Database and operations manager volunteer roles

Based right in the heart of the city, Shopmobility is a vital and much loved service for all of our customers.  A place where they know they will be listened to, treated with dignity and provided with the best assistance we can offer them, to live their lives independently.

Equal Lives is a user led Disabled People's Organisation and we're really proud of Shopmobility!  It's the part of our organisation which is people facing, the part where our staff and volunteers get to represent us and interact with our customers on a daily basis.  So, it's vital that we have the right people on hand and that's where you come in!

If you've got a passion to help the Disabled community by empowering them to live the life they deserve, then you're our kind of person.  We're looking for those compassionate individuals who want to help others, who are happy to give a few minutes to listen to someone's story, to ask how their day was and to support them in working out the best solutions to suit their needs.

Shopmobility is a scheme that supports people to hire mobility aids during their visit to the city. We're based in Chantry Place (previously Chapelfield Shopping Centre) and we are looking for volunteers to help with all aspects of the day-to-day running of the shop.This is a great opportunity to volunteer, build your skills and meet new people! 

Role overview: 

 As is typical of working with the community, no one day is the same.  As such, the role may include, but is not limited to: 

• Opening the site ready for business and helping to prepare the shop 
• Closing the shop at the end of the day 
• Greeting customers and acting as a friendly, supportive and welcoming face 
• Supporting customers to work out what they need, and to hire the equipmen
• Keeping the site looking presentable and welcoming
• Handling cash and taking card payments
• Supporting people to sign up as Shopmobility members and to join Equal Lives as members
• Responding to queries on social media, email and telephone
• Taking future bookings for the equipment 
• Cleaning and maintenance of vehicles when they’re returned 
• Marketing and promoting the shop 
• Some other occasional ad hoc tasks as required

Volunteering Arrangements 

 The site will follow the COVID19 safety guidelines and volunteers will be reimbursed reasonable expenses incurred whilst supporting us.

All volunteers are required to undertake our core training programme. This covers basic safeguarding and other key features, such as data protection.

New volunteers will have an opportunity to ‘shadow’ experienced volunteers and members of staff 

Potentially, depending on the candidate, there may be additional opportunities to participate in a variety of accredited training courses. Please ask a manager for further details. 

Volunteers are required to adhere to the organisation’s policies and practice guidelines. 

Reasonable expenses, including travel whilst undertaking this role will be reimbursed. This includes mileage (currently £0.45 p/mile) and parking costs.

To act reasonably and prudently in all matters relating to the charity and always bear the interests of The Hospice of St Francis in mind.

In certain circumstances, provide high-level entry to other organisations and institutions to which the charity might not otherwise have access, to further the interests of the beneficiaries of the charity

Main duties and Responsibilities:

· Set and maintain vision, mission and values

· Develop strategy, set overall policy, define strategic objectives and evaluating performance against agreed targets

· Assure continuous compliance with the legal and regulatory standards governing the operation of the charity, the charity governing document and any other relevant legislation, updating the articles of association as required.

· Assure proper financial control and ensure the application of resources is exclusively in pursuance of the charitable objects i.e. the charity must not spend money on activities that are not included in its objects, no matter how worthwhile or charitable those activities are

· Assure the effective and efficient administration of the charity including funding, insurance and premises

· Assure that The Hospice of St Francis pursues its objects as defined in its governing document (e.g. the promotion of any charitable purpose for the benefit of the community in the district of providing palliative care at the Hospice, at patients home, in our Spring Centre and in the community, and in particular the advancement of education, the protection of health and the relief of distress and sickness)

· Assure employment procedures and policy and procedures for volunteering are compliant with legislation and regulation, subject to regular review and support the fulfilment of strategic objectives

· Assure risk assessments for all aspects of the business are carried out including accurate and timely reporting using the format of risk registers

· To contribute to, assure and maintain effective performance of the Board and Committees, including systems and processes for external assessment of these arrangements

· Support the CEO and Executive Team to fulfil their delegated responsibilities and hold them to account for delivery of strategic objectives

· To attend Board meetings quarterly, up to two Board awaydays annually and serve as a member of up to two Committees.

· Operate as a member of the Board of Trustees

· Able to be registered as a Directors of the Charity at Companies House, sharing ultimate responsibility for governing the charity and directing how it is managed and run. 

· Act as an ambassador supporting the work of the Hospice in generating income and in its relationship with the communities served.

Term of Office

Appointments are made on an initial 4 year term, with annual appraisal, with the option to serve a second term.

Where a Trustee has completed two terms and is selected as Chair of the Board of Trustees, or asked to undertake specific project work their term of office will be reset by People Governance Committee and ratified at the AGM.

As a Creative Design Volunteer, you’ll help create eye-catching digital and print materials that promote our programmes, campaigns and events. From social media graphics to posters and newsletters, your designs will help us communicate clearly and consistently with our audiences.

This is a flexible opportunity for anyone who enjoys bringing ideas to life through design and wants to use their creativity for social good.

What You’ll Be Doing

• Designing digital and print materials such as posters, flyers and social media graphics
• Creating templates and layouts for newsletters, presentations or reports
• Adapting designs to meet accessibility and brand guidelines
• Supporting the visual design of campaigns and community events
• Helping organise and manage design files and templates
• Contributing creative ideas for visual storytelling and community engagement

Skills and Qualities We’re Looking For

• Creative eye for layout and design
• Confidence using design tools such as Canva, Adobe Creative Cloud or similar
• Attention to detail and ability to follow brand guidelines
• Good communication and collaboration skills
• Reliable, organised and able to manage time effectively
• Interest in community, social impact or charity communications
