Job Purpose and Summary

Key Responsibilities and Accountabilities
Responsible for:
- Financial oversight and leadership.

We are looking for a Financial Accountant, to join our busy Finance team on a 12 month fixed term contract as progress our finance transformation journey, including the implementation of a new ERP finance system, Unit 4 (Agresso).
In this role, you will help manage the preparation of the Annual Report and Accounts and statutory returns, quarterly VAT returns, and oversight of monthly accounting processes ensuring that accurate accounts are produced on a timely basis.
You will be responsible for ensuring:
- Thorough testing of finance related end to end processes on Unit 4 ensuring that any issues are captured and resolved as appropriate.
- Successful finance data cleanse activities to ensure that data migrated to Unit 4 is fit for purpose
- Opening financial data migrated to Unit 4 reconciled clearly back to the legacy systems on a detailed and timely basis to ensure strong financial control and a successful audit
- Take lead on understanding and implementing any changes to approach necessary for month end close, journal processing and balance sheet reconciliations

We are at an exciting stage in our growth and are looking for a Finance & Admin Officer to support our growing operational workflows.
How you will make a difference
Your role will enable smooth and efficient financial and administrative workflows at GFI Europe. Reporting to the Head of Operations, your work will fall under the following categories:
50% of time – Payment processing and bookkeeping
- Making payments correctly and on time with respect to invoices, direct debit setup, expense reimbursements, as well as salaries and payroll taxes.
- Day-to-day bookkeeping, including registering journal entries and all financial transactions in our accounting software (currently Quickbooks), and supporting monthly reconciliations.
- Coordinating the calculation and payment of quarterly reverse-charged cross-border VAT payments.
- Where there are opportunities for improvement, working in partnership with colleagues from the Operations team to implement systems that facilitate easier and more efficient payment processes.
25% of time – Budget forecast and reporting
- Forecasting regular and recurring expenses for the annual budgeting process and for periodic budget reviews.
- Preparing monthly updates on budget spending per department / project.
- Collaborating with our Development team to track and report against restricted donations.
- Organising information needed for the Belgium annual financial audit process as well as for UK financial reporting.
25% of time – General administration
- Supporting governance, compliance and reporting for our Belgium entity, as well as the UK branch of GFI Europe and potentially other entities in the future.
- Supporting other departments with contract administration by inputting partnership data in templates, filling in relevant forms, coordinating signatures, organising and keeping track of finalised agreements.
- Performing other tasks as required as a member of our small, dynamic team.
Who we’re looking for
You must have:
- A passion for GFI’s philosophy and mission.

- Financial knowledge: good understanding of payment workflows and bookkeeping, having previously applied them in an administrative or finance-related role.
- Spreadsheet savviness: leveraging Excel and / or Google Sheets for financial analysis, reporting and forecasting purposes.
- Ability to communicate financial information in a clear and simple manner: establishing the right level and format to share or ask for financial information within the team, as well as being able to address any questions that come up in a clear and simple manner.
- High degree of organisation and efficiency: running financial and administrative processes effectively, addressing challenges as they come up, and ensuring accurate and efficient organisation of documents and information.
- Excellent people skills: building strong, collaborative and positive relationships, and working well with colleagues and stakeholders across multiple cultures.
- Adaptability: openness to execute diverse financial and administrative tasks as they occur whilst maintaining the quality of recurring responsibilities; openness and a positive response to varying cultural norms and perspectives.

- Tech savviness: comfort using various software tools and platforms in a remote workplace, and a willingness to learn new systems. Training and support in Google Workspace, Quickbooks and Asana will be provided.

Benefits and the fine print
- Terms of employment: Part-time (27-30 hours / week). Flexible working hours.
- Location: We can consider applicants based in the UK or Belgium. This is a remote role, and you will be able to work from home, or anywhere you choose (within the UK or Belgium). We are happy to consider supporting costs for co-working to enable you to work from an office if you wish. The whole GFI Europe team aims to get together in person approximately twice per year for around 3-5 days at a time. Travel costs will be covered by GFI Europe within our travel policy.
- Salary and benefits: The salary and benefits package for all of our roles are researched and benchmarked based on similar nonprofit roles in the country/location of hire. Full-time (to be pro-rated) ranges (total amounts received in gross salary plus benefits including home-working allowance) are:
- €2,500 – 3,000 monthly if based in Belgium, plus 13th month and holiday pay
- £31,600 – 36,000 annually if based in the UK

Eclipse is looking for a competent, organised and experienced Finance and Operations Manager to join the organisation during a period of transition. The Finance and Operations Manager will be responsible for managing the finance support service for the organisation together with operational support for Governance, Admin & HR.
This is an opportunity to play a vital role in the organisation as it develops and instigates an exciting and ambitious new set of plans over the next six months. You will be working directly with senior leaders and trustees, and line-manage an Administrator utilising strong financial and administrative skills to manage the charity’s finances and day to day operations.
The ideal candidate will have an understanding of budgets and financial management as well administration, along with a passion for theatre and culture to be made by and resonating with Black voices and the communities in the North of England.

JOB DESCRIPTION
Purpose of the Post
- To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
- To be responsible for effective management of the day-to-day office administration, and HR processes.
- To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
- To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.
The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.
Terms and Conditions

Location: Working from home with some working from company office in Leeds with reasonable notice
FTE / Hours: Full Time (1.0 FTE) at 35 hours per week, plus a compulsory break for one hour. Part-time options of 0.5 to 0.8 FTE would be accepted.

Role responsibilities
The Finance & Operations Manager is responsible for:
Finance
- Preparation, monitoring, and control of the budgeting and forecasting processes.
- Provision of clear and timely management accounts to the senior team and Board of Trustees.
- Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
- Liaising with the external payroll provider and payment of monthly salaries.
- Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
- Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions.
Governance
- Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
- Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.
Administration & HR
- Day to day responsibility for managing the HR function of the company.
- Keeping in contact with and responding in a timely manner to any queries from key stakeholders.
- Support the organisation to maintain key relationships and deliver report writing.
- General administration and office management lead.

The Role:
The Partner Engagement Lead is responsible for key account management, and specifically developing and supporting relationships with programme sponsors and partners within the WorldGBC network.
The Partner Engagement Lead will work closely alongside the programme/projects team subject leads, taking responsibility for day to day management of activities that relate to sponsors or stakeholders, including partner relationships, external collaborations and fundraising.
Working cross-functionally within a matrix-style organisation, the Lead will work collaboratively on the engagement pillar of WorldGBC's fundraising team alongside the Partnerships Manager and the Strategic Partnerships Lead. This team coordinates closely with all WorldGBC departments, in particular where sponsors are involved with initial focus on the programme/project partners.
Well-organised and a great communicator, this individual will ensure that key relationships are managed effectively across the organisation, and be detail oriented in their reporting and accounting of opportunities. The Lead should also be willing to represent the organisation in relevant external opportunities relating to the programmes as need arises - including fundraising meetings, external working groups, events or conferences.
The Partner Engagement Lead will report to the Director of Programmes Strategy.
Key responsibilities include but are not limited to:
1. Account Management: Be primary point of contact for new and existing programmatic sponsors and partners, overseeing engagement with the network and accounting with detailed reporting to ensure up-to-date partnership records. Work alongside the programmatic team leads to deliver all agreed benefits to partners, ensuring a uniform balance of benefits and opportunities across sponsors engaging in all areas of the organisation.
2. Fundraising and Budget Management: Work alongside the programme leads to secure funding and manage relevant programme/project budgets (with guidance from the Director of Programmes Strategy), including supporting grant application and reporting responsibilities where necessary.
3. Stakeholder Engagement (members and partners): Engage with stakeholders to ensure that our programmes/projects align with their goals and needs, working with the Director of Programmes Strategy and wider programme team to explore best practice engagement tactics throughout 2024.
4. Subject Matter Expertise: Stay current with the latest trends in sustainable buildings and WorldGBC programme outputs, ensuring the Lead can communicate knowledgeably about WorldGBC strategy and work areas as required.
5. Communications: Support communication for WorldGBC on topics related to sustainable buildings in relevant programmatic areas, representing the team at internal or external events or industry working groups and collaborating with Marketing & Communications on accurate messaging for publications and campaigns.
6. Supporting Programmes team: Be a committed member of the WorldGBC team and offer support, training and expertise to wider members of the team. Participate and engage in wider WorldGBC campaigns, events and deliverables, such as COP, World Green Building Week and Leadership Summit.
