Duties and key responsibilities: 

Office Maintenance

• Oversee the general maintenance of the office.
• Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.
• Ensure the office and meeting rooms are well-maintained.
• Manage Sarcoma UK storage, ensuring it is fit for purpose.
• Liaise with office contractors and service providers to ensure the office runs efficiently.
• Assist with office refurbishments, expansions, and relocations.

Administration

• Be the first point of contact for all enquiries to our telephone switchboard and info@ mailbox, responding in a timely manner to all enquiries and delegating across the team where relevant.
• Manage the daily postal system including opening post and recording donations on the finance spreadsheet.
• Managing deliveries to the office and organising couriers.
• Organise travel and accommodation bookings across the whole charity including fundraising events.
• Organise travel, meetings and staff attendance at events including the British Sarcoma Group conference.
• Make any bookings and arrangements for the team that involve financial transactions, for example booking travel, conferences, training courses, flowers for supporters and event purchases.
• Provide meeting room management, including bookings and catering.
• Carry out ad hoc administrative tasks for other departments when requested e.g. fundraising and information send outs during busy periods or absence.

Health & Safety

• Ensure compliance with health and safety procedures, maintaining a safe working environment in the office. This
• Regular health and safety inspections of the office and workstations.
• Carry out regular DSE tests
• Arranging regular PAT tests
• Cary out fire risk assessments (training will be provided)
• First aid assistance and maintain the first aid supplies (training will be provided)
•  Review and update the health and safety policy.

Other

• Support the operations team when required, this will include finance, database, and HR functions.
• The post holder will be working in a developing environment, and they will therefore be required to undertake other appropriate duties as necessary for the efficient operation of Sarcoma UK.

Job Purpose

The post holder will work cross-functionally to provide front-line administrative and transactional systems support to the People team and the Finance team. Within the HR/People elements of the role, the focus will be on day-to-day systems and process queries, recruitment, HR system support to Ada’s staff, compliance and general HR administration. This will require the post holder to have strong communication skills, strong attention to detail, and have the ability to manage and prioritise their workload.

Role Responsibilities:

Finance Support: 60%

Support the Assistant Finance Manager in updating the Purchase Ledger:

• Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
• Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
• Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax
• Prepare mid and end of the month BACS payment run and ensure that suppliers are paid within payment terms,
• Receive and check all statements from suppliers,
• Investigate and action any issues that arise with regards to creditors,
• Regular review and maintenance of the outstanding purchase order and goods received notes report,

Support the Assistant Finance Manager in updating the Sales ledger:

• Ensure that all income is recorded against the relevant nominal code and cost account and that the correct VAT code is used,
• Ensure that all requests for sales invoices are processed and sent to debtors promptly,
• Ensure that all requests for sales invoices are monitored and chased so that the prompt payment is received

Petty Cash:

• Ensure that the disbursement of the funds, keeping records of those disbursements and requesting replenishment of the fund is done accordingly to the Petty Cash Policy;
• Ensure that the reconciliation of the business petty cash transactions is done on the bi-weekly basis in the Xero finance system.

Other finance duties:

• Support Assistant Finance Manager in preparation of the pay runs;
• Monitoring finance account inbox and dealing with staff, students and supplier queries to ensure they are quickly and properly resolved;
• Support staff in following the financial policies and procedures, such as: filling out charge card tracker, purchase orders, setting up new supplier;
• Support the Finance team in setting up a Fixed Asset Register and making sure it is kept up to date on a regular basis;
• Support the Finance Team with any other queries that may arise.

HR Support:

Recruitment

• To work with the HR Manager to draft adverts for posts being advertised, ensuring that they are well-written and engaging.
• To obtain quotes for advertising on various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
• To coordinate interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials and sending invites to candidates
• To support the HR Manager with the administration processes around onboarding and offboarding of staff including consultants, mentors, volunteers and governors.

Inbox Management & Staff queries

• To manage the recruitment inbox, responding to candidate and hiring manager queries in a timely manner
• To work with the HR Manager to manage the HR inbox, responding to staff enquiries in a timely manner recognising that some correspondence will be highly confidential and/or sensitive in nature.

Systems & Compliance

• To be the main point of contact for all HR system queries and to action all first-level system transactions, escalating more complex transactions to the Head of People & Talent or the HR Manager.
• To send out reference requests for all shortlisted candidates, chasing responses and passing on to the relevant line manager
• To maintain spreadsheets and trackers to ensure all relevant HR information is collected and collated (eg vacancies, DBS and other pre-employment checks, probationary periods, performance management, exit interviews.)
• To create and maintain electronic copies of  personnel files
• To support with the updating of the Single Central Record for all staff, volunteers, consultants, agency workers and governors
• Under the direction of the Head of People, issue relevant letters to staff in relation to Employee Relations (ER) matters ensuring that timelines are strictly followed, meetings arranged, notes/minutes taken and all paperwork, including checklists, is fully completed.
• To support the People team with all HR policies, processes and projects as required.

General Administration

• To provide accurate data for Education and Skills Funding Agency (ESFA) in monthly data returns,
• Liaising with CIVICA support team to seek advice on better use of MIS (REMS),
• Acquire data from primary and secondary sources and update database system REMS,
• Keeping up to date with the latest ESFA funding rules and regulations.

Additional duties:

• Undertake confidential shredding and filling,
• Coordination Support for the Finance or People/HR elements of staff on-site events

Person Specification

• Previous Officer/Administrator experience and used to working with limited supervision ideally in a Human Resources field.

Are you looking for the first step in a career where you can support vulnerable people to rebuild their lives? 

This exciting pilot is a new approach to preventing rough sleeping, through the provision of accommodation with onsite specialist move-on support to those who are at immediate risk of sleeping rough. The service will provide a route and support for single homeless clients who are presenting to the Local Authority Housing Options or day centres and at imminent risk of rough sleeping, but not yet rough sleeping.

Where their homelessness cannot be prevented by the council and they are at imminent risk of sleeping rough, a referral can be made into the Rough Sleeping Prevention service.

The service will be based across three London locations in Islington, Lambeth and Kensington and Chelsea and staff will be based expected to work across all three sites

• Work on 7 day rolling rota inclusing early, mid and late shifts 
•  (K&C): medium – high support accommodation.
•  (Lambeth): medium support accommodation.
•  (Islington): Assessment hub space for up to 15 clients. Site will operate 24/7.

Each site will have staff delivering casework and support, providing each person with a comprehensive assessment of their needs and circumstances, and intensive specialist support to secure move on.

In this role you will jointly manage the safe day to day running of the project with other members of the team and to provide basic support and advice to clients.

Campbell Rd Young Peoples service provides support and housing for 55 young people in Tower Hamlets that are either leaving care of affected by youth homelessness. The Support Worker role will be to manage a caseload of approx 7-10 young people .You will be expected to deliver positive outcomes for all our young people and support them to reach independence, keep safe and maintain their tenancy's. Aside from support workers delivering support there is a strong element of housing management associated wit this role, for example managing rents, raising/monitoring repairs and health and safety.

132 Assessment Centre is for single homeless men and women that have links within the borough. The accommodation provides 6 separate self-contained units with on suite bedrooms, and 1 bedroomed flat. The scheme is staffed 24 hours, with Night Support Workers and Concierge cover during the evenings.

The aim of the project is to assess the individual over a 12-week period with the aim of identifying their support and housing needs. In that period, we will provide a bed for the customer to assist staff to carry out a detailed assessment to ensure that the recommendation for move on into alternative housing is captured correctly to assist move on for the individual into more suitable accommodation which is correct reflective of their needs based on our assessment/recommendation.

The service operates a model of personalised approach in order to address a wide range of presenting complex needs, which could range from mild learning difficulties, substance use (alcohol and drugs), offending, mental health, dual diagnoses, etc. We work closely with outside agencies in order to ensure that the individual is linked into getting the correct support whilst they remain at the assessment centre.
A major part of the Assessment Support Workers role is putting in the foundation with our customers around basic living skills and preparing the individual to be ready to move into alternative supported accommodation.

What you'll do:

Undertake initial and continuous assessment of needs including support needs and daily living skills. This would include potential risks and an assessment of the customers independent living skills as a whole.
The initial and co-produced assessment will incorporate models of co-production, observation, and person-centred planning. This is with a view that it is solution focused as to provide a framework for progression towards independent living.
Liaise with partner agencies regarding the assessment process seeking advice and guidance as to specialist input and clinical input as part of multi-disciplinary assessment process.
Create support/ action plans for providing appropriate services based on the assessment and reflecting the services and resources available.
Empower customers to be part of the local community and active participants in the local community as part of a Recovery Capital model.
Liaise with partner agencies regarding making referrals where an unmet need has been identified via the multi-agency assessment.
Ensure that referrals are chased proactively so that properties which can be used to house those in need are filled as efficiently as possible.
Undertake key-working responsibilities for a caseload assigned by the Team Leader/Manager
Support customers to undertake all domestic tasks as past of the assessment of daily living skills, including practical assistance where they have not yet developed the skills, to ensure customers enjoy a high quality of accommodation.
Develop and maintain links with all key agencies and service providers in the local community.
Empower customers to ensure they receive the service and benefits they are entitled to, including assessment and support of budgeting and debt management to garner their tenancy readiness.
Undertake all administrative work and keep accurate and comprehensive tenant/customer records to professional standards.

Overview of job

We are hiring a Finance and Grants Assistant to support financial and grants operations processes. Responsibilities include participating in the operational and administrative activities of the finance function, leading to the accurate recording of financial information for accounting purposes, as well as managing financial records, and supporting our grant-making processes.

Measures of success

In the first few months, you would have:

• Successfully complete daily and weekly finance and grants tasks, successfully managing the finance and grants email inboxes and be confident answering questions and resolving queries.

• Developed your knowledge of our supported charities and funding portfolio, getting to know plenty of our projects and working with them to produce case studies, stories and fulfilling other storytelling opportunities.

Responsibilities of the role

Finance – approx. 40%

Day-to-day financial management of the charity and its Trading subsidiary including, but not limited to:

• Process all day-to-day transactions on the finance system, Xero, including income received from fundraising platforms, ensuring a full audit trail of data processing.

• Complete daily bank reconciliations for all entities, including recording and banking cheques and processing petty cash.

• Raise sales invoices as requested, following procedures to set up in customer systems, and follow up with customers to ensure timely payment.

• Process purchase invoices and expense claims, ensuring appropriate authorisation, in line with delegated authorisations.  

• Set up weekly payment runs for approval by the Head of Finance.

• Monitor all financial processes, ensuring finance policies are complied with and deadlines are met, including electronic and physical filing of finance and legal documents.

• Complete month end tasks, enabling to the Head of Finance to close the month, including selected balance sheet reconciliations.

• Keep Gift Aid records up-to-date and assist the Head of Finance with the preparation of Gift Aid claims.

• Assist with the year-end audit, ensuring all relevant paperwork is tidily filed.

• Collaborating with the fundraising team, exploring fundraising and donation collection mechanics, identify new developments in the sector and helping to embed any system changes.

• Train and support the charity team on the charity’s finance processes.

• Provide cover for the Governance & Team Co-ordinator in periods of absence.

Grants – approx. 60%

• Support the Grants Team to process charity applications for funding, including communicating with interested parties, summarising applications, compiling relevant information, conducting research as required and helping to organise related meetings and Grants Panels.

• Preparing and processing funding agreements, reporting forms and other associated paperwork for grants.

• Working with charities to collect and develop storytelling information such as quotes, pictures and case studies, and support sourcing participants and contributors for radio interviews and other editorial pieces as needed.

• Supporting the team in the organisation, planning and delivery of our skills training programme for charities.

• Writing copy for our website and newsletters, and ownership of our communication planner for our charities.

• Managing the Grants Team inbox and being the first point of call for queries.

• Leading on the management of data and uploading of information on our database (Salesforce), complying with GDPR requirements.

• General administrative tasks across the both the Grants and wider charities team, undertaking adhoc projects and supporting initiatives and events as requested.

Overview / purpose of the role

We’re looking for a Finance & Operations Assistant who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. No previous experience is required, just lots of passion and a motivation to pursue a long-term career in charity finance. The successful candidate will undertake training with the AAT (funded by us) towards a bookkeeping qualification alongside working as our Finance & Operations Assistant, you will be given some time to study during your working hours for this qualification.

The Finance & Operations Assistant is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. They will work closely with the Head of Operations & Evaluation to process invoices, expenses and conduct weekly payment runs, ensuring that all financial policies and procedures are carefully adhered to. They will also support colleagues to follow our financial policies and processes and act as the first point of contact for any questions on these procedures. Additionally, they will provide general administrative and operational support to colleagues as outlined in the below job description.

Responsibilities

Finance

● Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required

● Processing and coding invoices  in Xero accounting software ahead of weekly payment runs

● Checking that correct coding and approval procedures are followed for staff expenses in Soldo

● Conducting weekly payment runs via our online banking system

● Coordinating our monthly payroll processes (working with external providers)

● Working with the Head of Operations & Evaluation and Director of Finance to support the development of funding proposals

Person specification

The right candidate is less likely to be defined by their qualifications and prior experience, but will be someone who meets the below criteria, and is ready to learn. About the Youth Endowment Fund 

We’re here to prevent children from becoming involved in violence. We do this by finding out what works and building a movement to change things.  

In recent years, violent crime involving children has increased. This is a tragedy. Every child is an important member of our community and society has a duty to protect them.

The Youth Endowment Fund (YEF) is a charity with a £200m endowment that exists to reverse this trend. We will achieve this by finding out what works to prevent youth violence and building a movement to put this knowledge into practice. We do this by funding, evaluating and then spreading the very best work on reducing youth violence across England and Wales. 

Central to this is the evaluation team.  The team is responsible for commissioning and monitoring complex and rigorous impact evaluations from experts in the field.

The Senior Evaluation Manager will play a key role in supporting the Assistant Director of Evaluation to lead elements of evaluation work. The post holder will also lead a team of two Evaluation Managers, ensuring they have the support to deliver a portfolio of evaluation projects. 

Key responsibilities 

The core of your job is to ensure that we are excellent at evaluation, so we can find out the best ways to prevent children and young people from becoming involved in violence. 

Evaluation 

Working with the Head of Evaluation the post holder will: 

• Implement the processes to assess the quality of evidence presented in funding applications and provide funding recommendations to the Grants and Evaluation Committee. 

• Shape the evaluation approach for individual grant rounds, including leading on this for a small number of rounds. 

• Provide technical expertise on evaluation to the team and lead the development of YEF’s thinking on one or more areas of evaluation. 

• Lead the delivery of YEF’s evaluation work, designing, commissioning and managing complex and large-scale evaluations. 

• Be responsible for YEF’s evaluation policies and reporting templates, ensuring they remain consistent and fit for purpose. 

• Be responsible for the ongoing development of YEF’s commissioning guidance. 

Team management 

The post holder will likely lead the recruitment, management and development of a team of Evaluation Officers and will: 

• Ensure they have the knowledge, skills and support to carry out their work effectively. 

• Provide regular feedback and coaching on written outputs. 

• Supervise and project manage the team’s evaluation work, providing quality assurance and monitoring of progress against project plans and project budgets. 

Collaborative working 

The post holder will contribute to the wider YEF team and will: 

• Be accountable to YEF’s Fund Leadership Team for the delivery of evaluations, making sure they are on time and on budget, including reporting on risks and issues.

About you

This new position will be a critical role in the charity as we enter a new decade with an exciting opportunity to help shape our future growth.  The role will work across the entire charity, and at every level of the organisation, providing an excellent opportunity to get involved across all aspects of our operations.  The role will work closely with our Trustee Board and Charity Director, supporting with diary management, governance support, minute-taking and taking forward key actions. 

Additionally, the role will support team members across the organisation, whether that’s answering supporter calls, helping find the best venue for charity filming or helping process those valuable and generous donations.  The role will be supported to take on a broad remit of tasks, balancing time and priorities, and supporting the charity to maximise its impact with UK Communities.

Responsibilities of the role

Co-ordinator – 70%

Day-to-day support across the charity including, but not limited to:

• Providing personal assistant support to the Director of the charity

• Support wider team with meeting bookings, arranging travel, charity guests, booking rooms etc.

• Support internal communications, ensuring good information dissemination and management.

• Improve internal onboarding processes, hold ownership over key GMSN starter assets (e.g. Organigram, joiners handbook)

• Look after shared email inboxes, ensuring all queries have an appropriate response in a timely manner.

• Support the team with basic finance reporting and updating trackers, including setting up and maintenance of a variety of fundraising platforms.

• Posting out materials and prizes, and hold ownership over the organisation of stock and materials in the storeroom.

• Liaising with charity supporters via email, phone and at Global, including the support line.

• Provide cover to the Finance and Grants Assistant in periods of absence (training will be provided)

• Support with fundraising and events teams in busy periods.

• Complete any ad-hoc tasks, as required.

Governance – 30%

• Co-ordinate diary entries for quarterly Trustee and Finance Committee meetings, prepare Board packs, attend meetings, take minutes and ensure minutes are distributed in a timely fashion.

• Ensure all Trustees are stewarded, inducted and supported in their role with the charity.

• Support the Head of Finance and Governance with relevant Trustee checks and forms, ensuring compliance with Companies House and Charities Commission.

• Ensure collection of annual related parties records and ensure all documentation is filed electronically.

• Collate monthly quarterly Global Board updates, liaising closely with SMT.

Essential Experience

• Strong A-Level results (or equivalent) and/ or relevant degree / or relevant experience

• A passion for working with charities.

• Great interpersonal and relationship-building skills

• Strong attention to detail and accuracy in your work

• Good time management and ability to work with tight deadlines.

• Excellent organisation skills with adaptability and ability to use your initiative.

• Experience in administration or other relevant work, such as taking minutes or working with a Board/senior team.

• A confident communicator, with experience of supporting senior stakeholders.

We have a great opportunity for an efficient and organised individual to join our Governance Team, providing maternity leave cover. 

Working closely with two other Governance Officers, you will provide support and guidance to the Chartered Society of Physiotherapy (CSP) Council and its Committees. The three Governance Officers are responsible for the day-to-day operation of Council and Committee work, as well as the running and administration of key CSP events. This includes arranging meetings, maintaining accurate records/policies, overseeing elections and appointments. The team also organises the annual representative conference and general meeting.

With your first class organisational and communication skills and an adaptable approach, you will be at ease working to tight, and often changing, deadlines and work streams. You will have working experience with a governing body or committee, and ideally have worked in a similar position within a membership, professional body or trade union. A proven understanding of the concepts and workings of corporate governance is essential, along with excellent IT skills, including advanced use of Microsoft Office.

The events programme of the Institute is essential to our public profile. Rooted in the work programmes that the research team are working on, events are opportunities for us to discuss the themes of our work with other experts and senior decision-makers, and to communicate our messages to the media and wider public. All our events, whether in-person, hybrid or entirely online, are produced to a very high standard and often include high-profile speakers and audiences. Our Events Officers work with colleagues across the Institute to deliver our range of public events, roundtables, workshops and conferences.

As part of the events team, within the wider communications team and reporting to the Head of Events, you will:

• Support the design and co-ordination of the Institute’s programme of public and private events, including panel discussions, conferences, receptions, workshops and roundtables.
• Manage all logistics and marketing for timely, professional event organisation and delivery.
• Help prepare for and deliver Institute events outside of London, including our party conference programme.
• Share management of the busy events email inbox and deal with internal and external event enquiries.
