Purpose of the Role

The Administrator / Finance Officer plays a key role in the smooth running of One Newham. The postholder will provide reliable financial administration, maintain accurate records, support budgeting and reporting cycles, and ensure effective office and administrative systems are in place, with a strong emphasis on finance.

Key Responsibilities

Finance (priority area)

• Maintain accurate financial records on QuickBooks.

• Prepare bank reconciliations and assist with cashflow forecasts.

• Process invoices, expenses and reimbursements.

• Prepare draft management accounts.

• Support annual budget preparation and monitoring.

• Administer SafeHR (online payroll system) and manage pension returns.

• Maintain grant and project financial trackers.

• Ensure compliance with financial policies.

Administration & Office Management

• Maintain administrative systems and filing structures.

• Oversee supplies, equipment and IT procurement.

• Act as first point of contact for routine enquiries.

IT & Systems Support

Community Hire Scheme

• Coordinate the Community Hire Scheme, set up booking procedures, payments and deposits, and coordinate collections and returns.

• Organise regular maintenance of the equipment for hire.

• Liaise with and support the Hire Scheme volunteers and ensure that their expenses are paid on time.

• Promote the scheme widely and ensure that it is taken up by local residents and community groups.

Member and Network Communications

• Maintain up-to-date contact lists and mailing groups for One Newham members and partners.

• Support the production and circulation of member communications, including e-bulletins, newsletters and event invitations.

• Upload and update content on the One Newham website and/or member portals (where applicable).

• Assist with communications for forums, training sessions and network events (e.g. creating simple flyers, booking links, reminders).

• Help ensure a consistent, timely flow of information to members about opportunities, funding, training and key local developments.

Essential Experience and Knowledge

• Experience in a finance-focused administrative role, ideally in a charity or small organisation.

• Strong working knowledge of QuickBooks.

• Experience maintaining financial records, processing invoices and preparing reconciliations.

• Strong IT skills, including Microsoft 365 (Word, Excel, Outlook, SharePoint/OneDrive) and Google apps.

We have an exciting opportunity to join our team in East Sussex who support Young Carers, aged 5-18 years, who have caring responsibilities for someone in their family due to disability, long-term illness, mental health, or drug or alcohol misuse.

You will manage an existing caseload and new referrals, meeting with families and Young Carers to complete statutory assessments and providing short-term interventions that support Young Carers to improve their resilience, educational chances and wellbeing. This might be signposting to local services, action planning, one-to-one support, or our workshop programme.

Working closely with schools and Childrens Services, you will make referrals to a range of professionals and community services, ensuring whole family needs are met, and thereby reducing the impact of caring on the Young Carer.

As a CYP Coordinator, you will plan and deliver workshop sessions and activities, providing opportunities for Young Carers to spend time with their peers and recognise that they are not alone.

This is a full-time role delivering the service across Hastings & Rother and includes working occasionally at our Lamberhurst office. Some early evenings required. Own car essential.

About the Role

The role sits in the Strategic Operations in the International Operations Department, which plays a critical role in the management of our largest and most complex program to ensure it is positioned to deliver results, drive growth with excellence, committed to implementing best practices at scale, while simultaneously adhering to core programmatic and operational standards. You will be responsible for providing critical financial and risk management support to the MSIN project team, liaise with Donor Finance Team and Global Program and Partnership colleagues to play a key role in analysing and communicating financial results and performance; ensuring system and process efficacy and compliance with MSI quality standards and donor contractual obligations are met.
