The suitable candidate will have at least three years’ experience of supporting a Senior Manager and clinical and/or general administration. The applicant would be committed, enthusiastic, confident in Information Technology, able to maintain a client database, a good team worker with good client focus skills, reliable, adaptable and flexible. He/she would have excellent organisational, communication and interpersonal skills, to produce work of a high standard, demonstrate a high level of professionalism and confidentiality, and be able to manage own work to meet deadlines. The post requires sensitivity to the management needs of the CEO and of young people with emotional difficulties and the nature of therapeutic work. Experience with young people or with mental health is advantageous.

The Challenge Ahead: Executive Assistant
The Difference is a growing charity, in both the size of its team and the reach of its delivery. As our delivery and team both grow, we must develop our ability to manage competing strategic priorities and their demands on our time, and to communicate and collaborate effectively across a wider group of colleagues, Trustees and external stakeholders. This requires a high level of coordination, strategic time management, and internal communication that we have not needed until now - qualities which we hope you will help to foster and grow.
As the Executive Assistant, you will work closely with the CEO and Directors to develop a deep understanding of the organisation’s strategic goals, how they interrelate, and the operational approaches designed to achieve them. Through this understanding, you will support the Exec team to manage their time and input towards the charity’s goals; ensure effective communication across The Difference team and with external stakeholders; as well as personally delivering on key projects across the charity.
Key Tasks Required of this Role
Strategic support for CEO & Directors
- Play a strategic role in balancing competing priorities, to ensure that sufficient time is given by CEO and Directors to each of the organisation’s objectives.
- Manage the CEO’s diary on an ongoing basis to ensure it continuously reflects current priorities, and responds to emerging needs.
- Support the CEO in preparing for meetings - through both written and verbal briefings - and ensure communication of key headlines to relevant team members.
- Coordinate Directors’ meetings, supporting the creation of agendas, and helping to determine how questions and topics are prioritised across the year.
- Support on the delivery of cross-organisational projects, focusing on topics such as team development; ways of working; culture and values.
- Manage CEO and Directors’ logistics, including travel arrangements, venue booking and processing expenses.
Internal Communication & Collaboration
- Own and maintain an accurate organisational calendar, ensuring teams are aware of one another’s capacity across the year, and can plan accordingly.
- Deputise for the CEO in internal meetings, to ensure that adequate briefing can be given to the CEO meaning ongoing oversight is not lost when external meetings are given priority.
- Project manage key cross-organisational events, such as conferences and school visits, ensuring timely input from all relevant team members.
- Develop shared processes & norms to nurture constructive communication with internal & external stakeholders.
Board
- Project manage production of board papers, including support with writing them, and ensuring timely input from across the Difference team.
- Plan and coordinate Board meetings, including supporting the CEO and Chair to set agendas, and ongoing communication with all Trustees.
- Take and distribute Board minutes, and ensure timely follow up on any actions.
- Organise and coordinate Trustee engagement events, e.g. social dinners and school visits
External Communications
- Manage correspondence between CEO and external stakeholders, including categorising incoming mail, and triaging or delegating to other team members where relevant.
- Ensure a welcoming experience of The Difference for external stakeholders, both for those visiting the office, and those reaching out via email or social media.
Operations Team support
- Assisting the Operations Team, updating the staff leave sheet as well as helping with the induction and onboarding of new staff members.
- Updating policies and processes, to ensure key staff documents are kept up to date
- Manage the office, updating the office tracking sheet, ensuring meeting rooms and resources are available, and liaising between team and office staff.

About the role:
We are looking for an Executive Assistant(s) to help support the expansion of the Executive administration office on a full time or part time basis.
Working within a small team you will be responsible for full administrative support to the Director(s) at Executive level. You will be experienced within a similar role, with excellent organisation, prioritisation and planning skills. The Role

You will need previous experience in an EA role, be unflappable, very organised, and able to stay on top of a busy and varied workload where it is crucial to manage the Chief Executive’s time and activities skilfully and confidentially. You will have a high level of communication skills (both written and verbal), with a can-do attitude and someone who can use their initiative to proactively drive deadlines and forward plan ensuring varied tasks are done.

We are recruiting an Executive Assistant on behalf of a fabulous Charity which is the collective voice of 140 universities across the UK.
This is a 12 month part time (0.6 FTE) contract
This role is hybrid working with 1 day per week in the office near Russel Square station and the remainder remotely.
This is an exciting opportunity to work closely with the Chief Executive Office and and the wider team providing admin support.
Duties include:
- diary management
- supporting group meetings through the production of agendas, papers and meeting notes
- support with events programme (online and face to face); and
- Provide support for the CEO's member engagement activities, in particular regular regional vice-chancellor dinners, monthly VC group calls via Teams and university visits.
- Maintain records and intelligence relating to CEO member visits.

Main Accountabilities
The Executive Assistant to the CEO’s key duties will be to:
- Provide high-level support to the CEO to ensure their agenda, priorities and objectives are met – including strategic diary and inbox management
- Manage the CEO’s briefings, commission and coordinate from colleagues across the organisation to ensure that the Chief he is fully briefed for all meetings and travel
- Strategic lead on the CEO’s UK and international trips, working with country offices and colleagues from other divisions and country teams to ensure trip objectives are in line with the Chief Executive’s priorities
- Manage strategic planning for ELT meetings and ways of working; support CEO management of Executive Directors
- Manage the CEO’s global movement role and internal profile, working closely with the Head of Internal Communications and other colleagues
- Be an informed key contact for the CEO team and handle internal and external enquiries in a professional manner liaising with key contacts across corporate, political, media, non-governmental organisations and other networks
Person Profile
You will have knowledge and experience in all of the areas below:
- Experience as an Executive Assistant or Personal Assistant supporting C-Suite level executives or Directors
- Highly IT literate and confident with Microsoft Word, PowerPoint, Outlook, and Excel, and conferencing software such as Microsoft Teams and Zoom.
- Experience of complex diary management, international travel planning, and demonstrable experience of office-based administrative work
- Experience of internal and external meeting support including - organising meetings, preparing agendas, drafting of reports, minute taking, and communications.
- Experience of organising and prioritising own workload on a day-to-day basis and being adaptable and responsive to changing needs.
- Experience in supporting financial management such as processing invoices/expenses.
