The HR Officer and Executive Assistant role is a newly created position to reflect both the growing HR needs of the charity as the workforce expands, and the executive support required by the CEO and Senior Leadership Team (SLT) to ensure the efficient and effective running of the charity. This is a key role which is instrumental in bringing the HR and organisational administration functions together at an operational level.
Reporting primarily to the Director of Finance and Resources and assisted by an external HR and Employment Law support service, this role will provide advice, guidance and support to all line managers in HR related matters whilst building and nurturing relationships with key stakeholders throughout all levels of the organisation. This will include support to ensure the efficient and effective management, monitoring and reporting of people metrics, from recruitment, development, retention through to attrition and at all stages of the employee life cycle.

About you:
You will have at least 3 years’ experience of delivering HR support directly and facilitating line managers to deliver HR support. The Volunteering Team is a collaborative and supportive team sitting within Shelter’s Equity, Inclusion & Culture Directorate. We are passionate about the positive impacts of volunteering for both individuals and causes and believe volunteers are a vital part of Shelter’s Fight for Home.

About the Role
As a Volunteering Administrator, you will be essential to the coordination of the Volunteering Team’s work in developing a consistent, inclusive and high-quality volunteering offer. You’ll be delivering administrative support across the team, enabling smooth delivery of the service. This will include managing our busy Mailboxes, processing elements of volunteer recruitment and administrating our volunteer database, Better Impact. Working on the database forms a large part of this role; as well as routine tasks such as data reporting, you’ll be working on more in-depth database development. This includes leading on a piece of work restructuring the way our database is set up.
You’ll also be supporting volunteer managers through delivering training demonstrations on our database, creating process guides and providing advice. Our unique Online Reading Volunteer programme pairs disadvantaged, struggling five to eight-year old (KS1) readers with reading support volunteers who are working professionals. The volunteer ask is very focused: readers commit 30 minutes a week to read with a child using a bespoke digital platform for an entire academic year. The results are transformative, boosting children's reading confidence and ability.
This role is an exciting opportunity for someone to contribute to the work of our fast-growing charity. You will work as part of the Chapter One Support Team, ensuring that our online reading volunteers have everything that they need - from onboarding to assisting with ID checks and responding to email queries. You will be the first point of contact for our online reading volunteers, so excellent customer service skills and a genuine interest in helping others is essential.
Reporting to the Performance and Data Manager, you will work for 25-30 hours a week (Monday to Friday) and will need to be available for an 09:30 am start each morning. You will work remotely and will need to have access to a reliable internet connection. The start date for this role is 1st July 2024.
This role is ideal for someone home-based who wishes to work part-time in a fast-paced and varied administrative role.

Duties and responsibilities
• Responsibility for managing Action Tutoring’s social media channels (Facebook, Instagram, LinkedIn, X, TikTok and YouTube). • Support the day to day management of Action Tutoring’s website, editing content with updates upon request. Support with creating high quality, engaging content for the Action Tutoring website to ensure it’s optimised.
• Create external marketing materials on request and support with ad-hoc visual design work.
• Support with the attendance at volunteering promotion events, mainly university fairs.
