About the Role

Are you organised, people-focused, and confident handling calls and admin tasks?

WFRC is looking for a dedicated Office Coordinator (Onsite Volunteer) to be the first point of contact for families and partners for our Baby Bank service. This role is ideal for someone interested in office administration, customer service, or operations within a meaningful charity setting.

You’ll play a key role in ensuring smooth daily operations, professional communication, and compassionate client support.

Key Responsibilities

Client Support & Communication

  • Handle incoming phone calls, emails, and walk-in inquiries
  • Provide professional, empathetic responses to clients
  • Conduct initial intake and gather essential information

Scheduling & Coordination

  • Book appointments and manage calendars
  • Coordinate between staff, volunteers, and external partners
  • Track follow-ups and ensure smooth communication flow

Administration & Records

  • Maintain accurate records of calls, referrals, and appointments
  • Organise digital and physical filing systems
  • Prepare reports, summaries, and documentation

Office Operations

  • Support day-to-day administrative tasks
  • Monitor office supplies and resources
  • Ensure efficient workflow and organisation

Compliance & Safeguarding

  • Maintain confidentiality and data protection standards
  • Follow safeguarding and organisational policies
  • Escalate urgent or sensitive cases appropriately

What We’re Looking For

  • Experience in office administration / customer service / coordination
  • Strong communication and phone handling skills
  • Good knowledge of Microsoft Office (Word, Excel, Outlook)
  • Highly organised with strong attention to detail
  • Compassionate and professional approach with clients
  • Ability to multitask and work independently

⏰ Volunteer Commitment

  • Minimum 12 hours per week
  • On-site role in Wolverhampton
  • Consistent attendance and communication required

Our Wolverhampton Baby Bank is a flagship project supporting families with children aged 0–3 by providing essential items and connecting them to vital community services.
