We are looking for an Interim Head of Marketing and Communications to lead this function during an exciting period of transition and growth. This role will play a pivotal part in delivering our communications and brand strategy, supporting the rollout of our new organisational strategy, and maintaining momentum across high‑profile campaigns and projects.  

Reporting to the Director of Fundraising and Engagement, you’ll oversee marketing and communications across the organisation, line managing a team of specialists and working closely with the Senior Leadership Team. You’ll provide strategic leadership, clear direction and hands‑on support, ensuring activity is well planned, insight‑driven and aligned to our wider organisational objectives.  

This role is ideal for an experienced marketing and communications leader, ideally from the charity sector, who can combine strategic thinking with strong delivery, and who thrives in a fast‑paced, collaborative environment.

 The role 

This is a full-time (35 hours per week), fixed-term position to July 2027. 

We operate a hybrid working model. You will usually work remotely but will be expected to attend meetings at our office near London Bridge when required. Please note that travel costs to the office are not covered.

Dramatherapy is a form of psychological therapy that uses drama and theatre processes to support people in exploring emotions, developing insight, and promoting personal growth. It is a creative, evidence-based approach used in a wide range of clinical, educational, and community settings. 

Purpose of the Post: 

This role provides the administrative foundation of the organisation, ensuring its day-to-day operations run smoothly, efficiently and reliably. The Administrator is the central point through which systems, information and processes are held and maintained. 

The postholder is responsible for coordinating membership administration and core systems. They ensure accurate record-keeping, support financial and governance processes, and coordinate the practical delivery of organisational activity. 

Through consistent, attentive administration, this role enables the wider organisation to function effectively. It supports a coherent, responsive service that members can trust and rely on, making an important contribution to the stability, professionalism and effective operation of the Association and, in turn, the wider field of dramatherapy. 

Working Hours & Location 

This is a part-time role (22.5 hours per week) and is home-based.

The postholder will have flexibility in how their contracted hours are worked across the week, subject to the operational needs of the Association. At least 15 hours will need to be worked during normal business hours to attend team meetings, respond to member enquiries, and fulfil key organisational responsibilities. Working arrangements will be agreed with the line manager and reviewed as required in supervision. 

The postholder will also be required to attend the Directors' Meeting, which takes place once a month, either on a Saturday morning or on a weekday evening. Attendance at these meetings forms part of the contracted hours for this role. 

There may also be occasional requirements to attend other meetings or events, such as the annual conference or team away days, which may fall outside the postholder's usual working pattern. Where additional hours are worked to attend such events, time off in lieu (TOIL) will be offered within the following two weeks. 

Job Description: 

Membership Administration & Data Management 

• Database Management: Maintain organisational records and information, ensuring they are accurate, up to date and complete to the best of the Association's knowledge and strictly comply with UK GDPR and data protection regulations. 

• Member Pipeline: Process new member applications, renewals, category switches and lapses smoothly. 

• Onboarding: Support new member onboarding by issuing welcome packs and ensuring seamless access to systems and benefits. 

• Offboarding: Where members do not renew, update the database, send a feedback form, and track reasons for departure. 

• Reporting: Maintain systems for tracking membership data and produce regular statistical reports for management. 

• Policy: Support the implementation and development of organisational policies and procedures in collaboration with directors and committees. 

Financial 

• Financial Tracking: Work with the bookkeeper to ensure financial records on Xero are complete. 

• Invoicing: Work with the bookkeeper in to set up and release payments once approved by the company director. Send invoices and invoice reminders where membership fees have not been correctly paid. 

• Staff Annual Leave Tracking: Manage and track staff annual leave records. 

Member Enquiries & Customer Service 

• Inbox Management: Act as the first point of contact for the organisation, managing the central inbox and handling routine membership queries with clear, timely responses. 

• Signposting: Direct complex or specific enquiries to the relevant resources, directors or volunteer committees. 

• Feedback Collection: Gather and analyse member feedback (both impromptu and via structured surveys) to help improve services and satisfaction. 

Core Communications & Digital Channels 

• Website & Infrastructure Maintenance: Maintain and update website content via the admin backend (updating committee member profiles, helping members with login issues, and updating job listings). Ensure core plugins and page layouts are regularly updated to their latest versions. Troubleshoot and fix any automated background tasks or form workflows that are not functioning as expected, and proactively source appropriate external IT or web developer expertise when a complex technical fix is required. 

• Social Media: Manage member applications to the members-only Facebook group, including tracking usernames to remove lapsed members. 

• Newsletters & Email: Add any administrative or membership-related updates to the monthly newsletter and proofread final copy before sending. 

• Cyber Security Incident Response: Act as an initial administrative responder if a cyber security incident is suspected, following the organisation’s cyber incident response playbook. This includes knowing how to force log out affected users, revoke active sessions where possible, reset passwords, reset or rotate other access credentials where required, preserve relevant records, and escalate promptly to the allocated line manager and board of directors. Credentials may include passwords, security codes, access tokens, API keys, recovery codes, or other information that proves a person or system is authorised to access an account. 

Committee & Volunteer Support 

• Committee Administration Support: Provide administrative support to volunteer committees, including maintaining committee webpages, distributing communications, adding meetings to committees’ Teams calendars where requested, updating records, and supporting agreed administrative processes. 

• Volunteer Admin: Assist with the administrative onboarding and retention processes for volunteers, ensuring they have the guidance and resources needed. 

• Internal Communication: Facilitate effective and GDPR-compliant information sharing between different branches of the professional body. 

• Annual Governance Minute-Taking: Assist with taking minutes once a year, specifically for the organisation’s General Meeting (AGM/GM). 

• Annual Report Formatting: Support the preparation of the organisation’s annual report by formatting supplied content into a clear, consistent and accessible document, ensuring headings, images, tables, captions, branding, layout and proofreading corrections are applied accurately before review and publication. 

• Ad Hoc Executive Support: Assist with ad hoc requests from the Association Chair and Vice-Chair. 

Key Performance Indicators (KPIs) 

The success of the administrator role will be measured against the following KPIs: 

• Data Integrity & Compliance: The membership database and CRM are consistently reliable, audit-ready, and compliant with UK GDPR regulations, with syncing errors or data gaps proactively caught and resolved during routine maintenance. 

• Financial Health & Transactional Accuracy: Invoices, renewal notices, and approved payments are processed accurately and strictly on schedule to maintain healthy organizational cash flow. Financial records in Xero and internal staff leave logs are kept consistently up to date, ensuring the bookkeeper and directors have reliable financial data. 

• Service Excellence & Responsiveness: Members, committees and external enquirers experience a seamless, professional, and timely customer service journey, characterized by steady frequent inbox management and the elimination of communication backlogs. 

• Operational Pipeline Efficiency Administrative workflows—specifically member onboarding, offboarding feedback loops, and volunteer tracking—move through the pipeline steadily and predictably without administrative delays. 

• Digital Channel Stability & Readiness The organization’s digital assets (website content, plugins, and communication channels) remain secure, functional, and up to date, with technical issues or security concerns actioned or escalated promptly to minimize operational downtime. 

• Governance & Documentation Quality The Board and volunteer committees receive accurate, well-formatted, and brand-consistent documentation (including minutes, reports, and marketing collateral) delivered on schedule to support organizational decision-making.

You will play a key role in growing and engaging Peace Direct's audiences to take action for local peacebuilders. You will support wider organisational communications including working directly with our partners to collect content, championing ethical, decolonised and values-led communications. You'll be a strong writer who can produce engaging press releases, statements, media briefings and other content for a range of audiences. You'll have a good understanding of what makes a compelling news story, experience creating impactful content, and the ability to turn complex information into clear and engaging communications. You'll also be comfortable using media monitoring and evaluation to understand what is working and help shape future activity.

ABOUT THE ROLE

The Head of Communications has responsibility for Ubele’s internal and external communications and digital activities in support of our strategic aims as well as oversight of communications across special projects. Central to the Head of Communications’ role is responsibility for: 

• Leading on delivery of Ubele’s Communications Strategy, public and internal communications with key audiences and stakeholders via various channels, especially Ubele’s website, email communications, social media and printed materials.  With support where needed, leading the delivery of a small number of annual and special events, working alongside colleagues and partners. 
• A crucial part of the role is working successfully with external partners, special projects comms teams, contractors and consultants to deliver on our communications objectives. 
• Reporting  to the COO and working closely with other senior leaders across departments to fulfil Ubele’s strategy.

KEY RESPONSIBILITIES

General Responsibilities/duties: 

• Oversight of all external communications activity relating to the work of the organisation, including websites, email newsletters and social media.   
• Oversight and management of the Creative Coordinator to effectively boost engagement and grow the organisation's social media channels.
• Guide and support the strategy that manages the creative outputs of the organisation across all projects and interests.
• Managing the organisation’s websites, ensuring content is correct and up to date, developing new webpages, functionalities and layouts as required, with support from an external website developer as needed. 
• Working closely with the Hub leads and programme managers to publicise training opportunities, events, funding programmes, and wider Ubele activities across the organisation’s communication channels. 
• Leading on cross-organisation conversations and convening cross-organisational groups to develop and coordinate a pipeline of content for blogs and case studies.
• Working with Hub Leads and our external PR support team (where relevant) to produce press releases including drafting quotes on behalf of the Leadership Team and coordinating the sign-off processes.
• Dealing with inbound press enquiries and crisis management comms with relevant support.

Brand and marketing 

• Ensuring consistent use of Ubele’s brand across internal and external print and digital channels. 
• Managing the design, print and distribution (as appropriate) of branded print and digital media, such as stationery, templates, invitations, leaflets and publications. 
• Leading on brand guidelines, ensuring that they are adopted correctly across the organisation. Providing training and guidance to staff, teams and external partners on the correct use of the brand.
• Working with Hub leads and Creative Coordinator to manage sub-brands of Ubele projects and programmes and ensure that these are reflected in the organisation’s brand guidelines. 

Planning & Delivery

• Deliver the communications strategy which will be set ahead of each financial year in line with the organisation’s wider strategic objectives by the organisation’s Management Board and Hub leads. 
• Lead and advise on the key narratives, the best modes of communication and how to best reach our target audiences.
• Provide advice and guidance on communications to the Leadership Team, including on crisis communications and reputational risk management with support of PR freelancers. 
• Setting and managing a communications calendar, supporting external-facing activities across Ubele’s work.
• Advise Ubele’s senior leaders on how activities including leadership training, provision of funding, social investment programmes, and various events might be publicised and communicated.
• Participate in internal strategy meetings, including reporting on Communications at the monthly staff team and leadership team meetings and, where required, at the Management Board meeting. 
• Maintain strong working relationships with key sector contacts, especially Communications Leads at partner organisations.

Events 

• Attend and/or coordinate Ubele’s presence at external events (sometimes out of normal office hours) relating to ongoing relationships (e.g. GLA or sector events) 
• Organise and/or support the delivery of special events as required
• Support Programme Managers as required to deliver events (both in-person and digital) leveraging our pool of freelance events support where necessary. 
• Support teams with media enquiries, ensuring that relevant team members are supported in public speaking events. 

Line management 

• Will be line managed by new Chief Operating Officer
• Oversee and manage the work of the Creative Coordinator
• Collaborate with the Lead Designer, our PR agency and our pool of freelance professionals.

General

Supervise our  Communications freelancer (1 day per week) providing supportive oversight for social media content.

Help grow our base of regular individual supporters to increase our unrestricted income. With the Fundraising Manager's support, you will lead digital individual giving campaigns, including the Big Give, to grow our regular supporter base and boost unrestricted income.

• Climate Connect Platform Growth: Expand our digital organising platform into a sustainable paid service for partners, creating a long-term income stream. About You

We are looking for someone with:

• Degree level education or equivalent in experience.
• Experience of managing email send platforms, including building customer journeys and reporting email success metrics, and strong understanding of email marketing platforms and automation tools.
• Expertise in email marketing best practices, including segmentation, deliverability, and optimisation strategies.
• Experience in supporter stewardship communications and journey planning to enhance engagement and maximise lifetime value.
• Excellent written English with experience of writing for the web, along with good copywriting skills and editorial capability, able to manage the content lifecycle, with a keen sense of brand awareness.
• Excellent consultancy skills, able to translate digital terminology and processes into clear and concise language for a variety of stakeholders.
• Solid project management skills.

Crisis is the national charity for people experiencing homelessness. We have embarked on our 10-year strategy for ending homelessness. We know it is not inevitable. We know together we can end it.

About the role

We have an exciting opportunity to join our Edinburgh Skylight as a Receptionist/Administrator in our Crisis Skylight Edinburgh Team. You will be there to welcome people who are homeless seeking advice and start the process of helping them to end their homelessness.

You will support the team to manage a busy working environment, welcoming and supporting a range of people including new Skylight members, current members, staff, Crisis volunteers and visitors. You will provide administrative support for this fast and responsive service to those newly presenting as homeless. You will also carry out administration and housekeeping functions relating to the customer service and facilities management of Cranston House. This role is based onsite with no option for homeworking.

About you

To be successful in this role you will be highly organised with experience of working within a reception or administrative support role, as well as experience providing a high standard of customer service. We are looking for someone who understands the issues faced by homeless people and is excited to learn about the ways we can support them. You will be able to deal with challenging situations and individuals with a range of needs, to reach a positive resolution through a calm and confident approach.

You will have excellent interpersonal skills with the ability to work successfully with disadvantaged or socially excluded groups and individuals. Effective communication skills, both verbal and written will be key, as well as working collaboratively within a team. As you will be the first point of contact for many people, you need to be friendly, enjoy helping and be willing to learn about Crisis and all the other activities taking place within the building.

About you

You will be an experienced cloud infrastructure or lead systems administrator with strong hands-on expertise across Microsoft Azure, Microsoft 365, Windows Server and hybrid environments. We are looking for someone with excellent troubleshooting, automation and security skills, including experience with Entra ID, Intune, networking, backup and disaster recovery, and PowerShell scripting. Relevant certifications such as Azure Administrator, Azure Solutions Architect, AWS SysOps, Security+ or ITIL would be advantageous.

About the role

The Cloud Systems Engineer is responsible for leading the management, optimisation and security of CARE International UK’s cloud infrastructure and enterprise systems. The role focuses on maintaining highly available and secure platforms, supporting infrastructure transformation and cloud migration activity, and ensuring effective administration of core services including Azure, Microsoft 365, Windows and Linux servers, identity services, networking, backup and disaster recovery. The postholder will work closely with the IT Manager, wider IT team and key stakeholders across the organisation, while also supporting projects, change management and technical planning.

The role requires strong technical knowledge across cloud platforms, systems administration, security and infrastructure support, alongside excellent analytical and problem-solving ability. You will need to be confident managing complex environments, improving performance through automation and standardisation, and responding effectively to incidents and vulnerabilities. Success in the role will also depend on your ability to communicate clearly, lead troubleshooting, mentor junior colleagues and take a proactive, security-first approach to continuous improvement.
