For a small but vital refugee charity, we are recruiting an Interim Head of Finance for 3 + months, starting ASAP. Reporting to the CEO, the main accountabilities will focus on providing insightful monthly management accounts and reporting to the Senior Leadership Team and Trustees / Board, and to ensure the correct allocation of expenditure to a high number of grant funds. This role will oversee the Finance Assistant and the day-to-day finance transactions, including expenses, payroll, and balance sheet reconciliations.

Main Duties:

• Produce regular management accounts and financial reporting
• Support the Leadership Team, Finance Committee and Board with long-term financial planning
• Lead and review budgeting, reforecasting and cashflow management
• Review and re-negotiate all contracts, including office premises, IT, grants, and services
• Oversee the Finance Assistants day-to-day work including transactions and payroll processing
• Work with the Head of Fundraising and Senior Leadership to ensure income generation and fundraising strategy is in line with long-term goals

What will you bring to this role?

• Qualified Accountant or QBE with solid experience
• Strong knowledge and experience of Charity SORP, Grant funding and restricted and unrestricted funding
• Strong experience of management accounts and reporting within a small but complex charity organisation including budget preparation and year-end accounting and Audit
• Strong IT skills including Xero and Excel
• Experience of contracts, facilities management, HR processes and IT would be desirable
• Solid experience of managing and motivating staff

In addition to this, you will process voids (vacant rooms) in line with housing management procedures, ensuring that rooms are cleared and liaising with the Facilities Manager to ensure that rooms are habitable as soon as possible.

The Role

This role will ensure the organisation is following robust financial systems and processes; carry out all day-to-day accounting tasks; and ensure timely production of financial information to inform management decisions. Most tasks can be done from home, however some tasks such as banking and petty cash reconciliation will require you to attend our offices. Once the initial training is complete you will be able to arrange your own hours, to be worked Monday to Friday.

This role is for a fixed period of 12 months, to cover maternity leave.

About You

A proven track record of relevant financial administration experience is essential and competence in the use of Xero accounting software, Excel and other MS packages such as word and Outlook is essential. You will have an organised approach to workload and ability to prioritise tasks and meet deadlines, be flexible and adapt to the requirements of the role. You must be able to clearly convey financial information to non-finance colleagues.

This role would suit someone looking to increase their experience of working within the charity sector as part of a busy and friendly finance team, perhaps whilst studying to complete AAT Level 4 or similar.

Responsible for corporate hospitality, the Administrator will provide excellent in-person customer care for visitors to the organisation’s central London Hub and act a first point of contact via the organisation’s in-bound telephone hunt groups.

Westway Trust is seeking a qualified accountant to join as our Head of Finance who will lead on all aspects of the finance function to achieve the Trusts goals.  You will also manage a small team and will offer strategic finance support across the range of activities undertaken by the organisation.

You will have significant experience operating at a senior level within a complex organisation and registered charity, and will possess the right blend and balance of strategic, communication, innovation and people skills.

Key responsibilities of the role include but not limited to:

• Lead, manage and improve the Trust’s finance function and provide accurate, timely and relevant financial reports as required by the CEO, Executive Team and the Trust Board.
• Be the Executive Lead of the Finance Audit and Risk Committee, ensuring timely papers to the CEO and to the Committee and Board as required and liaising with the Head of Governance and HR as required.
• Ensure the provision and reporting of financial accounts, forecasting and large-scale project/programme budgets, estate development plans, and the associated reporting.
• Oversight of the legal and financial statutory processes in line with the Charity Commission and Companies House requirements, including the Annual Audit. Allocating tasks for timely responses and keeping all colleagues abreast of progress.
• Monitor, cash flow, reserves, analysis of performance against the organisation’s annual business plan and dashboard as it relates to the finance function.
• Contribute to the overall leadership of the Trust and to the Trust’s future strategic and operational planning. Support Executive Team colleagues as required on the delivery of cross-team initiatives.
• Line management of the Senior Finance Manager, the Debt Recovery Consultant and the Development Partnerships Lead.

Essential Experience, Skills and Attributes:

• Significant and successful experience of operating as a Head of Finance, ideally in a charity setting.
• A track record of working collaboratively with a team to develop successful internal partnerships and achieve joint success against shared objectives.
• Experience of the finance function and all the associated processes, with strong attention to detail.
• Experience of implementing enhanced reporting tools within financial software, including the ability to coach others.
• Practical knowledge of VAT, including accounting of partial exemption relevant to charities.
• Experience of managing staff and supporting their development.
• Strong interpersonal skills for both workplace and external representation contexts, operating with enthusiasm, flexibility, energy and commitment and demonstrating credibility and gravitas.

Desirable Experience, Skills and Attributes:

• A good understanding of the local area.

About the role

The London Library is looking for an Acquisitions and Discovery Assistant to assist in the acquisition and management of Library E-resources and print resources.

The role includes supporting the successful acquisition and seamless delivery of electronic resources to library users, utilising and maintaining relevant library systems and records; assisting purchasing decisions and supporting licensing, ordering and payment processes; verifying access, liaising with suppliers & Library IT, and ensuring correct metadata is presented to users; plus monitoring resource use and collecting data for the evaluation of subscriptions. We are recruiting for an enthusiastic and proactive individual to join our Finance Team in the role of Finance Assistant.

The Finance Assistant supports all aspects of the Hallé’s work at the Bridgewater Hall, the Hallé Venues and concert halls across the UK.

The Finance Assistant works in a department currently comprising Finance Director, Finance Manager, Assistant Finance Manager and Finance Assistant.

The department is responsible for all aspects of the financial affairs of the Society and its related trusts. The Finance Assistant is responsible to the Assistant Finance Manager.

Purpose of Job:

The postholder plays a key role in managing the alumni network, with a specific emphasis on events and volunteer management, to actively engage alumni and stakeholders with Queen Mary’s Grammar School. The goal is to continuously enhance the value and contributions from stakeholders in alignment with Queen Mary’s Grammar School’s strategic priorities.

Ultimately, this role is designed to support the school’s strategic plan by delivering philanthropic income and other forms of financial and non-financial support from alumni and other stakeholders. Main responsibilities:

The Office Coordinator position is responsible for the general day-to-day operations of the London, UK office.  Due to the nature of this position, work must generally be performed within a 30 hours / week timeframe (M-Fri). This role is an in-office role.

· General administration as required: call handling and forwarding, front door access controls, post management, post requests, staff access, etc.

Introduction to the role

This is an opportunity to help support a busy organisation doing important work. Your work will make it possible for us to support a team of fact checkers, communicators, fundraisers and technologists. 

Millions of people use our fact checking, including most of the major internet companies. We get powerful people and institutions to correct the record, including politicians and the national media. We are campaigning to ensure that the power to shape online debate is scrutinised and not abused. 

We’re looking for someone who can support our talented team of 40 people, by making sure the organisation runs smoothly and being a ‘go-to’ person.

You will join our small Operations team who manage our finances, governance and people operations. We oversee policies, processes and systems so that it is easy and enjoyable for people to do their best work. That means making sure everyone has what they need to do their jobs. You will manage queries, provide basic IT and financial support, support recruitment and make sure people have a good experience whether they are starting or leaving us. You’ll keep the office running smoothly and make sure we have up to date documentation.

Job Definition

• Manage incoming internal and external queries via post, the admin and team email addresses, the operations Slack channel, main phone line and any operational queries (via Freshdesk)

• Manage any necessary purchasing to ensure the team have what they need to work effectively

• Support the Fundraising team with correspondence to donors and mail campaigns

• Provide basic IT support to the team by monitoring the IT Support Slack channel, ordering equipment, providing instructions for how to use Google Workspace, Trello and Slack, and equipment such as laptops and cameras used in hybrid meetings

• Support the Senior Operations Manager with bookkeeping to enable the SOM / accountants to produce timely and accurate management accounts

• Support the People Operations Manager with recruitment by posting job adverts on our website and third party channels, managing communication with candidates and setting up new team members with everything they need to get started at Full Fact

• Manage the tasks involved with people leaving the organisation.

• Support the Senior Operations Manager with coordination and minute taking of Board, Committee and Management Team meetings

• Ensure a well run office by managing supplies and liaising with the facilities team (e.g. delivery of water bottles, ensuring facilities are working, setting up the office for team events)

• Keep registers up to date (e.g. fixed assets, abuse register, software register)

• Support the team with travel arrangements 

• Support the People Operations Manager with coordinating training and development initiatives

Outcomes

In the first 6 months you can expect to: 

• Successfully create a conducive environment for our team during the office move in collaboration with the Senior Operations Manager.

• Achieve streamlined and efficient management of IT equipment for both new starters and leavers.

• Deliver a great candidate experience for candidates by supporting the People Operations Manager with recruitment activities. 

• Optimise operational costs by identifying and acting on savings opportunities.

• Organise our team social events to celebrate our teams’ achievements in an important year for our work.

What we are looking for from you

Political impartiality and sensitivity:

You are committed to the political neutrality of our work and have a good understanding of impartiality (please see the rules on our website).

Understanding of public debate in the UK and sensitivity to the political context we work in.

Job skills/competencies

• Proven experience in an administrative or operational support role.

• Experience with accounting packages, ideally Xero.

• Experience with Excel/ Google Sheets.

• Proficiency in Google Workspace, Trello and Slack.

• Minimum of GCSE Mathematics (or equivalent) at grade C/4 or above.

Personal skills/competencies

The interview panel will be Charlotte Ross (Senior Operations Manager), Laura Dewis (COO) and Sophie Hale (People Operations Manager). 

The process starts off with an anonymised covering letter and CV. This will be read by at least two people to produce a shortlist for interview.

The first round interviews will be a phone (not video) interview, lasting no more than half an hour, at a time that’s convenient for you. We will record it so at least two people can review each interview to decide who we invite back for the second round. The recordings will be deleted at the end of the process.

The second round will include a structured interview and a timed task which assumes no prior knowledge. The task can be completed prior to the interview, at a time that most suits you. 

The interview will be with the full panel by video and last no more than an hour. We’ll tell you everything you need to know to prepare, including anything we’d recommend reading in advance
