We are looking for an Admin & Reception Volunteer to support our main office in Victoria. In this role, you will be the first point of contact for clients and visitors, helping to create a welcoming and professional environment while supporting the smooth day-to-day running of the office.
You will:
• Handling incoming calls, emails, and other communications, directing them to the appropriate person or department
• Acting as the company’s first point of contact, providing a professional and welcoming experience for clients and guests
• Managing the front desk, greeting visitors, and answering phone calls
• Booking desks and meeting rooms for staff across all offices
• Scheduling appointments and organising calendars
• Sorting and distributing incoming and outgoing mail
• Monitoring office supplies, tracking inventory, and restocking as needed
• Purchasing catering items and liaising with suppliers
• Maintaining office security protocols
• Assisting the Office Manager with facilities-related tasks
• Monitoring office cleanliness and ensuring a tidy workspace
• Completing tasks from the HQ office task list
• Working independently in the office when the Office Manager is offsite
Main duties:
• Provide general administrative and clerical support to the Office Manager
• Ensure all desks, meeting rooms, and kitchen areas are tidy, clean, and set up before 9am
• Meet and greet service users, staff, and visitors in a friendly and professional manner
• Answer and manage phone calls, transfer calls, and take messages accurately
• Handle calls and emails appropriately, including signposting to other organisations when necessary
• Maintain a calm and supportive manner when dealing with individuals in distress
• Use Outlook for email and calendar management
• Manage room and desk bookings efficiently
• Prepare meeting rooms in advance and ensure they are cleaned and tidied afterwards
• Manage multiple tasks, prioritise effectively, and maintain an organised workspace
• Distribute incoming post, frank outgoing post, and take it to the post office
• Scan and forward post to relevant staff members
• Organise refreshments for training sessions and meetings
• Carry out stock checks and replenish office supplies as needed

At One Degree, our mentors, ambassadors, and teachers are more than just volunteers—they’re lifelines for students often overlooked in their schools and communities. By offering direction, encouragement, and a sense of possibility, our volunteers transform lives while experiencing the profound reward of making a real, tangible impact.
Most of our mentors are young professionals, bringing passion, patience, and empathy to help GCSE/Year 11 students (ages 15–16) navigate their challenges. These volunteers serve as role models, guiding students who might otherwise feel left behind toward brighter futures.
To foster meaningful connections and provide continuity, we ask volunteers to commit to at least three in-person or online sessions per year. This ensures students build trust and form bonds with the people dedicated to helping them succeed.
