An excellent opportunity has arisen to join the Medair UK team as we are seeking a part-time Operations Support Officer. The post holder will be responsible for Medair UK’s financial and office administration, including maintenance of the organisation’s CRM database and some fundraising support. You will ensure the accurate processing and timely delivery of donor and financial information and acting as first point of contact for the organisation, you will be responding to supporter enquiries. You will also provide general office, and IT support to the Head of Operations.

About you

You will have experience of working in an office administration role, including financial processing and have proven experience with databases. You will be comfortable working with and prioritising high volumes of work. In addition to your experience of completing routine, complex tasks accurately and systematically, you will be able to maintain quality and attention to detail. Confident, polite and professional with excellent communication skills and the ability to work as part of a team, you will have strong planning and organisational skills, with experience of maintaining office and administrative systems

Key Activities

      Donation Processing

• Responsible for the timely recording and processing of all incoming donations (including via our website, bank account, third party platforms and cheques) into the Medair UK CRM (Salesforce).
• Ensure all donors receive gift acknowledgements / thank you letters corresponding to each gift received.
• Maintain up-to-date records of donors, staff and other contacts in the Medair UK database.
• Process and record completed Gift Aid declarations and support in the regular reclaim of Gift Aid.

      Financial Administration

• Inputting of all financial data (income and expenditure) into Quick Books.
• Preparing and following up suppliers invoices for payment.
• Processing expenses claims.
• Managing the banking of income and supporter cheques.
• Support the Head of Operations to implement the month and year end reconciliation process for both Salesforce and Quick Books.

      Facilities & Office Management

• Act as first point of contact for the office and public enquiries, responding to incoming telephone calls and emails.
• Answer basic enquiries about Medair's work and distributing information to supporters and others as required.
• Manage and order office supplies, stationery and equipment.
• Maintain a clean, tidy and safe working environment, administrating risk assessments, H&S and fire safety procedures.

      Information Technology

• Ensuring the maintenance of the IT system and handling minor in-house IT technical issues for staff and volunteers. 
• Liaising with the Global Support Office IT Helpdesk team to ensure the timely set up of IT for new staff and volunteers – i.e. setting up email addresses, and relevant permissions.
• Ensuring that IT permissions are current, and that these are amended as and when staff and volunteers leave.
• Assisting with continuous improvements in Medair UK’s use of IT.

​    Engagement Support

• Supporting fundraising activities with data segmentation and the production of standard and custom reports in Salesforce
• Supporting the production and automation of email newsletter and appeals via Campaign Monitor
• Setting up new Salesforce campaigns with tailored reports and dashboards to track donations.
• Producing digital surveys and web-forms as required.
• Providing support to Medair’s virtual events, including the technical administration of Zoom and pre and post event attendee administration.           

      HR Administration

• Organising and co-ordinating staff and volunteer inductions ensuring that the induction checklist is completed.
• Supporting the Head of Operations with team training and organisational learning and development opportunities.

Qualifications - DESIRABLE

Purpose of the Role

The Parish Finance Support Officer (PFSO) will be responsible for communicating and collaborating with the Parishes on their financial needs and issues, and ensuring that they are met by the central team where appropriate, or giving a steer on what responsibility properly resides at the Parish level. • Manage credit control by coordinating weekly payment runs and liaising with debtors to ensure timely payment. 
• Prepare monthly payroll submissions, including reconciling tutor hours, holiday pay and training. 
• Support the preparation of monthly management accounts and financial reports for internal budget holders. 
• Assist with compiling financial information for the Fundraising Team as required. 

HR and Policy Administration 

• Help maintain our policy library, ensuring all charity policies remain compliant and up to date. 
• Keep the Employee Handbook current, reflecting the latest internal policies and procedures. 
• Assist the Operations & Systems Manager in planning and delivering our termly Team Days. 
• Coordinate staff benefits, including the Employee Assistance Programme (EAP), staff training, pensions, Access to Work applications, and workstation assessments. 
• Working with Hiring managers for the central recruitment process to advertise roles, coordinating interviews and communications with applicants. 
• Onboard new starters, conducting all pre-employment checks, organising computers and equipment, arranging access to systems etc. 
• Managing reference requests for past tutors. 

IT and Equipment management 

• Support the Operations & Systems Manager in maintaining oversight of IT hardware, phones, and other equipment – including managing logistics and phasing out older kit. 
• Act as the first point of contact for the team on IT matters, liaising with our external IT provider and tracking outstanding tasks and support hours used. 

Office tasks  

• Liaise with the Charity we share offices with regarding office facilities and help maintain office supplies and equipment levels. 
• Manage keyholder records, ensuring an accurate log of staff with key and fob access to the office. 

General Administration 

• Monitor and respond to shared mailboxes, ensuring timely and appropriate handling of enquiries or redirecting them as needed. 
• Provide additional programme support where required – including booking conferences and ordering printed materials or resources. 
• Respond to internal queries and offer cross-team support on financial, HR, and IT matters.

About KLS’ Future Foundations education team 

Future Foundations is an education programme of Katherine Low Settlement. Since 2004, KLS’ Future Foundations education team of 10 part-time staff and over 100 volunteers, have supported young refugees and their families in Battersea and the London Borough of Wandsworth to thrive in their education. Through mentoring, family support, casework and homework clubs, we provide the tailored support each young person and their family (if they have one) needs to overcome the barriers to education they face at home and school.

Working with the Senior Caseworkers and Team Manager your role and responsibilities include: 

•Support staff to liaise with young people and their families/carers to communicate information regarding our work

•Provide information, support, advocacy and guidance to children and young people from refugee backgrounds (and their families/carers when available), to ensure that they are able to access their educational rights.

•Increase communication and understanding between young people, families, social services, schools and other professionals

•Develop relationships with schools and relevant agencies, in order to make and obtain referrals, and support refugee young people and their families access educational services.

•Empower young people and their parents to take control and be their own best advocates

• 

Main duties and responsibilities:

·Run 2 monthly evening drop in advice sessions at KLS youth club 

·Run 2 monthly drop in advice sessions at Southfields Acadmey

·Support refugee young people including unaccompanied asylum seeking young people (and their families/carers when available) to overcome barriers to access and thrive 

·Identify and assess their needs and advocate with them for their rights and entitlements

·Provide information and advice whilst working other agencies (e.g. social services, and mental health)

·Refer them to other agencies as appropriate.

·Make and follow up on internal and/or external referrals and signposting whenever relevant and according to adequate referral pathways, in response to the young people’s needs

·Liaise between young people (and with their parents/carers when available) with school, social services, other agencies and foster carers, to support young people holistically to overcome educational barriers

·Work with Future Foundations to Learn team members to share casework information and advocacy needs and to develop the work of the whole team in supporting local refugee young people and families

·Advocate on behalf of and/or represent young people by preparing reports and attending appeals or interviews or meetings with them

·Be familiar with local schools and services. Work with professionals in complementary statutory and voluntary services in person, by phone or by email.

·Maintain accurate and detailed casework records, action plans and monitoring data and be self-administrating. Ensure information on our database is accurate/up-to-date

·Compile data and case studies as requested by your line manager and in compliance with relevant funder requirements, ensuring reporting deadlines are met
