Key Responsibilities

• Serve as the first point of contact for supporter enquiries by phone, email, and post
• Ensure accurate donor records and communication preferences are maintained in Salesforce
• Process donations and generate acknowledgements and thank-you letters
• Support donation coding and financial reconciliation with the Finance and Fundraising teams
• Assist with the onboarding and coordination of temporary staff and volunteers
• Provide general administrative support across the Fundraising & Marketing team

About the Role

We are looking for a Cleaner to join our Team.

Our 627 sqm facilities host over 40 members and staff each day, providing a vibrant space for support services, creative projects, and events. As our Cleaner, you will be responsible for the cleaning and general upkeep of the centre and offices of Headway East London. • Working with an agency cleaner to perform cleaning duties as per the cleaning schedule, to ensure satisfactory levels of cleanliness throughout the building.

• Contribute towards retaining our 5 Star rating kitchen standards by supporting the kitchen team with post lunch cleaning.

• Work flexibly to support with ad hoc cleaning around out of hours events.

• Update the admin team when supplies of consumables are running low, ensuring that basic supplies are always available.

• Update the Admin and Premises Manager with any observation of health and safety risks and concerns.

Job Description

The Jewish Museum London has undergone substantial positive change over the past two years, moving out of our Camden site and moving to a ‘Museum without Walls’ model.  The museum is building a new strategy that will lead its transformation over the next 10 years as it tests out innovative new models for exhibitions, displays, learning and engagement, building towards a new permanent site and dynamic operational model.  Learning and engagement are central to the museum’s future.  This new role will support the learning and engagement team by coordinating bookings, marketing and communications for the team.

Our museum is made up of passionate and expert staff and a collection of over 40,000 objects which are both accredited and designated with Outstanding status by Arts Council England. Our learning programmes hold multiple awards, and our visitor feedback is consistently very high, however, we have much bigger ambitions than our current success. The Museum is looking to expand, in space, in profile and in audience reach. We are looking for someone passionate about our potential to coordinate the day-to-day running of the learning team as we move forward to the next phase of the Jewish Museum London.

Reporting to the Head of Learning the appointed candidate will have the organisational and administrative skills to ensure the team can effectively deliver programmes for schools, families and communities as well as taking a lead on communicating the museum’s activity through social media, newsletters and the website.

Main Duties & Responsibilities

The main role of the Learning and Communications Coordinator will be to administrate the activities of the learning department, in particular our flagship programme of schools workshops both in person and digitally. Excellent communication skills are required as this role will involve being the first point of contact for the department, responding to queries, liaising with teachers, taking bookings and sending out pre- and post- activity information.  You will play a key role in ensuring the smooth running of this busy and creative team by providing, general administration, organisational and hands-on practical support—invoicing, ordering materials and supplies, auditing resources, collating and recording evaluation data and transporting materials and equipment for our outreach, offsite events and workshops.  Digital learning and communications are central to how we engage our audiences so the post holder will need to a good level of social media and technical literacy in order to update learning and events sections on the website, support the delivery of virtual workshops, coordinate the social media working group and create newsletters.

· To be the first point of contact for all enquiries about learning programme activities and the main contact for liaising with teachers and taking bookings

· Co-ordinate and administrate all bookings for the schools outreach, virtual and broadcast programmes—from taking bookings and booking facilitators through to invoicing and evaluation

· Organise bookings, delivery and return of museum loan boxes

· Audit and prepare the handling collection for workshops

· Close collaboration with the Senior Learning Producer: Schools to assign learning team members and freelancers to workshops including leading on contracting and financial administration of freelance facilitators

· Support with organising and delivery of informal and community learning activities and events including the Curious Minds Dementia Friendly programme and family learning events

· General support and assistance for activities and programmes as required

Team Administration

· Managing the team’s calendar of activity

· Ensure that bookings spreadsheets and databases including Raisers Edge, Artifax, Excel sheets and Monday Boards are kept up to date and accurate

· Collating statistics and data for reporting

· Maintain the carbon calculator tracking for the team

· Order any resources, materials, equipment and travel (such as oyster cards, train tickets and taxis) for the team

· Coordinate room bookings and generating zoom links for workshops, meetings and activities

· Set up regular team meetings as required, circulating minutes/ action points and ensuring follow up actions are taken

· Work with finance to ensure that schools workshops and activities are invoiced and to coordinate payment of freelancers

The Role

Background

The Minster Centre is a registered charity and company and specialist integrative counselling and psychotherapy training provider based in Queens Park, London. We are a leading training provider in the sector and currently have around 400 students attending training courses ranging from open access introductory courses to post-graduate degrees.

Thousands of therapists have trained at the Minster Centre since our inception in 1978 and we have an extensive community. Our courses are accredited by the UKCP (UK Council for Psychotherapy), the BACP (British Association of Counselling and Psychotherapy), and some are validated by Middlesex University. We are also registered with the Office for Students.

The Minster Centre Psychotherapy & Counselling Service (MCPCS) also provides a safe, affordable and professional counselling service to people over the age of 18 who are experiencing a range of difficulties. The service is provided by senior trainees who are in the process of completing their therapy training.

Job summary

The Registry Manager supports all aspects of training and course administration from first enquiry to graduation. This includes introductory courses, professional counselling and psychotherapy qualifications, and MA programmes validated by Middlesex University.  Reporting to the responsible Management Committee Lead, the Registry Manager ensures that we deliver efficient and effective services to support admissions, enrolment, university registration, assessment, progression, HESA data returns, awards, and graduation of our students.

The Registry Manager has line management responsibility for the course administrator, leads on course scheduling, managing student data, organising the Bursaries and Hardship Fund (the Minster Centre Fund), supports key committees, monitors academic progress, and ensures accurate information is presented at Assessment Boards. They will balance day-to-day student matters with supporting the team and working to improve administrative systems.

This is a varied role which is critical for the delivery of The Minster Centre’s strategic objectives and charitable aims. The successful candidate will be educated to degree level, or equivalent, and will have significant relevant experience of administration, ideally within the Higher Education or professional training sectors. A self-motivated person with proven management, communication and interpersonal skills. They will be adaptable, able to work as part of a team, and prioritise a challenging workload.

This role would suit someone who wants to work in the not-for-profit sector and who is looking for a challenging but rewarding place to learn, develop, and grow, within a Higher Education, counselling and psychotherapy training environment.

Main areas of responsibility

The Registry Manager will be responsible for:

Training and course administration

• Organise course scheduling, communicating with various staff during the process, ensuring rooms can be booked and staff contracts are created.
• Oversee and support the Live Assessment scheduling and marking procedures.
• Oversee and support the process for creating student teaching groups.
• Set and disseminate key dates in the academic calendar including term dates annually.
• Be able to identify, contribute to, and action improvements to systems, processes and policies.
• Provide administrative support, including minute taking and any additional administration as required.
• Maintain a Registry Admin Handbook, with regular review and improvement of systems recorded.

Student support and progression

• Ensure that students are enrolled on courses and set up on systems accurately.
• Manage the re-enrolment process between academic years.
• Oversee the recording of student progression.
• Liaise with and support the Operations Team in organising the annual Graduation event and ensuring all eligible students receive timely information.

Reporting

• Co-ordinate and support the accurate information recording and preparation for Assessment Boards and liaise with the External Examiner.
• Oversee and support the various HESA data returns as the liaison Senior Contact and ensure all data is accurate and meets various submission deadlines.
• Provide accurate statistical information to the Management Committee for inclusion in annual reports.

Staff management and stakeholder liaison

• Manage the Course Administrator.
• Work with Admissions, Quality, IT, Finance, Training, and Reception Teams throughout the academic year.
• Attend regular staff meetings and work with other key staff to market courses.
• Conduct annual appraisals.
• Be a key communication link across the staff and student community.
• Work with other key staff to ensure that information is provided accurately to students, staff, and the public via handbooks, Moodle, and the Minster Centre website.
• Liaise with Middlesex University at key points in the year.

The Assistant will play a key role in ISEAL´s team, providing assistance to two managers to ensure efficient administration of their respective work areas - membership and operations. In the operations team, the successful candidate will get involved in the processes of running an international not for profit organisation, while also supporting the membership team in high quality member communications and data management.

To be considered for this role, you will need to be well-organised with great attention to detail and an excellent ability to follow up agreed tasks. Working efficiently and reliably under direction, you have a friendly and professional demeanour and are comfortable in your communications and interactions with colleagues and external stakeholders. You enjoy working on a varied and changing set of tasks to support the implementation of a project or a collaborative group process.  You have a natural aptitude with IT systems and data and enjoy helping others get the most out of them. Having worked on data analysis before would be a real bonus.

The key responsibilities we entrust you with

Operations Support

• Guide and assist ISEAL staff in using software tools effectively by leading inductions, writing guidance, sharing best practice, providing training and trouble-shooting issues that arise
• Manage IT equipment and liaise with external IT support
• Facilitate internal communications by supporting regular and ad hoc staff meetings
• Work closely with Senior Manager Operations on improvement projects, including leading smaller projects
• Assist in promoting best practice in use of IT, communications and knowledge management systems across the organisation and suggest and help implement improvements
• Support management of ISEAL’s office space in London, including liaising with landlord and ensuring office works well for staff
• Lead on procurement of items needed for smooth running of office, for staff leading events and equipment for staff home offices
• Participate actively in team and organisational planning and activities
• Participate in internal staff management processes such as performance reviews, supervisory meetings, etc.

Member communications

• Gather and prepare content for member mailings, including our monthly member-only newsletter, the ISEAL Insider
• Maintain the internal Mailchimp schedule, liaising with staff in the Communications team to plan and schedule mailings effectively
• Support other ISEAL teams to communicate appropriately with members through our different channels and mailing lists, checking for adherence to brand guidelines
• Support the Membership Coordinator and Membership Manager with drafting blogs, news items, and group posts to share updates with members via the ISEAL Platform
• With the Membership Coordinator, regularly review content on the ISEAL Platform to ensure it remains accurate and up to date, liaising with other teams where necessary

Monitoring our membership programme

• Regularly collect data to help monitor our member communications, engagement with member-only events, and use of the ISEAL Platform
• Create and update quarterly reports and dashboards to help identify and communicate key trends and inform improvements
• Support the Membership Manager with the preparation of quarterly and annual engagement reports to send to members
• Deliver administrative processes that underpin member relationship management and track member engagement, including maintenance of member records within Salesforce

Other

• Provide occasional support for member-only Zoom webinars and at in-person events
• Be a collaborative and effective member of both the Membership and Operations teams, liaising with colleagues at all levels across the organisation where needed
• Support the Membership Manager and Membership Coordinator on member engagement projects

Experience, Knowledge and Attributes

• Experience working or interning in a support/administrative or customer service/communications role, ideally in international NGO, professional or membership organisation
• Enthusiasm for using data to drive customer engagement and aptitude for working with data, ideally some experience in extracting and working with analytical information

The purpose of the Bookkeeper position at Latin American House is to ensure accurate and timely financial administration, supporting the efficient management and smooth operation of the organisation’s financial activities. This includes processing invoices, tracking payments and expenses, managing financial documentation, and ensuring compliance with both internal policies and external regulations.

The Bookkeeper plays a crucial role in maintaining accurate financial records, assisting with financial reporting, audit preparation, and supporting senior management in overseeing budgets, payroll, and compliance.

By providing essential administrative support, the Bookkeeper upholds the integrity, efficiency, and transparency of LAH's financial processes, contributing to the overall success, sustainability, and governance of the organisation.

Main duties and responsibilities:

1. Maintaining accurate and up-to-date financial records by:
● Accurately recording all financial transactions, including income, expenses, invoices, payments, and receipts, ensuring they are categorised correctly in the financial system
● Regularly reconciling bank accounts, credit card statements, and other financial documents to ensure accuracy and identify discrepancies
● Maintaining and organising all financial documentation, including invoices, receipts, contracts, and financial reports, in accordance with internal policies and regulatory requirements
● Ensuring that all financial data is entered into the accounting system in a timely manner and accurately, and keeping records updated as necessary, reflecting any changes or corrections

2. Supporting organisational income and expenditure processes efficiently by:
● Monitoring and tracking income and expenses across various budgets, ensuring all transactions are in alignment with allocated funds and any restrictions on specific funds
● Processing self-generated income from all LAH activities (e.g., Space rental, hall hire, Saturday School, etc.) by preparing related invoices, ensuring accurate record-keeping, and diligently tracking payment status

● Preparing payments on the CAF Bank platform for approval by authorised signatories

3. Assisting organisational financial compliance by:
● Preparing financial records for audits and financial reporting as required, ensuring compliance with tax laws, charity regulations, and other applicable legal standards
● Maintaining and updating the LAH’s inventory by accurately recording purchases, disposals, and changes in assets, such as IT equipment and furniture
● Assisting with payroll enrollment administration for new starters, ensuring accurate processing and compliance with relevant payroll procedures
● Collaborating with senior management to ensure adherence to LAH’s Financial Policy and internal financial procedures
