Program Manager

Challenge Adventure Group (“CAG” for short and the operating name of CAG Trust) is a voluntary youth organisation for Knowle, Dorridge and beyond aimed at boys aged 10 and above.

As our name suggests, we provide challenging, adventurous and fun activities and the D of E Award for young people in their leisure time. Taking part in fun experiential activities enables members to develop their physical and mental skills and capacities and reach their full potential of becoming positive, active and happy citizens.

Summary

CAG was formed in 2009 and became a charity, CAG Trust, in 2019. Our raison d’etre is to engage young people in outdoor activities by providing them with opportunities to go on night walks, build fires, cook on fires, try out some bush craft, go on bike rides, try indoor climbing, have a go at scuba diving in swimming pools, play team building games, enter cake competitions, attempt bushtucker trials, put up tents, learn navigation skills, keep fit by doing bleep tests, go karting, have a crack at skiing at Ackers Trust or on a ski slope in the Alps, eat curry at Christmas and much more.

Description

You will play an important role in putting together our termly program for our Tuesday meeting nights. There’s a lot involved in putting the program together and ensuring that all our members get the chance to join in these amazing experiences.  You will work in conjunction with the Group Leader to decide which activities to do and when and you will also have to coordinate with our team of volunteer leaders to ensure that there are enough staff available each week to run the program.

The key tasks of the role are to:

• Plan the weekly activities for each term in coordination with the budget and operational members.

• Schedule the activities at the clubhouse and nightly trips / events.

• Provide any materials etc required to carry out the planned activity.

• Book the event / location / trainer etc and organise transport.

• Produce a term summary including parent rotas to be sent out.

• Follow up with parents  / Leaders to ensure actions have been taken to meet activities planned.

• Troubleshoot any issues on the night if necessary.

• Ensure that there are enough staff available to run the program and arrange cover if necessary.

Your input is key to the running of CAG as well as securing its future.  You will help make Tuesday meeting nights run smoothly by ensuring that the Leaders are free to focus their attention on the members having a great experience.  By producing a termly program this will enable parents to add the weekly activities to their diaries in good time and Volunteer Leaders to plan ahead and check out their availability.  Additionally we can offer you:

Position Overview:
The Programme Specialist is critical in supporting the delivery of a high-impact employability and skills development programme. Working under the guidance of the Programme Lead, this position focuses on coordinating projects, managing participant engagement, and ensuring the smooth execution of training initiatives, mentorship activities, and job placement efforts. The Programme Specialist directly empowers individuals to achieve workforce readiness and sustainable employment.

Key Responsibilities:

1. Project Coordination:

   • Assist in managing day-to-day activities of the programme, including onboarding, skills assessments, and skills development of participants.

   • Track progress against programme milestones (e.g., participant enrollment and completion rates) and flag delays to the Programme Lead.

2. Participant Support:

   • Serve as a primary point of contact for participants, addressing inquiries and providing guidance on programme resources, training modules, and job search tools.

   • Maintain accurate participant records, including attendance, skill assessments, and post-program outcomes.

3. Stakeholder Engagement:

   • Support the Programme Lead in building relationships with internal stakeholders.

4. Data Management & Reporting:

   • Collect and analyse data on participant progress, employment outcomes, and programme effectiveness using CRM systems or databases.

   • Prepare regular reports for the Programme Lead to inform decision-making and demonstrate impact to funders/stakeholders.

5. Logistics & Compliance:

   • Manage programme materials, including training resources, digital platforms, and participant handbooks.

   • Ensure compliance with programme guidelines, confidentiality policies, and grant reporting requirements.

1. Continuous Improvement:

   • Gather feedback from participants and partners to identify opportunities to enhance programme delivery.

   • Support the implementation of new tools or processes to improve efficiency and participant satisfaction.

Required Qualifications:

• Education: Bachelor’s degree in Social Sciences, Education, Human Resources, or a related field.

• Experience:

  • 1–3 years in programme coordination, workforce development, adult education, or a similar role.

  • Experience working with diverse populations, including youth, underserved communities, or career changers.

• Skills:

  • Strong organisational and multitasking abilities, with attention to detail.

  • Proficiency in Google products (Forms, Sheets, Docs, Slides) and familiarity with CRM tools.

  • Excellent interpersonal and communication skills for engaging participants and stakeholders.

  • Basic data analysis and reporting capabilities.

The Duke of Edinburgh’s Award (DofE) is a UK charity that makes a difference to young people’s lives and prepares them for life and work. Young people from every possible background take part in the DofE programme each year to broaden their horizons, develop their leadership skills, learn to work with others, volunteer in their local communities, increase their employability, and prove to themselves they can succeed at a serious challenge. 

The DofE Leaders perform a vital role on behalf of the DofE and CAG. They are the adult leaders responsible for the management and training of a DofE group which could be at Bronze, Silver or Gold level. They lead, guide, train and support young people, agree their program choices, sign off their completed sections and approve their eDofE evidence.

Description

We are looking for someone to lead and train our DofE groups to a successful conclusion and take home an award to be proud of.

To get the most out of this role, you’ll probably have worked with young people before and have a love of the great outdoors and maybe into paddling, cycling, mountain biking or walking. You’ll be comfortable with the skills needed to complete expeditions (e.g. navigation, route planning, map reading, using a compass, campcraft) and be able to cope with changing and challenging situations. 

Formal qualifications in outdoor leadership (e.g. BEL or ML awards) or other skills (e.g.canoeing) are welcomed but not essential. CAG can provide training opportunities to the right person.

Key Tasks

Young people

• Ensure the delivery of high quality programmes to young people in the DofE group.

• Manage the provision of a safe and enjoyable DofE programme for participants in the DofE group.

• Support participants to decide on their program choices and set their timescales and goals.

• Regularly encourage and review participation in chosen activities by participants.

• Train teams to undertake expeditions.

• Support expedition team(s) with their expedition planning.

• Coordinate with other CAG team members for the successful planning and completion of expeditions.

• Encourage the use of eDofE by participants, regularly approve uploaded evidence and agree the completion of sections.

• Celebrate achievements as often as possible.

CAG - the Licensed Organisation

• Keep in regular contact with the DofE Manager / Coordinator  and CAG Trips Coordinator.

• Respond to requests from CAG in a timely manner.

General

• Regularly communicate with parents about DofE group plans / meetings etc.

• Use eDofE to measure the performance of the DofE group and to keep abreast of participation.

In addition DofE Leaders must undertake the e-induction and Introduction to the DofE courses.

Further training may be undertaken by completing the DofE Leadership Programme.

Ideally you should have / be:

• An ability to communicate with adults and young people, both verbally and in writing.

• An ability to organise and plan effectively.

• Office software literate.

• Able to provide inspirational leadership and motivate young people.

• Experience of working with young people.

Making a difference - what impact will the opportunity have?

You will play an invaluable part of the quality checking process of the expeditions. If you’re thinking of a career in teaching, youth work or outdoor education, or wish  to further your experience as an expedition expert, this role will give you invaluable experience.

About the location

Where will the volunteer be working?

The volunteer can do some of the work remotely, for instance, access eDofE from home and contact participants via online messaging services.  However, most of your time will be spent working in close contact with the DofE participants at our unit in Bickenhill on Tuesday meeting nights or on some weekends away on training and practice expeditions.

Travel Limit

• Some remote work but mainly on Tuesday nights at our meeting place in Bickenhill, Solihull.

When will the volunteer be working?

Volunteer availability

• Mostly Tuesday evenings (CAG’s meeting night 7pm - 9pm during term time).

• Expeditions happen several times a year, in locations locally and further afield so you will need to be available for some weekends away for expedition training and practice - for instance in the Derbyshire Peak District, Shropshire etc.

• 0 - 4 hours / week and some weekends - the candidate will be able to offer further time as they wish.

DofE Groups

• Authorise, manage and set up sufficient DofE groups to ensure access to a DofE programme for all participants who wish to take part.

• Approve the appointment of Leaders, Instructors, Supervisors and Assessors and ensure they have access to appropriate training/qualifications for their role.

• Manage and support Leaders – support them in their role, ensure they have undergone appropriate training and actively manage the recruitment of new Leaders when necessary.

• Use eDofE to actively manage DofE groups and leaders.

• Ensure that all DofE groups are adhering to the correct policies and procedures.

• Run an active volunteer recruitment programme.

General 

• In conjunction with the relevant DofE Regional/Country Office develop, implement and review a DofE development plan, which includes supporting the DofE to meet its strategic aims.

• Use eDofE to support the delivery and management of DofE 

• Use the eDofE reporting functions to measure performance and set development targets. 

• Attend at least one meeting/event organised by your DofE Regional/Country Office per year to keep up to date with  DofE developments. 

• Ensure compliance with all aspects of the DofE Licence. 

• Be a champion for the DofE within CAG and actively promote the DofE within the local  community. 

In addition you must undertake the e-induction and Introduction to the DofE courses.

You will play an invaluable part of the quality checking process of the  expeditions. If you’re thinking of a career in teaching, youth work or outdoor education, or wish  to further your experience as an expedition expert, this role will give you invaluable experience.

About the location

Where will the volunteer be working?

The volunteer can do some of the work remotely, for instance, access eDofE from home and contact participants via online messaging services.  However, most of your time will be spent working in close contact with the DofE participants at our unit in Bickenhill on Tuesday meeting nights or on some weekends away on training and practice expeditions.

Travel Limit

• Some remote work but mainly on Tuesday nights at our meeting place in Bickenhill, Solihull

When will the volunteer be working?

Volunteer availability

• Mostly Tuesday evenings (CAG’s meeting night 7pm - 9pm during term time). 

• Expeditions happen several times a year, in locations locally and further afield so you will need to be available for some weekends away for expedition training and practice - for instance in the Derbyshire Peak District, Shropshire etc.

Estimate of time commitment

• 0 - 4 hours / week - the candidate will be able to offer further time as they wish.

About CARAS:

Community Action for Refugees and Asylum Seekers (CARAS) is a charity that supports refugees and people seeking asylum who live in south London. We offer a range of individual and group support to improve the holistic wellbeing of people who have a background of forced migration, providing them with tools to build lives filled with value, meaning and purpose in the UK. Our activities for young people currently include: ESOL classes (English for Speakers of Other Languages), study group, youth club, swimming lessons and football.

About Youth Club:

Youth Club is a place for young people aged 14-19 to come and play games, learn new skills, make and strengthen friendships and build a sense of belonging. Regular activities include classic youth club games such as table tennis, pool, foosball, board and card games. We also work in partnership with a range of organisations to run a rich programme of workshops within our youth club. Some of these have included creative visual arts, drama, music and workshops on rights and entitlements of young asylum seekers. We also cook a hot meal from time to time and offer a range of snacks each week. Our casework team are also on-site to support young people with a range of advice and signposting needs, usually by-appointment.

Youth club takes place at Furzedown Youth Centre. Welham Rd, London SW16 6TJ

About the role:

As a Youth Club volunteer, you would be helping young people to feel welcome, join in with activities and be a great role model.

Youth Club takes place every Wednesday at 6.00-8.30pm. We ask for a commitment of at least 2 sessions per month for a minimum of 6 months.

Tasks and responsibilities:

· To attend and contribute to volunteer de-briefs which occur 15 minutes after each session.

· To act as a positive role model and set standards of behaviour when volunteering with young people.

· To encourage and inspire young people to reach their full potential.

· To assist young people to both recognise and celebrate their achievements.

· To challenge young peoples’ negative attitudes and behaviour in an appropriate manner.

· To adhere to CARAS Child Protection procedures, Confidentiality policy, Health & Safety policy, Equal Opportunities policy and all other policies as relevant.

Requirements:

To be 18 years or older;

· To be non-judgemental and able to engage with people from diverse cultural backgrounds;

· To be reliable and punctual;

· Excellent communication skills, especially with people with varying levels of English;

· The ability to volunteer on Wednesday evenings for a minimum of six months;

· Current resident of the UK;

· Able to provide five years’ worth of addresses, and willing to undergo a DBS check;

· Able to attend compulsory volunteer induction training (online) general and safeguarding prior to the start of role

Volunteer induction training currently takes place online once a month on Tuesday, Wednesday or Thursday evenings from 6pm - 8pm. we offer the same trainings on Tuesday and Wednesday daytimes online between 12noon - 2pm once every 3 months.

Your availability to attend 1 general and 1 safeguarding online training session at these times within 3 months of your application would be a prerequisite of being accepted as a volunteer at CARAS.

Desirable:

· Knowledge of community languages, such as (including Arabic, Tigrinya, Amharic, Pashto, Dari, Farsi, Kurdish, Somali and Spanish).
