 What the job involves
We’re looking for a Clinical Services Senior Officer to join our Clinical Services Team on a fixed term role covering maternity leave.

Our Clinical Services team provide direct information and support to anyone affected by prostate cancer or prostate problems. This includes our Specialist Nurse team, who run a service available over telephone, email, WhatsApp and Live Chat. We also have a Risk Information Service providing information to undiagnosed men concerned about their risk of prostate cancer.

As a Clinical Services Senior Officer, you’ll play an integral role in running these services, making sure everything’s efficient and accessible to the people who need us. We receive around 15,000 contacts every year, and you’ll help make sure they get the best possible experience.

Managing the day-to-day delivery of the service means organising rotas, planning resources and making sure everything runs smoothly. You’ll line manage our Risk Information Officer and support the growth of our Risk Information Service too.

You’ll also take responsibility for reporting and analysing service data, identifying trends and working with the Head of Support Services to shape improvements. Clinical governance will be a key part of the role, making sure our services remain safe, high quality and in line with the right policies. You’ll also keep our clinical policies and processes up to date, manage GDPR compliance, and act as a key contact for the team, both within the charity and with external partners.

Alongside this, you’ll help promote our services by contributing to promotional plans, social media activity and website updates, making sure more people know we’re here to support them.

It’s a varied and rewarding role where you’ll be helping to shape and improve the support we offer every day.

What we want from you
Good communication is at the heart of this role. You’ll be comfortable using a range of channels and able to build positive working relationships with a variety of people, from healthcare professionals to external partners. A flexible, collaborative approach and a commitment to delivering excellent service are important too.

You’ll bring experience of managing complex work, keeping on top of data, and turning information into clear, useful reports and recommendations. Strong organisational skills and the ability to manage competing priorities will be key.

You’ll be comfortable working independently and as part of a team, with strong interpersonal skills and a positive, solutions-focused attitude. You’ll be able to support and guide colleagues, helping them deliver their best work. Experience using and maintaining databases is important, along with a good understanding of data protection. It would also be helpful if you’re familiar with project management tools and ways of working.

Knowledge of prostate cancer care and support, and an understanding of the nursing profession, would be beneficial for this role.

• Lead the day-to-day HR function providing support to staff across all areas of HR.

You will work closely with the Clinical Director, Board, and other stakeholders to deliver high-quality therapeutic services, manage projects, support fundraising and communications, and ensure our facilities meet the needs of both clinicians and the community. The Centre Manager must be able to work independently and take initiative, whilst also being a collaborative member of a small team. Key Responsibilities are as follows:

Strategic Leadership: Work with the Directors and Advisory Board to support long-term planning and strategic development. Creatively implement systems and structures to maximise service delivery, productivity, and income. 

Operations and Facilities Management: Oversee the booking and management of clinic and event rooms, maintain high standards of customer service for building users and visitors, liaise with contractors regarding building maintenance and manage the general upkeep of facilities to maintain a high standard of health and safety. Respond to issues in a timely manner and maintain relationships with building users. 

Financial Management: Lead the financial management of the organisation, monitoring project budgets, invoices, licences and debtors. Chair a monthly finance subcommittee meeting and maintain an overview of the entire organisation’s cash flow and projection. 

Governance: Act as the main point of contact for the board of directors and advisors. Prepare and attend monthly board meetings. 

Programme and Event Delivery: Coordinate internal and public events including lectures, film screenings, and workshops - providing logistical and operational support including ticketing, promotions and managing event staff/volunteers. 

Clinical Project Management: Lead operational delivery of funded projects including two subsidised psychotherapy schemes: tracking budgets, collating outcome measures, writing reports, managing timelines and liaising with clinicians and patients. Outreach Programme Management: Coordinate our multiple outreach programmes such as two Therapeutic Playgroups, one of which is for refugees and asylum seekers. This involves acting as the main point of contact for programme staff, reporting on their activities and progress to the board, and maintaining the operational frameworks necessary to allow the programmes to thrive. 

HR: Manage all HR elements of the organisation including but not limited to: advertising and recruiting roles, drafting contracts, keeping an up to date log of internal policies, and handling any staff concerns with discretion and professionalism.

Development and Fundraising: Support grant research, writing, and application processes in collaboration with the Development Coordinator. You will be required to liaise with key funders and maintain records, reports, and track project outcomes.

Gateway are uniquely the largest Sheltered Housing provider in Tower Hamlets and were the first registered provider of older persons shared ownership in the borough. They are seeking an organised, diligent Service Charge professional to support on the technical side of the Service Charge lifecycle and improve processes within the department. You will work closely with budget holders, enabling data-led decision-making and supporting donor and committee reporting. As a key member of a small, collaborative team, you will be hands-on managing a mix of transactional and more advanced duties, proactive in ensuring the key points in the yearly Service Charge cycle run smoothly.

Role Responsibilities:

• Undertake assigned processing, accounting, monitoring, control and review of service charge income and costs on a periodic basis.
• Review service charge income and costs monthly to ensure they have been charged to the correct scheme and fully investigate and resolve any principal variances and anomalies identified (e.g., miscoding’s, duplications).
• Prepare periodic reconciliations of service charge income and costs on a scheme/block level and with the preparation of annual service charge estimates and actuals processes for all tenures.
• Resolve service charge queries from internal and external customers.
• Complete assigned elements of strategic delivery projects across the organization, particularly relating to service charge specific projects.
• Ensure consistent apportionment and allocation of scheme costs in mixed tenure blocks and other complex schemes and regular monitoring, control and analysis of such costs.
• Implement and embed key service charge systems and processes as part of the organisation wide service charge improvement project.

Person Specification:

• Experience in service charge computation, accounting and analysis, including preparation of service charge budgets, estimates and actuals
• Robust understanding of residential service charge management, including current legislative requirements and sector best practice

Open Door is a young people’s mental health charity that has been based in Haringey, North London for 49 years. It aims to improve mental health and life-chances of young people. We provide an ‘Open Door’ to free, high quality psychological therapy to 12–24-year-olds delivered by experienced and highly trained clinicians.
