Whitley Fund for Nature (WFN) is a UK-registered charity (1081455) offering funding (Awards), training and media profile to inspiring leaders of wildlife conservation projects across the Global South. We support pragmatic, sustainable, and long-lasting work rooted in science and community involvement. The charity funds projects directly and we remain in regular contact with Award winners (grantees). WFN also raises awareness of the serious problems facing wildlife, landscapes, climate, and people, through promoting the work of winners. We focus support on nationals (leaders who were either born in the country where they work or have gained nationality) and aim to help build the capacity of successful local NGOs and grassroots work. We fund mainly in Africa, Asia, and Latin America where income is often hardest to access and can have the biggest impact for people and biodiversity. Our funding is raised each year, mainly from family foundations and trusts, as well as from individuals, corporates, and international NGOs, with a current annual income of £2.6m/year. WFN is governed by a committed trustee board. Our team is dynamic, passionate about our mission and ambitious. The opportunity
“Saving our planet is now a communications challenge. We know what to do, we just need the will” Sir David Attenborough. WFN is a fundraising and grant-giving nature conservation charity. Established in 1993, we have channelled £23 million to 220 conservation leaders in 80 countries across the Global South, benefitting wildlife, landscapes, and people. We are now seeking to expand the team in line with our activities by recruiting a Communications Assistant to maintain and grow the organisation’s online communications across digital and social media platforms and support the team with office administration and event organisation. The post-holder should be keen to make a difference by working in a small team across an impactful organisation. They should have demonstratable skills in online communications and audience engagement, knowledge of wildlife conservation issues, experience with event organisation and the ability to support a vibrant team to flourish. The Communications Assistant will report to The Head of Communications with matrix management to the Operations Manager, dividing their time by working on communications 3 days p/w and office administration and charity events 2 days p/w. You’ll work as part of a dispersed IT Support Team providing support and advice to colleagues within the Fund helping them to ensure that we’re able to help as many communities as possible to deliver life changing outcomes to those in need. Based in the Newcastle office and reporting to the IT Support Manager. The support you provide will be both remote and in person. Internal training will be provided.
The IT Support Team fulfils a range of roles and responsibilities, and whilst playing your part in delivering life changing funding you won’t have a typical day. As a first point of contact for all our customers you’ll engage with them to fully understand all their needs and provide support and solutions to fulfil and exceed their expectations.
Working closely with colleagues across the department, the IT Support Team ensures our customers benefit from an excellent enabling service provision in incident management and resolution, and request fulfilment. Cord has a loyal and committed UK supporter base of individual donors. The primary focus of this role is to support fundraising which involves
- the processing of donations and donation record keeping using a range of digital payment systems, entering records in to the supporter database, maintaining gift aid records and coordinating with finance colleagues regarding fundraising income.
- providing high quality supporter care to Cord's donors by assisting with the mailing of newsletters, writing thank you letters and notes to donors, and fielding enquiries promptly and politely.
- a range of other fundraising tasks including administering alternative gifts, helping with reports, liaising with payment platforms to ensure smooth processes, and supporting the preparation of resources for fundraising activities.
2. Running the admin office
Cord operates a predominantly remote working structure in the UK. However, there is a small admin office in Coventry which acts as a hub for the team with desks, resources and record storage. This role is responsible for overseeing this office and ensuring that remote office services run effectively. This involves organising the phone system and providing a reception service, managing mail procedures and monitoring office email accounts. It includes keeping the office in good order by managing supplies and storage, liaising with office suppliers, contractors and building agents. It also involves maintaining key holder registers, coordinating office access for the team, fulfilling health and safety requirements such as regular assessments and updating records, inducting and maintaining health and safety awareness amongst staff, when home working and working elsewhere, and providing logistical support for UK team meet-ups including sourcing venues and refreshment suppliers.
3. Providing admin support around Cord's global operations
Cord has programmes in eight countries throughout Africa and Southeast Asia with offices and staff in four of them. The Fundraising and Operations Administrator plays a critical role in supporting operations to support the smooth running of the organisation's internal services. This involves:
- IT systems: supporting the digital onboarding and offboarding of staff, purchasing and disposal of computer devices, maintaining records of current system users and liaising with Cord's external IT service provider on the issuing and billing of IT licences.
- Digital record systems: to support the organisation of Cord’s knowledge management system SharePoint, keeping key organisation administration information current, maintaining digital records in accordance with GDPR.
- Human resources: supporting recruitment processes, DBS applications, reference checks, monitoring employment contract terms, liaising with Cord's external HR advisor on employment contracts and policy amendments, supporting staff inductions, HR system record keeping and reporting.
- Finance: to carry out some routine finance tasks such as verifying petty cash counts, being a bank signatory that country reviews payments against approval documents.

About you
To succeed in this role you will be a team player who is self-motivated with an ambition to help the organisation to improve systems, processes and information sharing. Your key purpose will be to support the Individual Giving Manager in the provision of excellence in supporter care for individuals supporting all fundraising activities and projects related to Shooting Star Children’s Hospices Individual Giving programme, Gifts in Memory fundraising and ensuring Shooting Star Children’s Hospices families who choose to fundraise are effectively supported in their activity. This role will support the charities appeal fundraising programme, working with the Head of Supporter Engagement and Individual Giving Manager on supporter stewardship.
The Supporter Care Co-ordinator will also provide efficient and effective key administrative support to the wider fundraising team, optimising income generation proactivity cross-team.

Reporting into the Senior Finance Officer, this role is jointly responsible for the delivery of a consistent and high-quality purchase ledger function across the Group. The purchase ledger team is integral to ensuring that the Group commitments are accurate and complete each month; and payments are made on a consistent basis in keeping with suppliers’ credit terms and internal policy on expenses.
The key responsibilities of this Purchase Ledger Officer include:
- Record staff expenses and property invoices (e.g., rent, utilities, repairs) promptly across all companies.
- Upload invoices promptly after processing for timely authorisation.
- Ensure invoices comply with delegated authority limits and are correctly coded to budgeted cost centres.
- Verify payment-due invoices against the aged creditors report.
- Track and record direct debit invoices, investigate debit balances, and resolve before month-end.
- Review supplier statements to capture missing invoices and prepare reconciliations for key maintenance and rent accounts.
- Respond to supplier and staff queries per SLA KPIs and forward new supplier forms and bank detail changes as needed.
- Prompt authorisers weekly for timely invoice approval and maintain evidence of key supplier reconciliations.
- Ensure efficient processing of direct debits with proper documentation.
- Follow standardised protocols for setting up suppliers and employees on the accounting system.

About the role
We are looking for an enthusiastic and proactive person to join our small yet ambitious fundraising and communications team at Cherry Trees as Fundraising Assistant. 3. Information Management
- Using the fundraising database (Donorfy) ensure all activity and correspondence is recorded accurately, as well as supporting our team’s financial processes and data export needs (training will be provided).
- Be responsible for ensuring all records are maintained/updated on the fundraising database.
- To develop an in-depth knowledge of the database to be the go-to person, and identify opportunities to support your own activity and that of the team.
- Continuously aim to improve the efficiency of administration processes necessary for the smooth running of the fundraising department.
- Ensure that data processing is in accordance with GDPR compliance.
4. Finance and other
- To ensure all donations are processed and on the fundraising database, correctly, and supporters are thanked in a timely manner.
- To process the weekly fundraising income and financial reconciliation, with the support of volunteers (training will be provided).
- To undertake other reasonable activities as required by your line manager.
