Role Requirements

• Support planning and changes in the administration of children and young people’s timetable for children and family services.
• Support with photocopying of notes for subject access/ solicitor requests (SARS).
• Manage the SARS and redacting process with appropriate members of the Therapies teams.
• Update logs and coordinate the Clinical and Safeguarding Supervision across the Therapies teams, escalating non-compliance where required.
• Monitor mandatory training compliance and administer booking processes for all relevant training sessions/course.
• Coordinating specialist clinics, including spine and hip clinics; liaising with the Physiotherapy team to ensure the correct children are on the schedule. Liaison with external Consultants to organise the clinic lists.
• Carry out audiotyping of clinic letters and distribute as required.
• Update absences within the teams onto the SMI (staff care) system, as requested by the Heads of Service.
• Place orders for any required equipment and/or resources for departments and for the children and young people as deemed necessary.
• Take overview of clinical asset ordering, linking with the clinical assets team and management system, in line with MHRA guidelines and the medical devices policy.
• Track and monitor equipment orders with Heads of service, escalate delays and provide a central overview for all equipment re-charges and ordering.
• Raise and receipt PO’s and invoices for the therapies directorate and liaise closely with the finance team.
• Undertake other or additional duties that are within your skills and abilities, as the organisation may reasonably require from time to time.

With experience of working in a complex environment, across a large and diverse workforce, you will be exceptionally organised with a high-level of attention to detail. You will naturally possess excellent inter-personal skills, and an ability to consult and positively engage with key stakeholders across the organisation.

As Commercial Sales & Events Coordinator you’ll provide essential administrative and operational support to the weddings and event hire team. Dealing with initial enquiries and conducting show-rounds to putting together event packages and maintaining the booking system are all in a days work. In addition, you’ll be adept at liaising with clients and suppliers, setting up for events and delivering the best possible experience to guests on the day – always making sure we deliver a first-class service. About the opportunity

Fundraising is critical to delivering our mission and ensuring we can support as many children and young people facing disadvantage to open doors to their future.  The Philanthropy Team as a whole has a combined target income for the current year (2023-24) of £1.83 million (growing to £2.35m as our target for next year), of which approximately £850k is from corporate donors and their foundations, £100k is from individuals, and the remaining from trusts and foundations. We have been successful year on year in increasing our fundraising base by building secure multi-year partnerships.
 

We are looking for a Fundraising Manager to work within our passionate Philanthropy Team to help grow our fundraised income and develop and maintain an effective, high-quality funding pipeline. Focussing predominantly on eliciting funding from trusts and foundations, and working closely with the Head of Philanthropy, CEO and Corporate Partnerships Manager, the Fundraising Manager will ensure the effective management of existing funder relations and take responsibility for ensuring Action Tutoring meets its reporting obligations. Duties and responsibilities

Person specification

This role requires an ambitious, passionate and determined individual with outstanding written and verbal communication skills. Working to deadlines and line-managing three Fundraising Coordinators, exceptional time-management, prioritisation and organisation skills are essential. We are looking for a motivated, creative, and organised Engagement and Communications Officer to join our team. This role is a unique opportunity for someone with a passion for building a fairer legal system through impactful events, engaging member outreach, and powerful communications. Working alongside the Director of Development and the Head of Communications, this role will work across teams to maintain and strengthen engagement through events, communications and corporate outreach. You will play an integral role in communicating our work as widely as possible and improving and increasing engagement with our supporters, including our members, donors and corporate partners.

The Engagement and Communications Officer will work to maximise income and support for JUSTICE through events (approximately 45% of the role), communications (approximately 30% of the role) and membership (approximately 25% of the role). Shooting Star Children’s Hospices

Shooting Star Children’s Hospices are a leading children’s hospice charity caring for babies, children and young people with life-limiting conditions, and their families. We support families across Surrey and Southwest London from diagnosis to end of life and throughout bereavement with a range of nursing, practical, emotional and medical care.

At the heart of the hospice are our dedicated clinical staffs. Their exceptional commitment and professionalism is commented on by so many of the supported children and their families. 

It costs £10.5 million a year to maintain our current level of care. Only 30% of that income comes from government funding via the NHS or local authorities, so we rely on our supporters’ generosity to keep the service running. We employ 175 staff, including 98 nursing and medical staff, providing hospice and community-based services to around 700 families.

Retail and Volunteers Team: Our Retail and Volunteers Team manages our charity shops and volunteer programs, which play a crucial role in supporting our mission. They recruit, train, and coordinate volunteers to staff our shops and assist with various tasks, such as sorting donations and serving customers. Additionally, they oversee the operations of our retail outlets, ensuring that they are efficiently run to generate income for our hospices.

Part 1: Job Profile

 

a) Main purpose of  job

In the absence of the manager or assistant managers to lead a team of volunteers to maximise sales, deliver excellent customer service and ensure that the shop premises and assets are maintained to a high standard, according to legal requirements and Shooting Star Children’s Hospices (SSCH) policies and procedures. 

Decision Making Authority

The post holder will be required to make decisions on the quality, and suitability of donations before they are placed on sale. Depending on the length of the cover period they may be required to dress the windows. (They will follow price guidelines and existing display layout throughout the shop.)

The post holder will work with eCommerce Manager to decide if items would be suitable for selling at a higher price on eBay or through a promotional event and set these aside for the manager of the shop to deal with on their return.

The post holder will support with rostering of the team of volunteers where necessary and delegation of duties and jobs.

Main Purpose of the Role 

The main objectives of the Corporate Fundraising Manager role is to lead the Corporate Partnerships programme; sourcing, developing and sustaining funding partnerships with a wide range of companies. This is a senior and hands-on role.  You will take responsibility for developing and sustaining your own portfolio of corporate partners working with them to secure significant funds.

Job Purpose

The post holder will work cross-functionally to provide front-line administrative and transactional systems support to the People team and the Finance team. Within the HR/People elements of the role, the focus will be on day-to-day systems and process queries, recruitment, HR system support to Ada’s staff, compliance and general HR administration. Finance Support: 60%

Support the Assistant Finance Manager in updating the Purchase Ledger:

• Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
• Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
• Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax
• Prepare mid and end of the month BACS payment run and ensure that suppliers are paid within payment terms,
• Receive and check all statements from suppliers,
• Investigate and action any issues that arise with regards to creditors,
• Regular review and maintenance of the outstanding purchase order and goods received notes report,

Support the Assistant Finance Manager in updating the Sales ledger:

• Ensure that all income is recorded against the relevant nominal code and cost account and that the correct VAT code is used,
• Ensure that all requests for sales invoices are processed and sent to debtors promptly,
• Ensure that all requests for sales invoices are monitored and chased so that the prompt payment is received

Petty Cash:

HR Support:

Recruitment

• To work with the HR Manager to draft adverts for posts being advertised, ensuring that they are well-written and engaging.
• To obtain quotes for advertising on various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
• To coordinate interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials and sending invites to candidates

Inbox Management & Staff queries
