We are seeking an experienced and diligent HR Administrator to provide HR admin support to the organisation. You will be responsible for all HR administration, including the production of HR paperwork, and serve as the day-to-day generalist HR contact for all employees. We do not currently have HR software, so reviewing our requirements in this area would be one of your responsibilities.
This is part-time fixed-term position, as we review the organisation’s needs in this area, and will be subject to review and possible extension at the end of six months.
As a small charity (c. 35 staff including part-time and casual workers), the role will require balancing practical tasks with more senior HR responsibilities. You'll be based in the office (a lovely rural setting near Twyford, Reading) for at least two days per week and, being situated within the rehabilitation centre, you will have daily contact with those men whom you are helping. They inspire and motivate us just as much as we seek to encourage and support them.

Brief role description
The People and Systems Administrator provides comprehensive administrative support to the People Team, with responsibility for recruitment and onboarding of new employees, maintaining accurate employee records, coordinating benefits, and acting as the first point of contact for employee queries. The role holds ownership of HR administration, including the production of HR paperwork, and serves as the day-to-day generalist HR contact for all employees on behalf of the team.

The role requires a high level of IT competence and confidence in working with HR systems and digital tools, ensuring data accuracy, efficiency, and continuous improvement of people processes. A proactive approach is essential to success in the role, with the postholder expected to anticipate issues, identify opportunities for improvement, and take initiative in managing workloads and supporting the People Team.
There is scope for the role to develop over time, depending on the individual’s motivation, capability, and appetite to take on additional responsibility.

The Role
What will I be doing?
You’ll be responsible for a range of activities, including:
- Maintaining and updating the full suite of personnel records for staff
- The timely and accurate generation and issue of employment contracts/amendment to terms and associated paperwork
- Overseeing the quality of data held within the HR system and other HR software and offer guidance to users of the systems and administrative support
- Preparing and accurately entering all monthly salary information on to the HR system
- Recruitment support for all Institute vacancies and managing the recruitment process
- Overseeing the probation and induction process for new starters and to conduct new starter induction sessions
- Developing new, and streamline existing administrative processes and procedures
- Generating system reports as and when required
About You...
The role is ideal for someone with good generalist HR experience and up to date knowledge and understanding of key HR legislation and HR systems.
We are looking for an organised and dependable individual who has a proven ability to work with within a small team, and who can communicate effectively with a wide range of people both in written and oral form.
Proven experience of accurate data entry and monthly payroll processes is essential along with previous experience of effectively following administrative processes.

About the role
This is a position offering someone with the appropriate values and experience, the opportunity to play a pivotal part in our small HR team As an HR Support Assistant, we would expect you to have a strong customer service focus with a remit of providing high quality and accurate effective HR and payroll administration service including recruitment, onboarding and employee lifecycle processes and procedures. This role is part of first line HR support for a current headcount of 200 employees.
Key Responsibilities
HR Support
- To work closely with the team and deliver a high quality accurate and confidential administrative process from recruitment throughout the employee journey at Herts Mind Network.
- Undertake general HR tasks as required and appropriate to the role including responding promptly to internal/external e-mails and completing other general administrative duties accurately and efficiently as needed.
- Maintain accurate records of all employee job changes and ensure the timely preparation and issue of updated contracts, letters and other HR documentation.

- Support with note taking for internal HR meetings, with guidance from the HR team.

HR Systems and Data
- Monitoring the Breathe HR System, ensuring employee profiles are up to date, including personal data, annual leave entitlement and job changes.
- Creating profiles for new employees on Breathe and ensuring the dashboard is up to date for all employees.
- Responding to queries regarding annual leave and absence, reporting and calculating allowances as required.
- Maintain our online E-learning resource (iHasco) ensuring new starters are onboarded and leavers are offboarded promptly. Complete monthly reporting on mandatory training for each directorate.
- Maintain our Cash Plan and EAP system to ensure new starters are added and leavers are offboarded.
- Ensure that Breathe is up to date and to be able to produce accurate and timely reports that aid decision making within HMN.
- Administrating and prompting line managers to complete the probation process and escalate if there are any performance feedback to the Senior Co-ordinator.
- Complete probation communications to ensure the documents are completed and up to date on Breathe and communications to employee, payroll and cash plan provider is accurate, prompt and up to date.
- Compile accurately information from HR systems and timesheets received each month for submission to payroll for processing.
- To collate and analyse employee data on a quarterly basis to produce accurate reports and visual tables for the Board.
- Update the HMN Organisational Chart and publish monthly intranet announcements on new starters and leavers.
General Responsibilities
- To promote HMN services, attending campaign and open days as required to raise mental health awareness.
- At all times to carry out every aspect of your duties with due regard to HMN policies and procedures including the Equalities statement

Main Responsibilities
Working as the Head of People & Culture for Citizens UK, reporting to the Executive Director, Finance & Operations, your main responsibilities will include:
People & Culture Strategy
Ensure Citizens UK has the people, capability and organisational shape required to deliver its mission and sustain impact over time.
· Analyse organisational strategy, change priorities and external context to identify their implications for people, capability, structure and ways of working.
· Carry out workforce planning to assess current and future capacity and capability, identifying gaps, risks and realistic options to address them.
· Develop, maintain and refresh the People & Culture strategy so it responds directly to organisational needs and provides clear priorities for action.
· Provide expert people and culture advice to the Executive Leadership Team and Board, informing strategic discussions, trade-offs and decisions.
Talent Management
Develop and implement talent management processes that ensure Citizens UK attracts, retains and sustains the people needed to deliver its work.
· Lead recruitment, selection and onboarding to bring in people who can perform effectively in their roles and are aligned with Citizens UK’s values.
· Develop and maintain retention approaches focused on the key drivers of retention, including meaningful work, effective management, development opportunities, wellbeing, inclusion and fair treatment.
· Identify critical roles and critical talent and put in place practical succession and risk-mitigation plans, including knowledge transfer, handover planning and interim cover where needed.
· Monitor employee experience across the employment lifecycle, using insight from feedback and people data to improve people practices and ways of working.

Strengthen organisational effectiveness by enabling teams to perform well, grow in capability and contribute consistently to shared goals.
· Maintain and operate performance management processes, including objective setting, regular feedback and reviews, ensuring that staff are clear on expectations and accountable for results.

Ensure Citizens UK is equitable, inclusive and safe for all by embedding fairness, care and accountability into how the organisation operates.
· Develop and implement Equity, Diversity and Inclusion priorities, using clear measures to monitor progress, identify gaps and support accountability across the organisation.
· Embed EDI considerations into recruitment, progression, policy development and everyday people decisions, working closely with relevant colleagues to ensure consistency in practice.

We are looking for an experienced Recruitment Administrator to join a busy recruitment team on an interim basis. This role is ideal for someone with strong recruitment administration experience who can hit the ground running in a fast-paced environment.

Key Responsibilities
