limited to, invoice management, arrears management, management of petty cash, and expense claims.
OTHER RESPONSIBILITIES
- Contract Management and Internal Auditing; Ensure due diligence is carried out and records are well maintained.
- Administration duties will vary, including operating online systems and ensuring correct processes are followed alongside GDPR and confidentiality.
- Other duties may include but are not limited to, maintaining clean and tidy environments, removing rubbish, ordering supplies, arranging in house events and activities and other general on-site duties.

KEY CRITERIA
What we are looking for:
- Understanding and/or experience of working with people of complex backgrounds, ex-offenders, mental health, substance misuse, challenging behaviours
- Experience of working with and engaging with diverse groups of people from varying backgrounds
- IT Proficiency, including Microsoft Office, and the ability to navigate and learn new case management systems and other types of organisational software
- Understanding and/or practical knowledge of the social and societal marginalisation that can be attached to people with mental health issues, addiction, exploitation, homelessness and within the criminal justice system
