Main Responsibilities:
- To provide facilities management to all YMCAES sites across East Surrey. This includes 5 housing schemes and one sports and community centre all owned by the YMCAES together with six family and youth centres that the YMCA lease from local authorities.
- u To manage a team of three maintenance technicians (full and part time), and facilities administration assistant and to be responsible for their training and professional development
- u To be the Health and Safety Officer for YMCAES to ensure that the organisation complies with all current legislation and to encourage good practice throughout the YMCAES.
- To be responsible for ensuring all risk assessments are up to date and accurate:
- to carry out regular building risk assessments
- where necessary support and advise staff in completion of risk assessments
- to ensure fire risk assessments are carried out in accordance with legislation and good practice
- To be responsible for the maintenance of YMCA buildings and sites. Including preparation of cyclical maintenance plans and to arrange and supervise necessary major works to be scheduled and safely carried out in accordance with the project plans.
- To be responsible for managing the online maintenance system (Pyramid) ensuring accurate recording and reporting of:
- daily reactive maintenance tasks
- planned and cyclical maintenance tasks
- all regulatory building compliance requirements.
- To manage YMCAES building contracts and to comply with the Accepting Contracts and Procurement policies and procedures.
- To be responsible for the compilation and upkeep of the preferred provider list of contractors.
- To put in place and manage a call out system for managers to respond to any emergencies relating to buildings.
- To be responsible for all ground maintenance including management of a ground maintenance worker and/or external contracts.
- u To maintain the fleet of vehicles owned by YMCAES, including insurance, tax, MOT, fuel and maintenance.
- To support HOCS for responsibility of all insurances required by the YMCAES. Ensuring compliance with legislation and efficiencies and effectiveness of all policies. Also, to ensure that necessary inspections and certification of lifts and other equipment are carried out as per requirements of insurers and current legislation.
- To provide the CEO and Head of Housing with advice and guidance around technical and regulatory requirements on YMCA property developments and acquisitions of new buildings.
To work with the HOCS to prepare a budget for central costs (buildings and vehicles) and to manage this budget through the year.
To prepare and present a report to the quarterly Governance and Risk Committee which has a remit for overseeing the organisational risk management framework, incident reporting and regulatory compliance.

DESCRIPTION

About the role

BACKGROUND
The Helen Bamber Foundation (HBF) is a pioneering Human Rights charity supporting refugees and asylum seekers who are the survivors of trafficking and torture, including gender-based and ‘honour-based’ violence. From our offices we provide specialist medical consultation, therapeutic care, legal protection and practical support to survivors of human rights violations by helping men, women and children heal the emotional and physical damage they have suffered through torture, trafficking or other forms of cruelty. We also take the learning from our work to develop partnerships to increase survivors’ access to services, and use the learning generated by our clients and partners to drive system change.
Since August 2020, Asylum Aid has been part of the Helen Bamber Foundation Group. Asylum Aid operates as an independent charity, led by its own Executive Director within the group structure. For over thirty years, Asylum Aid has been providing legal representation to some of the most vulnerable people seeking asylum. It has built an expert service, delivering vital and life-saving services in some of the most complex legal cases, with a particular speciality working with unaccompanied children, survivors of trafficking, torture or other forms of human cruelty, and stateless people. In this role you will support both charities alongside the Operations Manager.
OVERVIEW OF THE ROLE
As the facilities coordinator, you will be responsible for maintaining a secure and well-functioning work environment in our building. You will be responsible for performing regular building safety and security checks, maintaining the office and ensuring the office is tidy each day you are present. There is the possibility that this role will be increased to full time in the future.
HBF currently has an office in Camden and will be relocating to Old Street in September-October 2024. And Asylum Aid has an office in Westminster which will be in use until at least the end of the year. In this role you will therefore be responsible for the conducting necessary tasks to facilitate the moves and the smooth transitions to the new office.
You will be managed by the Operations Manager and work closely with the Finance and Facilities Assistant as well as the Client Services Leads, Asylum Aid’s Legal Team Administrator, and the Executive Director of Asylum Aid to provide coordination and maintenance of the office facilities.

The Facilities Assistant role:
As our Facilities Assistant, you will be responsible for the presentation of the premises and the day-to-day compliance with health and safety related to this role. - An understanding of building related health and safety, and willing to learn and do training in this area
- Experience of providing excellent customer service
- Good written and verbal communication skills, and the ability to communicate confidently and effectively

POSITION SUMMARY
Business Launchpad wishes to hire a highly organised, process-driven individual to oversee operations for its Tooting Works business centre.
As a key member of the Tooting Works team, the Operations Manager oversees the renting of our office units, tenant relations, and building maintenance and management, among other things. The post holder ensures the centre is run to a high standard, including excellent customer service, compliance with all current building and health and safety legislation, a high occupancy level and operation within budget.
The Operations Manager line manages four team members, making up the lettings team and the maintenance team, and works closely with other teams, including marketing, finance and the delivery team for the Business Launchpad charity.

ROLE & RESPONSIBILITIES
Centre Operations Management
- Oversee the day-to-day operations of the business centre, ensuring all facilities are well-maintained and running smoothly, and that the lettings process is compliant and well-managed.
- Implement and monitor operational policies and procedures to improve efficiency and service quality, including opportunities to digitise procedures and services.
- Manage building improvement and repair projects in collaboration with the maintenance team and the operations director.
- Ensure compliance with health and safety regulations and manage risk assessments.
- Identify, anticipate and address problems and opportunities for the business centre in collaboration with senior management.
Customer Service
- Act as a point of contact for tenants, addressing any issues or concerns promptly and professionally.
- Foster strong relationships with tenants, ensuring high levels of customer satisfaction and retention.
- Collaborate with the marketing team to develop and implement strategies to attract new tenants and retain existing tenants with the goal of maintaining high occupancy levels.
Financial Management
- Manage the operational budget, ensuring cost-effective management of resources and that projects are delivered within budget.
- Negotiate contracts with suppliers and service providers to secure cost-effective deals.
- Ensure tenant arrears are regularly monitored and managed.
Line Management
- Lead, mentor, and manage the lettings and maintenance teams, ensuring high performance and productivity.
- Conduct regular team meetings, performance reviews, and provide ongoing training and development opportunities.
- Handle recruitment, onboarding, and offboarding of staff members as needed.
Essential Skills / Experience
- Bachelor’s degree or higher.

The facilities Officer will be responsible for the building, reactive building works, renovation, and repair of the building. Working as a senior member of the maintenance team under the supervision of the Facilities Manager.
Additionally, this person will ensure that day-to-day repairs and planned maintenance of Your Place properties are efficiently and effectively carried out. The post-holder will monitor the performance of internal operatives and contractors handling communications and ensuring the work is carried out in line with completion targets and quality standards. Furthermore, the Senior Maintenance Officer will carry out minor repairs to the buildings, plumbing and electrical systems.
The ideal candidate will possess experience in facilities, and ideally experience working as part of a team and interacting with a variety of people. A basic understanding of health and safety and risk assessment is necessary. The role requires flexibility, including the ability to work evenings and weekends on a rota. Additionally, holding a clean driving license is essential.

Our Complex Needs Service is seeking a Service Manager, who would like to develop their career with a sector-leading organisation. You will join a small team of housekeepers working mainly at our Community/Justice/ Counselling services. Well-managed spaces make our buildings great places to be ensuring they are efficient, secure and pleasant environments. You will work with the Soft Facilitates Manager to carry out planned cleaning duties from a schedule of works. You will also need to build in capacity for reactive cleaning as required.
A key part of the role will be to work with project managers and the Soft Facilities Manager to ensure solid housekeeping provision. You will ensure the efforts of you provide a high level of cleanliness, and cleaning complies with health and safety standards too.
You will have a usual place of work at either Katherine Price Hughes House, Highbury or Wincott Street, Lambeth as we have two Housekeeping roles available, but be required to work flexibly across the property portfolio if business needs demand this. You will facilitate end of licence/tenancy cleaning preparing these spaces for new residents, or you could be asked to provide cleans between room hire in our counselling and our community spaces. The post holder will ensure their working practices are safe and compliant with the organisation’s health and safety guidelines.

We are looking for a dynamic, experienced Fundraising Manager to work with us in Camden’s largest charity working with older people.

Who: We are looking for an experienced, self-starting Finance Manager for the Central Foundation Schools of London, a charity supporting two state schools in London, with investments and endowments in the region of £40m.
Responsibilities: The Finance Manager will be responsible through the CEO to the Board, for day-to-day management of the charity’s accounts and all financial operations. They will manage the financial record keeping, payroll, pensions, banking and oversee the tracking of Foundation’s investments and income. The postholder will provide accurate financial management information, including quarterly cashflow forecasting and management accounts and co-ordinating the annual budget setting process. They will be responsible for preparing the annual accounts to the required standards and overseeing the annual audit process. They will also provide advice on a range of operational issues to ensure sound asset management, value for money and compliance with statutory requirements relevant to the charity’s financial operations. They will contribute to the shared leadership of the organisation including collaborating on the implementation of the Foundation’s strategy.
Our Work: For over 150 years, the Central Foundation Schools of London has supported two schools in inner London. Between them, the Girls’ School at Bow Road, Tower Hamlets and the Boys’ School is based in Cowper Street, Islington provide places to over 2,500 young people. Today, the Foundation continues to benefit students at these two schools while also supporting the schools to strengthen the opportunities, facilities and educational excellence for current and future students.
Our People: We are a small team with three part time staff managing the day to day work of the Foundation. A Board of 18 trustees/directors volunteer their time and skills and collaborate closely with the small staff team. In 2022 the Board started a process of transformation and modernisation of the charity’s operations and processes. In 2023, alongside refreshing our governance, supporting two major building programmes and updating our financial operations, we established our first strategy addressing how we can best support the Schools over the next decade and more.
The Role: To support the exciting opportunities presented by the new strategy, Central Foundation Schools for London are recruiting a permanent Finance Manager to provide professional management of the charity’s accounts, ensuring the charity’s operational effectiveness and efficiency, accurate financial management information and advice, preparation of the annual budget, management of our investment portfolio as well as compliance with statutory for the production of the Annual Statutory Accounts in compliance with latest SORP and legislation.
Experience: We are looking for a fully qualified accountant with good post-qualification experience with the ability to work independently and lead the charity’s financial operations.
Hours: Working 2 days a week, the appointed candidate will have the flexibility agree their working pattern with the chief executive. Ideally, the new Finance Manager would work Tuesday or Wednesday (or both) on site in the Foundation office when other staff members are also on site.
