Administration Officer – England Central
We are recruiting an Administration Officer to provide an effective and comprehensive range of administrative support to workstreams/projects, which will enable the charity to fulfil its function across Central England to a high-quality standard.
What you will do:
Coordinate training bookings, using the diary system, email and databases to ensure training is organised, allocated and delivered.
Create resource pack for colleagues delivering training courses and workshops.
Help to facilitate training delivery nationally, responding to email and telephone enquiries, ensuring preparation, materials, resources, venues, for all events are in place when required.
Help to plan, contribute to and attend PAPYRUS conferences, workshops and events as required.
Collate evaluations and feedback from training and project work.
Act as a first point of contact, including enquiries which may be complex in nature; assessing the nature and urgency of the correspondence and responding or referring to colleagues as appropriate.
Record all enquiries and contacts using the CRM database and ensure that the database is maintained and accurate at all times.
Assist with managing the office diary, arranging and organising meetings/bookings as required.
Manage stock and resources ensuring that the required items are available.
Administer petty cash as required in line with financial processes.
Respond to orders and other requests for information, from stakeholders, by phone, mail and email, according to policy and keep accurate and up to date records.
Undertake general clerical and administrative tasks to support the service as required (e.g., posting items, photocopying, scanning).
To be successful in this role you will have:
Demonstrable experience in an office administrator role or equivalent
A good working knowledge of Microsoft packages (e.g., Word, Excel, Access, PowerPoint) and hands on IT experience of database packages including electronic filing systems and online platforms.
Ability to work effectively with internal and external stakeholders.
Ability to resolve issues and identify solutions, seeking support and guidance where required
Salary: £23,114 per annum (NALC Scale SCP 4) progressing by increments to £23,893 per annum (NALC Scale SCP 6)

Background - Number Champions
We set up Number Champions in 2018 to transform the lives of children in state primary schools who struggle with numeracy or lack confidence in maths. We employed our first staff member, our Head of Operations (HoO), in 2022 and our second, an administrator, in 2023..
We are the only charity systematically working in-person with young children in our field. Early support will put children on track to achieve their full life potential in a world where some fluency with maths is an essential building block. Success in this one area can increase their self-esteem and their involvement in education as a whole.
Now in our sixth year, we are working across 14 London boroughs in 32 partner schools, with over 110 In-School Volunteers supporting more than 300 children. We plan to increase these numbers each year. Our medium-term vision is to expand across London, while maintaining the highly positive impact we have achieved to date.
We are proud to have received two national awards last year recognising the work of our volunteers, and we are currently shortlisted for a 2024 award.

The Administrator role
Our HoO has taken the lead in developing the charity and in giving us the capacity to expand further while maintaining quality of delivery. The administrator reports to the HoO and manages the bulk of the administration processes of the charity.
The role is for an equivalent of 2 days a week, during school term-time only. It will be almost all remote, although you will be expected to attend occasional meetings in Central London (or possibly North London if that is more convenient for you).
We intend the role to be permanent, but we are offering an 11-month contract September to July pending confirmation of funding.
Impact on the organisation
You will take on key responsibilities for administration and for contact with different groups of stakeholders. In a small professional team, you will have the opportunity to suggest ideas and to influence the development of the charity.

- Manage the administration processes of onboarding volunteers and schools

We’re a small charity that brings communities together to create cleaner, connected and safer urban and rural neighbourhoods by tackling the litter problems where they live. As an Area Manager you will give leadership, direction and guidance to the staff of Medaille Trust to ensure the provision and development of a high quality service in line with the Trust’s Mission, Values and Strategy.
You will have a good understanding of the CQC framework relating to Modern Slavery and Human Trafficking. You will carry out quarterly assurance audits in all safe houses ensuring any appropriate action is taken where necessary.
You will line manage, induct, mentor, coach and support Service Managers. Additionally, you will ensure that any complaints, grievances and disciplinaries are investigated and responded to in an effective and timely manner in line with Medaille Policies.
Although the post is home based, the post holder will be expected to travel frequently to our safe houses within the South and London areas with some overnight stays.

About the Role
As a Volunteering Administrator, you will be essential to the coordination of the Volunteering Team’s work in developing a consistent, inclusive and high-quality volunteering offer. You’ll be delivering administrative support across the team, enabling smooth delivery of the service. This will include managing our busy Mailboxes, processing elements of volunteer recruitment and administrating our volunteer database, Better Impact. Working on the database forms a large part of this role; as well as routine tasks such as data reporting, you’ll be working on more in-depth database development. You’ll also be supporting volunteer managers through delivering training demonstrations on our database, creating process guides and providing advice. Due to the rapid expansion of Day One Trauma Support over the last three years, the charity’s infrastructure has needed to respond quickly to meet its changing demands. The HR Officer and Executive Assistant role is a newly created position to reflect both the growing HR needs of the charity as the workforce expands, and the executive support required by the CEO and Senior Leadership Team (SLT) to ensure the efficient and effective running of the charity. This is a key role which is instrumental in bringing the HR and organisational administration functions together at an operational level.
Reporting primarily to the Director of Finance and Resources and assisted by an external HR and Employment Law support service, this role will provide advice, guidance and support to all line managers in HR related matters whilst building and nurturing relationships with key stakeholders throughout all levels of the organisation. About you:
You will have at least 3 years’ experience of delivering HR support directly and facilitating line managers to deliver HR support. The ACNS is a key senior role within the Nursing team, acting as the clinical specialist lead and overseeing the community nursing service for a defined area on a rotation basis (non-clinical).
