The Role

We are seeking an experienced Recruitment and Payroll professional with a strong understanding of UK employment law, payroll legislation, statutory requirements, and HR best practice. The successful candidate will have proven experience managing end to end recruitment and payroll processes, always ensuring compliance and accuracy. A sound knowledge of HR systems, particularly iTrent, payroll administration, employee lifecycle processes, and current employment legislation is essential.

What will I be doing?

• Lead and sign off all payroll related activities, ensuring accuracy, compliance, and effective liaison with internal and external stakeholders

The People Team plays a critical role in supporting our services to deliver our work. We're a team of nearly 20, and work from our offices in Brasted, Kent, Central London and remotely (with travel to our services).

Job Description

If you're looking for your first or second job in HR and already have impressive administrative and organisational skills, as well working towards your CIPD level 3 or equivalent then we have the ideal role for you.

As People Operations Officer you will be delivering a customer-focussed HR processing service for a number of areas of our organisation. You will be working with our Service Managers to ensure they work to our HR polices, processes and practices. This will include:

• Using the ATS system to approve and publish roles
• Carrying out background checks and onboarding new staff.
• Issuing offer letters and contracts of employment.
• Administering the leaver processes.
• Processing variations to contracts and payroll changes and entering timesheets.
• Monitoring key events and dates relevant to the employment relationship (e.g. DBS renewals) and taking appropriate action.
• Collating inter-company transfer (TUPE) data as required and implementing the payroll and records aspects of TUPE transfers
• Managing the employee absence processes, including annual leave, sickness, maternity and paternity.
• Preparing redundancy calculations
• Supporting with grievance and disciplinary investigations by making arrangements and taking notes.
• Supporting Managers with informal and Stage 1 sickness absence cases.
• Dealing in a sensitive and professional manner with enquiries from all sources and maintaining privacy and confidentiality at all times

You will be managed by our People Operations Manager, and will be working with a wider People team who support other areas of the organisation, so there will be plenty of opportunities to learn from others, hear more about what we do and how you play a part in the bigger picture.

You'll also be working closely with the rest of the team in particularly the Strategic People Partners and ER & Wellbeing team. Your relationship with our Payroll team is also going to be key.

Qualifications

An understanding of, or keen interest in HR is essential, while some experience of the area would be desirable. We will also look to supporting you with further development and in gaining a recognised qualification in HR support.

To succeed in this role you must possess a good basic education and strong administrative skills - including a familiarity with Word and Excel, and experience of using mail merge and databases. You will be able to work on your own initiative and maintain confidentiality. In addition, you must be able to demonstrate:

• The ability to build and develop strong working relationships
• A strong customer service ethos and good communication skills
• The ability to work effectively under pressure
• Time management and prioritisation skills
• Excellent attention to detail and accuracy.

Desirable criteria:

• Experience of working in a busy Human Resources or Finance Department.
• Experience of using a HR database system.
• Knowledge of the main areas of HR administration
• Able to develop basic administration procedures.

The Head of Operations will provide strategic leadership and oversight of HEY Smile Foundation’s governance arrangements, organisational systems and infrastructure, human resources and culture, and buildings and facilities. The role will ensure Smile has the people, processes, controls and resources to deliver its purpose reliably and respond confidently to future opportunities. Working closely with the CEO and senior leadership team, the postholder will translate organisational strategy into a clear operational plan, strengthen accountability and lead improvements across the charity. They will provide the CEO and trustees with timely information, assurance and practical recommendations on operational performance, capacity and risk.

This is a senior leadership role combining strategic oversight with the ability to secure delivery through colleagues, managers and specialist providers. The postholder will establish clear responsibilities, standards and reporting, intervening directly where necessary and building capacity so that routine delivery does not depend on the CEO.

Contract: Full Time, Permanent
Salary: £45,288.27 (£48,863.65  if you are receiving London Office Allowance) plus competitive pension 

Location: Flexible, hybrid. If you are based in London you are required to attend the London office twice a week. If you are based outside of London, you are required to attend the London office once a month. (Please note that travel to the London office is at your own expense)

You’ll act as a trusted adviser to managers across the full employee lifecycle, balancing strategic thinking with practical delivery. Whether supporting organisational change, recruitment, talent, employee relations or wider people projects, you'll bring sound judgement, a coaching style and a pragmatic approach to achieving great outcomes for our people and the organisation.

This is a broad, evolving role that combines business partnering, employee relations, recruitment, talent and organisational improvement. We're looking for a true generalist that enjoys variety, and can role model our organisational culture and values.

Key Responsibilities

Business Partnering 

• Partner with managers to strengthen leadership capability, support effective decision-making and develop confident people management practices.
• Provide expert, balanced and pragmatic advice on employee relations matters including absence, performance, conduct, grievances, capability and organisational change.
• Advise managers on organisational and contractual change, helping them assess people implications, identify appropriate approaches and navigate consultation and change processes fairly and effectively. 
• Coach and support managers to lead their teams through periods of change and uncertainty, ensuring effective communication and engagement
• Provide proactive coaching, advice and challenge across the employee lifecycle.
• Build manager capability by coaching leaders to identify and address people challenges early, preventing issues from escalating where possible.
• Support managers to build high-performing teams through effective recruitment, performance management, talent development and succession planning. 

Organisational Development

• Lead and contribute to People projects and initiatives in response to organisational priorities, taking ownership from development through to implementation. 
• Support the delivery of our talent and workforce priorities, including performance, development and succession planning. 
• Partner with managers on workforce planning and organisational change, helping teams adapt as organisational needs evolve. 
• Use insight, feedback and data to identify opportunities to strengthen organisational effectiveness and employee experience

People strategy and improvement

• Take ownership for reviewing and improving People policies, guidance and processes.
• Identify themes and trends from business partnering activity and translate these into practical improvements.
• Develop strategies that support effective, inclusive recruitment and retention
• Use insight and data to inform decisions and influence stakeholders
• Take ownership of and contribute to People Team priorities and projects, adapting focus as organisational needs evolve.
• Role model organisational values and act as an ambassador for the People Team

A little bit about you

Experience and Knowledge

•  Previous experience operating in a People Partner, Senior HR Adviser role (or similar)
•  Experience of independently advising managers across a broad range of employee relations matters, including complex cases.
•  Experience partnering with managers across recruitment, workforce planning and/or talent management (desirable)
•  Experience of working within a mission-led, or charity context (desirable)
•  Demonstrable experience of using a coaching style with the ability to influence, challenge and build management capability
•  Good knowledge of employment law and best practice with the ability apply policy proportionately whilst balancing organisational risk
• Experience advising and supporting managers through organisational and contractual change, including consultation processes
•  CIPD qualified (desirable)
