This is a Senior Operational Management role within Family Action.

The post holder will provide both strategic and operational support to Family Action’s adult mental health services in Bolton and Wigan:
• Bolton Listening Lounge and Wigan Crisis Space: operating from 3pm to 10pm, 7 days a week. These services form part of the Greater Manchester VCSE Crisis Pathway, a non-clinical alternative to A&E offering support to people experiencing mental and emotional distress and suicidal ideation
• Sub-contracted to TOGS Mind, Family Action is a VCSE delivery partner for the 111 press 2 / Mental Health Urgent Triage team located within the Northwest Ambulance Service call centres.

Listening Lounge Services in Bolton and Wigan operate between the hours of 3pm and 10pm 7 days a week. There is an expectation that the post holder will work to a flexible rota to meet the needs of the service and to provide onsite management support. Typically, this will include at least 2 weekend days per month from 2pm to 10pm on site – one in Bolton and one in Wigan, and two evenings per month during the week from 2pm to 10pm. These to be arranged in collaboration with the Service Managers from Bolton Listening Lounge and Wigan Crisis Space.

The Operational Manager will also be a member of the North Operational Management team that reports to the Deputy Director of Services & Innovation.

About the role

You’ll work closely with all members of the People & Culture directorate, and internal and external stakeholders. You’ll be responsible for the Payroll and HRIS (Cascade) systems, external third party & Gov processes and portals, and be the first point of contact for any system and data enquiries - working in partnership with all teams. You’ll be responsible for our payroll activities and maintaining the charity’s establishment data.

What you'll do

• Deliver and maintain an accurate monthly payroll for 600+ employees in partnership with the payroll provider and ensure all payroll checks are completed with exceptional scrutiny to aim for minimal to zero errors. 

• Produce and clean management data, using a variety of data sources to maintain and develop dashboards, establishment lists and ad hoc data requirements to support the directorate.

• Manage and ensure accurate recording in our HRIS to ensure a consistent employee life cycle

• Build and maintain workflows in our HRIS to enable the success of the team and the charity’s managers

• Provide insights and trends for stakeholders across the charity using HRIS data

What you'll bring

• Experience and understanding of managing a people HR system (Cascade is a benefit) 

• Experience of delivering and processing an accurate monthly payroll 

• Experience of working with an external payroll provider in a UK organisation 

• Experience of working with personal and sensitive data, in compliance with GDPR regulations 

• Ability to extract, clean, develop, and visualise data, to enable the production of detailed Management Information

We support individuals with a range of needs, including mental health conditions, neurodiversity (autism, ADHD), and learning disabilities, to gain and sustain meaningful employment through personalised, strengths-based support. SEQF is delivered in close partnership with community groups , employers, commissioners and the wider system. 

1-year fixed term contract (may be extended depending on funding)

Hours – 37 hours per week and 28 hours per week

About the Role 

As Service Manager – Community Services, you will lead the operational delivery of community-based domestic abuse services, including IDVA, triage and outreach support for adults, children and young people. Working closely with the Area Operational Lead and as part of the Senior Leadership Team, you will provide strong, values-led leadership to frontline teams, drive service performance, and ensure delivery is safe, responsive, trauma-informed and survivor-led. You will also play a key role in strengthening partnerships, supporting service development and ensuring services remain compliant, effective and sustainable.

Key responsibilities

• Lead the day-to-day operational delivery of community domestic abuse services, ensuring support is safe, timely, trauma-informed and survivor-led.

• Provide effective leadership, supervision, reflective practice and case management oversight to staff, supporting wellbeing, accountability and professional development.

• Oversee referrals, allocations and case progression to ensure survivors receive an appropriate, equitable and responsive service, with risk managed effectively.

• Monitor service quality, performance and outcomes through audits, data, survivor feedback and reporting, and use this insight to drive continuous improvement.

• Ensure compliance with safeguarding, legal, contractual and organisational requirements, maintaining accurate oversight of governance and risk.

• Build and maintain strong partnerships with statutory, voluntary and community organisations to strengthen referral pathways and improve outcomes for survivors.

• Support service planning, workforce coordination and cover arrangements to ensure safe staffing and consistent service delivery across periods of leave and absence.

• Contribute to strategic development, identifying emerging needs, supporting service growth and helping to shape high-quality, inclusive responses for diverse communities.

What we are looking for

• ILM, CMI or another relevant management qualification, or evidence of continued professional development in leadership.

Media management

• Develop and implement integrated external affairs campaigns that support the charity's influencing work
• Create persuasive materials, including press releases, op-eds, spokespeople briefings, comment pieces, and digital content and pitch to relevant outlets
• Maintain and grow relationships with journalists, broadcasters and sector media to secure relevant high-quality coverage of the charity's activities, grant holders and their projects
• Act as first point of contact for media enquiries, managing proactive and reactive press activity
• This role is expected to grow and develop and the postholder will be fully supported from across the organisation as the position evolves, within an organisation that offers a friendly, values led culture.

We would love to hear from individuals with the following skills and experience:

• Demonstrable track record of developing and implementing successful influencing strategies in the mental health sector

SAFE Cardiff  

SAFE in the City is a pilot project that brings our award-winning SAFE project to the City of Cardiff area. Funded by the Moondance Foundation and the Baily Thomas Charitable Fund, SAFE (Sexual Awareness for Everyone) is a project that empowers young people with learning disabilities a peer-led environment. It aims to improve the knowledge of topics relating to healthy relationships and sexual health, mate crime, and internet safety. It focuses on young people aged 16-35 with additional learning needs in addition to offering support to their families. 

SAFE is facilitated with peer-led workshops. The aim of this project is to empower young people with additional learning needs to lead the conversation and education around their own relationships improving knowledge and awareness of these topics for our beneficiaries of this project. 

Job purpose 

The successful candidate will deliver a pilot project, taking our SAFE project to Cardiff. You’ll be responsible for forging new connections and seeking opportunities in the area to deliver our SAFE workshops, encouraging the participation of volunteers wherever possible. The role will involve workshop delivery as well as volunteer recruitment and management. Working alongside an existing colleague in Gwent, you’ll develop and consolidate our workshop materials, to ensure that they’re meeting the needs of the young people participating.

Key Duties: 

1. Deliver SAFE workshops throughout the Cardiff area, involving volunteers in delivery where possible. 

1. Recruit, interview, induct, train and support volunteers.

1. Work closely with our SAFE project in Gwent to manage referrals into the project, updating on progress and plans in the process.

1. Develop and update workshop materials and activities to meet new challenges, in conjunction with SAFE colleagues in Gwent. 

1. Management of the matching/placement of volunteers, risk assessing the volunteers and planned activities, and monitoring and supporting the match throughout.

1. Maintain good record keeping, ensuring that evidence and impact data is collected so that we can monitor progress against outcomes. 

1. Promote the project through a range of techniques, instigating interest in volunteering and encouraging engagement.

1. Maintain effective relationships with volunteers, beneficiaries, colleagues and project partners.

1. Prepare reports with your senior project manager based on agreed outputs and targets.

1. Risk assess all activities, ensuring that they are regularly reviewed and amended if circumstances change.

1. Contribute to joint working and teamwork across Volunteering Matters and the SAFE team.

Experience/Skills and attributes:  

1. Knowledge of social care and/or third sector service provision, and the support networks and services available in Cardiff.

1. Experience of working with people with learning disabilities, and a good understanding of how best to support learning.

1. An experienced facilitator with the ability to engage in good conversation with beneficiaries, whilst actively assessing risks and solutions.

Location: This role is home-based and will involve extensive travel across Cardiff. For this reason, we require the post holder to have a full driving licence with use of their own car. The postholders will require good internet access to enable remote working and a suitable home office space. IT equipment and infrastructure will be supplied.

The Administrative Assistant plays a key role in supporting the effective delivery of services,  projects, events and member communications across the organisation. The post holder will have proven experience of working with children and young people and may have a background in youth work. They will have an excellent understanding of violence against women and girls, risk management and of best practice within the young people’s sector. As an experienced youth worker who has worked with young women and girls with complex and multiple needs, the post holder will be skilled in risk management and safety and support planning, remaining calm in a crisis and in handling sensitive information on a daily basis.

Experience of direct work with young women and girls who have experienced abuse, and of working within safeguarding procedures is essential for this post, as is the need to adopt and promote a strong partnership approach to service provision.

About Working Well Trust

Working Well Trust is a mental health and employment charity in London. All of our projects share the aim of improving the lives of people with mental health support needs, learning disabilities and/or complex issues through training and employment.

We are expanding our team of IPS Employment Advisors in our IPS service in the London Borough of Tower Hamlets. You will be based in one of NHS mental health treatment teams in Bethnal Green, Isle of Dogs or Stepney and Wapping areas, working 35 hours per week. This IPS services at Working Well Trust has been awarded the IPS Grow quality mark and adheres to the principles of the IPS model in supporting people in to employment. This role will be working with clients who have mental health support needs, wanting to gain paid employment. 

Experience of employment support is not essential, it is more important that you share our passion and commitment to employment as an integral aspect of wellbeing and supporting people to find the right job for them. You will receive training on the IPS model and in supporting people with mental health issues. We welcome applications from people with lived experience of mental health, either personally or through a close contact.

You need to have a desire to support people to achieve their employment goals, and the ability to multitask and manage your workload effectively. Good organisation skills are essential for this role, in addition to an interest in mental health, and the role it plays in the workplace. The successful candidate will need to become comfortable in approaching employers, and showcase the advantages of our service in order to work with them to recruit our clients to fill vacancies and sustain employment.

What you’ll be doing

You will work with clients (managing a caseload) who have mental health support needs, to assist them in securing sustainable paid employment in line with their preferences. You will deliver the IPS approach (for which training will be given); providing person centred support and guidance to clients, whilst building positive relationships with local employers to enable clients to move into suitable employment.

You will work as part of a mental health team (NHS Trust) maintaining positive and integrated relationships, fostering a holistic approach to recovery through employment. You will work closely with clinical teams, providing a coordinated approach that always remains client led.  

You will spend up to 65% of your week working in the community of Tower Hamlets to provide localised support to residents of the Borough.

You will also be working to contract targets whilst maintaining a high-quality service.

The Role
Position: Trusts and Grants manager Hours: 37.5 hours per week Location: Homebased  Travel: Occasional travel to the National Training Centre, in Leicestershire to support bespoke donor site visits and quarterly fundraising meetings and some travel to high value giving events.   
You will implement Canine Partners’ trusts strategy with the aim of developing relationships to expand the funding base of trusts and grant givers, and increase overall giving. You'll be responsible for the strategic planning, operational management and delivery of trusts and grant funding to achieve significant and sustainable income, ensuring strong engagement with Canine Partners.

• Create and implement the trust strategy, and set income and expenditure targets in conjunction with the High Value Giving Manager and Head of Fundraising

• Lead the development and implementation of a comprehensive annual Training and Development Plan aligned to organisational priorities, including mandatory training, apprenticeships, work experience and student placements
• Work with line managers to ensure consistency of IPR reviews for staff.  Provide training on the process and offer improvements.
• Audit of staff’s yearly IPR’s to monitor and record training needs. Identify gaps in existing learning content.

Training Design & Delivery

• Design, deliver and/or commission high-quality, engaging learning programmes and interventions, including statutory and mandatory training
• Build a sweet of training courses for hospice staff including; line management, managing absence, managing change, managing non-performance, managing stress in the workplace, IPR’s, project management, recruitment and selection, managing volunteers, working with volunteers, compassionate communication and crucial conversations.
• Research new online training opportunities for mandatory training as required throughout all departments within the Hospice. 
• Accountable for end-to-end ownership for each course from launch, booking and through to practical support for educators, advice to delegates and evaluation.
• Accountable for booking and managing all delegates, venues, course material and evaluation.
• Evaluate and prioritise course content to ensure courses are refreshed, relevant and competitive.
• Complete annual review of delivered courses and programmes.
• Ensure all mandatory training is up to date, relevant, and delivered in line with regulatory and organisational requirements
• Evaluate the effectiveness of both mandatory and developmental training and continuously improve learning provision
• Work alongside the Head of Volunteering to help create and deliver relevant training course for volunteers.

• Mandatory Training & Compliance

• Maintain accurate training records and ensure compliance reporting is up to date
• Work with managers to ensure staff complete required mandatory training within agreed timeframes
• Working with Head of Volunteering to ensure all CPD & Mandatory training is up to date for volunteers.
• Be accountable for KPI’s ensuring accurate and timely data entry, data collection and reporting.
• Leadership of resource to managers and staff for advice/information on all aspects of education and training.

• Apprenticeships, Work Experience & Student Placements

• Lead the development, coordination and evaluation of apprenticeship programmes across the organisation
• Build and maintain partnerships with education providers, colleges and universities.
• Manage HMRC Levy Scheme.
• Oversee the recruitment, onboarding and support of apprentices, work experience and students on placement
• Ensure high-quality learning experiences and appropriate supervision arrangements

• Stakeholder Engagement

• Partner with managers and teams to identify learning and development needs, including mandatory training.
• Work with managers in planning apprenticeships, work experience and placements
• Provide expert advice and guidance on appropriate learning solutions
• Build strong relationships and influence stakeholders at all levels

• Induction & Onboarding

• Work with the People and Development Manager to review, develop and enhance induction programmes for new starters, ensuring mandatory training is embedded
• Ensure a consistent, engaging and effective onboarding experience, keeping up to date with best practice, researching and drafting proposals to improve our process
• Knowledge of statutory and mandatory training requirements (ideally within health, care or regulated environments)
• Understanding of apprenticeship frameworks and/or work experience and student placement requirements
• Understanding of organisational development and performance improvement approaches
• Excellent facilitation and presentation skills

About The Role

We’re launching a brand-new Day Rehab Programme in North Northamptonshire and are looking for a Service Manager to help shape and lead it from the ground up. This is a part-time role (21 hours per week, with flexible working patterns available), offering the chance to build a service that will make a real difference in people’s recovery journeys.

You’ll also support the development of a new LERO, helping it grow towards independence and sustainability, while working closely with the Regional Manager and wider partners.

What you’ll be doing

This is a hands-on leadership role where you’ll balance operational delivery with strategic input.

• Lead delivery of the Day Rehab Programme (Self-Help Addiction Recovery model)
• Support the setup and development of a new LERO service
• Line manage a Lead Counsellor, Administrator, and LERO staff
• Work with the Regional Manager on strategy, business planning, and service improvements
• Build and maintain strong relationships with commissioners and key stakeholders
• Ensure accurate data, timely reporting, and full audit compliance
• Monitor performance against service level agreements and targets

No two days will be the same, you might be shaping service delivery in the morning, supporting your team through supervision in the afternoon, and reviewing performance data or meeting commissioners later in the day.

About Adolescent Health Study

The Adolescent Health Study (AHS) is an ambitious new UKRI-funded initiative to establish a prospective, longitudinal population study that will generate a globally leading open science data platform and research resource. AHS aims to recruit at least 100,000 young people from across the UK and to follow their mental and physical health and wellbeing over at least 10 years. It plans to collect data through questions and measures; to obtain bio-samples for a wide range of genomic and other high-throughput assays; and to capture linked data relevant to health and wellbeing from participants’ health, education and other administrative records. There will be a strong emphasis on engaging with and involving young people, schools, parents and other relevant stakeholders in the design and delivery of the study, as well as on including young people that represent as wide as possible a range of backgrounds, experiences and characteristics. AHS will focus on enabling a wide range of research, including studies of the critical biological and social developments that occur during the transition from childhood to adulthood and the determinants of both mental and physical health and wellbeing in adolescents and young adults.

 

Purpose of the post

The administrative coordinator will play a key role in providing administrative, coordination and financial support across AHS. The role focuses on managing core systems, inboxes and documents, ensuring information is accurate, accessible and compliant. Acting as a central point for organisation, the postholder will coordinate meetings, support teams with routine administrative tasks, and contribute to smooth financial processes. They will help maintain effective workflows in a virtual environment, escalating issues as needed to keep daily operations running efficiently.

Main responsibilities

 Administration and systems management

• Manage AHS central inbox(es) and escalate matters to the business administrator and business operations team as appropriate
• Provide day-to-day administrative support including preparing, filing, archiving and retrieving documents
• Manage and update shared digital platforms, databases and documents to ensure accuracy and compliance
• Manage administrative functions such as task tracking in a fully virtual environment

Team coordination and support

• Coordinate in-person, hybrid and virtual meetings and workshops, including scheduling and logistics, for AHS team members and external parties as required
• Provide key administrative support during meetings, including business and study meeting minutes as required

Finance delivery and support

• Support invoice processing, including maintaining accurate records
• Prepare payment requests and documentation in line with internal processes
• Maintain up-to-date financial administration files across shared systems

Operational delivery and implementation

• Provide hands-on support to teams and managers in rolling out new tools, systems and operational processes that are critical for the success of the longitudinal study
• Support the smooth, day-to-day running of business operations, ensuring tasks and processes are completed efficiently
• Identify operational issues or bottlenecks, propose practical solutions where appropriate, and escalate matters to the relevant members of the AHS team

Knowledge, skills and experience

Essential criteria

• Qualified to A level or vocational qualifications, or equivalent, plus some experience in a relevant role
• Experience of working in an administrative role for a hybrid or virtual organisation, preferably a charity or small-to-medium (SME) organisation
• Experience of planning and delivering the logistics to in-person, hybrid and virtual meetings for 10+ team members across the UK
• Experience of financial administration
• Able to manage information electronically through databases and spreadsheets
• Excellent organisational and time management skills with the proven ability to prioritise, at times under pressure, produce accurate work to deadlines
• Excellent communication and interpersonal skills with the ability to take ownership of problems and find solutions
• Proficient in Microsoft Office suite of software

 Desirable criteria

• Experience of working in a health and/or data research environment
• Understanding and experience of using project management tools and techniques
