Your Role: Admin Support Volunteer (Remote)

You’ll be the organisational backbone of MINDSET, helping with day-to-day admin tasks that keep the charity running. Whether it’s managing emails or coordinating schedules, your work will help us stay connected and effective.

Key Responsibilities:

• Monitor and respond to emails with warmth and professionalism.

• Schedule meetings, workshops, and volunteer onboarding sessions.

• Organise documents and maintain digital filing systems.

• Support communications between trustees, volunteers, and partners.

• Help streamline internal processes and improve efficiency.

Who We’re Looking For

• Organised, reliable, and detail-oriented.

• Comfortable with email, calendars, and basic document tools (Google Workspace, Microsoft Office, etc.).

• Passionate about mental health, inclusion, and grassroots change.

• Approx. 2–6 hours/week(flexible and remote-friendly).

The role in a nutshell: 

Lead volunteers help to keep Age UK charity shops running like clockwork and are an essential part of our retail division. Our charity shops raise vital funds, which aid and support a wide range of services which Age UK delivers. If you have some free time available and have a passion for retail management, we can help you find a new sense of purpose in your life. 

What will you be doing? 

As this is such a key role, the task list for this role is understandably lengthy.
Key activities include but are not limited to the following:
•To assist in the security of the shop and its stock, and bank takings when required. Opening the shop or securing the shop at close of business when required. 
•Ensure cash handling processes and procedures are adhered to and exchanges and refunds actioned promptly. 
•Ensure Health & Safety regulations are understood and complied with; Alcumus (incident reporting and health & safety check recording system) understood and completed.
•Ensure compliance with all organisational policies and procedures.
•Always deliver great customer service.
•Support other volunteers, ensuring gift aid is captured on both donations and sales.
•Provide training and support on the till to other volunteers as required. 
•General retail duties - again not limited to but including- accepting donations (stock or cash), promote gift aid, operate till, take phone calls and deal with enquiries, keeping the shop clean and tidy, pricing, displaying and sale of donated goods and merchandise.  Deal with refunds and customer complaints.

How would you be supported in this role? 

When you become part of our team, you will receive a mixture of e-learning and ‘on the job practical training,’ to get you started. As you progress in the role, you will receive refresher training and ongoing support. We will also reimburse ‘role-related expenses’ and provide further opportunity to shape the volunteering that you do. To be a Lead Volunteer we do have a specific training plan we would need you to complete. 

Why do we need volunteers in this role? 

Lead volunteers have an important part to play in the ongoing success of our retail division, as they help us raise funds though our shops, to reach and support more older people. Occasionally we find ourselves in a position where no paid staff are available to open the shop which disappoints customers and donors alike; and decreases the funds we can raise to support people in later life. Lead volunteers give an additional layer of flexibility to help us keep our doors open. 

Additional information: 

We offer a wide variety of flexible shifts for volunteers, to fit around your personal circumstances. However for this role there will be times when we do make a specific ask of you. 

What skills, interests or experience might be helpful in this role? 

We welcome applications from people with a wide range of skills and experiences. For this role, previous experience of working in retail would be a real advantage; and you would need to show commitment and regular attendance to ensure you are fully up to speed with our policy and procedures; and what’s going on in the shop. Our amazing team of volunteers help us run over 100 shops across England and Wales.  Every donated item that you sort, prepare and sell helps to raise vital funds to support us in our mission to make sure no one, no matter how complex their disabilities, is isolated, left out, or unable to fulfil their potential. Our shops are at the heart of local communities – sharing the work of Sense, and helping to secure support for our life changing work.

What your role will involve

There are a variety of tasks that you can get involved with in the shop, including:

• Welcoming and assisting customers, providing great customer service and a fantastic shopping experience

• Sorting, steaming, tagging and preparing donated goods for sale
• Creating eye catching window and in-shop displays
• Keeping the shop floor well stocked, tidy, clean and organised

• Promoting Gift Aid and other Sense fundraising initiatives
• Acting as an ambassador for Sense; promoting the shop and Sense in your local community
• Supporting with the recruitment and training of new volunteers
• Following new health and safety measures to ensure the safety of everyone

We’re passionate about what we do, and love giving second-hand clothing a chance of going to a good home. Our shop teams are key to raising vital funds for our work and act as incredible advocates for the rights of children both in the UK and around the world.

Volunteering in the shop

Mary's Living & Giving for Save the Children is unique - a vibrant result of the generous gifts of local individuals and companies being turned around by the skills and passions of volunteer teams, to create a destination retail experience. Selling womenswear, menswear, shoes, and bags to household goods, our shops can be found in the London villages and bring in vital funds for Save the Children.

Our Little Venice Shop Volunteers are in the middle of it all, and there’s plenty to get involved with. You might be sorting and pricing stock, engaging with customers, ringing items through the till, creating fantastic window displays or keeping our shop floor looking organised.

It’s up to you how much you commit. We have volunteers who support for a couple of hours a week and some do more. Many people volunteer either a morning or an afternoon each week - this is something that will be discussed at the selection stage, after you’ve applied.

It’s a great opportunity to visit the shop, meet some of our existing volunteers and have a go at some of the tasks that you would be supporting with as a shop volunteer. We also ask for a couple of references (these don’t have to be formal workplace ones, just someone who has known you for over 6 months and isn’t related).

With your organisational skills, you’ll assist the Volunteer Management Team in the administration of our volunteer programmes and help us with the day-to-day operation of the office.
This position presents an excellent opportunity to gain or refresh valuable transferable skills that can be used across a wide range of working roles in future. 

This role is shared between several volunteers; each covering different shifts, so we have flexibility in accommodating what hours you are able to offer us.

ABOUT EMERGE

We operate three initiatives:

* FareShare Great Manchester - the regional hub of national charity FareShare UK, which redistributes overstocked food to community initiatives and food banks, diverting it from polluting landfill

* Touch Wood - our reclaimed wood workshop, which takes wood destined for landfill or incinerators and prepares it for resale or upcycles it into crafted items

* EMERGE Recycling - a pioneering recycling social enterprise

The volunteer administration support role is one of the broadest ranging opportunities we have on offer; being a blend of many working practices, from general administration to assisting with recruitment. You will be working with a diverse range of individuals, from many different types of backgrounds and circumstances, so a friendly attitude and an interest in helping people are advantageous traits for applicants.

Typical tasks include:

* Answering and redirecting phone calls and greeting visitors

* Data entry

* Assisting with monitoring information

* Assisting with preparation of induction sessions

* Undertaking routine tasks, e.g. photocopying, laminating

* Preparing information packs

* Maintaining supplies of flyers and forms used for volunteer recruitment

REQUIREMENTS:

Organised and reliable

Good communication skills: comfortable speaking in person and on the phone in a polite, clear and friendly manner

Strong computer skills; particularly familiarity with Microsoft Word, Excel and Outlook

Accuracy and attention to detail

Good standard of personal presentation

When?  Once a week, Monday to Friday. All day or shifts 9:00 – 13:00 / 12:00  –  4:00

GETTING TO US

We are just a 15 minute bus ride from Manchester Piccadilly, with our new base, Maynard House, located on new Smithfield Market, which is only a few yards off a main arterial route into the city, Ashton Old Road. 

Public Transport

The market site can be easily reached by a number of bus services, with the 219 being the most frequent.

If travelling to us by car, please be aware that many satnav systems wrongly direct drivers to the rear of the market site. Instead, please enter by the main gate on Whitworth Street East (off Ashton Old Road). There is plenty of free parking on site.

There is a bus stop immediately opposite the main entrance to the market.

Volunteering in the shop

Mary's Living & Giving for Save the Children is unique - a vibrant result of the generous gifts of local individuals and companies being turned around by the skills and passions of volunteer teams, to create a destination retail experience. Selling womenswear, menswear, shoes, and bags to household goods, our shops can be found in the London villages and bring in vital funds for Save the Children.

Our Blackheath Shop Volunteers are in the middle of it all, and there’s plenty to get involved with. You might be sorting and pricing stock, engaging with customers, ringing items through the till, creating fantastic window displays or keeping our shop floor looking organised.

It’s up to you how much you commit. We have volunteers who support for a couple of hours a week and some do more. Many people volunteer either a morning or an afternoon each week - this is something that will be discussed at the selection stage, after you’ve applied.

We also ask for a couple of references (these don’t have to be formal workplace ones, just someone who has known you for over 6 months and isn’t related).

Our charity shops raise vital funds, which aid and support a wide range of services which Age UK delivers. If you have some free time available and have a passion for retail management, we can help you find a new sense of purpose in your life. 

What will you be doing? 

As this is such a key role, the task list for this role is understandably lengthy.
Key activities include but are not limited to the following:
•To assist in the security of the shop and its stock, and bank takings when required. Opening the shop or securing the shop at close of business when required. 
•Ensure cash handling processes and procedures are adhered to and exchanges and refunds actioned promptly. 
•Ensure Health & Safety regulations are understood and complied with; Alcumus (incident reporting and health & safety check recording system) understood and completed.
•Ensure compliance with all organisational policies and procedures.
•Always deliver great customer service.
•Support other volunteers, ensuring gift aid is captured on both donations and sales.
•Provide training and support on the till to other volunteers as required. 
•General retail duties - again not limited to but including- accepting donations (stock or cash), promote gift aid, operate till, take phone calls and deal with enquiries, keeping the shop clean and tidy, pricing, displaying and sale of donated goods and merchandise.  Deal with refunds and customer complaints.

How would you be supported in this role? 

When you become part of our team, you will receive a mixture of e-learning and ‘on the job practical training,’ to get you started. As you progress in the role, you will receive refresher training and ongoing support. We will also reimburse ‘role-related expenses’ and provide further opportunity to shape the volunteering that you do. To be a Lead Volunteer we do have a specific training plan we would need you to complete.

Lead volunteers have an important part to play in the ongoing success of our retail division, as they help us raise funds though our shops, to reach and support more older people. Occasionally we find ourselves in a position where no paid staff are available to open the shop which disappoints customers and donors alike; and decreases the funds we can raise to support people in later life. Lead volunteers give an additional layer of flexibility to help us keep our doors open.
