Job Purpose - Facilities Manager - Projects
The role holder will report directly to the Head of Estates whilst working closely with the Facilities Manager and the wider team, as well as operational colleagues.
The role holder will be responsible for the delivery of specific ad hoc estates projects, whilst also providing support to the wider Estates team in the delivery of business-as-usual activity to ensure the development of an estate that delivers outstanding outcomes for the people we support, ensuring the portfolio is managed safely, cost effectively and in accordance with statutory and regulatory requirements.
This role requires an individual with strong project management capability within an estate’s environment, with a demonstrable track record of delivery of projects on time, to Budget and to the requisite level of quality.
Reporting directly to the Head of Estates, the role holder will:
- Lead the estates input in the expansion of the existing property footprint.
- Onboard new additions to the estate’s property portfolio efficiently and effectively.
- Work collaboratively with operational colleagues ensuring “best outcomes” are delivered for the people we support in the development and maintenance of the estate.
- Support the wider estates team in the delivery of business-as-usual activities.
- Be visible and on site to ensure the smooth running of projects and the timely resolution of issues.
Dimensions
Whilst the role currently has no direct reports assigned, the level of project activity and the consequential resource requirements will determine any additional staffing needs. The nature of individual projects will determine this although it is anticipated that project spend will be circa £0.5m+ per annum.
Principal Accountabilities
Estates and Facilities Management
- Responsibility: Act as the senior estates and facilities professional on project work assigned.
- Project Plans: Ensure there is a clear and documented estates plan for each project assigned and lead the implementation of these plans to ensure best possible outcomes for the people we support. In the planning and delivery of projects, the role holder must ensure that due consideration is given to operational requirements.
- Project Performance: Ensure a robust contract performance management framework is in place for each project.
- Regulatory: Ensure all project work is undertaken in accordance with applicable regulatory and statutory requirements.
- Resource Management: Manage and co-ordinate both AFG staff and external contractors in the delivery of projects. Where required mitigating actions/plans may need to be taken to ensure that projects are delivered to requirements.
- Onboarding: With support from the Head of Estates, lead the estates input re. property acquisition (both support with the identification of appropriate property and subsequent due diligence).
- Expansion: With support from the Head of Estates, lead the estates input re. the expansion of existing estates footprint.
- Business Cases: Prepare business cases, feasibility studies for consideration by the Head of Estates and onwards by the Executive/Director team.
- Business as Usual Estates Activity: The role holder will be required to work alongside the Estates Manager and the wider estates team in the delivery of business-as-usual estates activity (including site visits, contract monitoring meetings, supervision of reactive repairs etc.), where project requirements mean the role holder has capacity to undertake this work.
Financial Management
- Financial Performance: Manage project related budgets, ensuring projects are delivered to Budget, to the requisite quality and to time.
- Procurement: Work closely with the Procurement team to source potential suppliers for services and ensure those services are sourced on a “Value for money” (VFM) basis, and in accordance with the terms of the Scheme of Reservation and Delegation.
- Tenders: Working closely with the Procurement function of the Charity, take the estates lead in tender activity where assigned, ensuring that activity is undertaken in accordance with the Scheme of Reservation and Delegation.
- Cost Reduction/Service Improvement: Lead in ensuring we are continually striving to reduce cost/improve service provision.
- Commercial Acumen: Commercially savvy to drive continuous improvement opportunities (both financial and operational).
Sustainability, Efficiency, and Innovation
- Estates Development: Ensure development activity within the estate takes account of environmental considerations/technological advances in the go-forward design.

Experience
- Minimum of 3 years’ experience in an estate’s management/estates project management role.
- Experience of working in an environment delivering both planned and reactive maintenance and delivery of capital projects.
- Proven track record of capex project delivery (cost, time, scope).
- Experience of managing complex estates projects (resource, finances, scope).
- Experienced in managing contractors and sub-contractors including conflict resolution.
- Experience in both the development of and management of financial Budgets and Reforecasts.
- Experience in undertaking property related “due diligence”.
- Experienced in the preparation and presentation of business cases for consideration by the Head of Estates.
- Experience of working with a Computer Aided Facility Management (CAFM) system.
- Able to develop frameworks to understand a problem, identify practical options to solve the problem, and identify the most optimal solution.

About you
You will need to be comfortable working flexibly as part of a team and able to prioritise your own working. You'll have experience of working in and delivering an effective housing and tenancy management service within a customer-focussed organisation, and will be familiar with various housing options and solutions. You'll also need a good working knowledge of Housing Law as it applies to tenancies.
Other key requirements include:
- communication skills with the ability to engage with our customers professionally and with empathy in person, on the phone and in writing;
- of creating and building partnerships with other agencies to support service delivery;
- in using Microsoft Office (including Outlook), and CRM systems.
A social care or housing management qualification is desirable, as is experience with housing management systems and a current driving licence.

As a Housing Domestic Abuse Advocate, you will provide intervention, advocacy, and support to survivors of domestic abuse. Working within a fast-paced team, you will help empower women and ensure that the voice of survivors informs every stage of their journey towards improved safety. You will have your own caseload of survivors who hold social tenancies with local authorities or housing associations, and you will encourage them to engage with our service and ensure they have access to support. About You:
To be successful as the Domestic Abuse Housing Advocate you will need the below experience and skills:
You will bring solid experience of supporting women who have experienced domestic abuse in all its forms; coming from a sector with transferrable skills or possess a feminist/VAWG degree and be keen to learn and to train on the job. You will have a good understanding of violence against women and girls with a particular focus on the dynamics of domestic abuse (physical, emotional, and sexual abuse, so-called ‘honour-based violence’, forced marriage, stalking and harassment) and its impact on women, children, families, and communities. You will have proven skills and experience in conducting comprehensive assessments of needs and risk for survivors experiencing domestic abuse, including carrying out short risk management and safety planning. We will expect that you have experience in assessing the needs and safety of any children that women using the service may have and an understanding of the criminal justice system and relevant legislation with regard to legal and civil options, housing, benefits, matrimonial and children. Lastly you will bring your knowledge of safeguarding practice, procedures, and legislation.
With many skills and qualities to add to this role, if you have good IT literacy, data collection and monitoring these skills are maximised in your role. If you have experience or have been trained or are qualified in the fields related to substance misuse, criminal jusice, law, social work or domestic abuse we would love to hear from you.

About the role:
We are excited to be taking the lead in the London Whole Housing Service Partnership (LWHSP) which will address and enhance the pathways of housing support for women experiencing domestic abuse, from removing them from immediate harm, to enabling recovery and resettlement across all levels of need. The LWHSP are seeking to build on our delivery across 11 East and West London boroughs of the Whole Housing Approach (WHA).
The Housing IDVA will work within a dynamic, fast paced, crisis intervention, advocacy and support service to ensure the voice of survivors informs every stage of the process. You will specialise in working with clients for whom housing, and risk of tenancy breakdown is a factor. You will work within the team to make proactive contact and provide high quality advocacy and support based upon a client led needs and risk assessment to women, focusing on working with those aged 18 and over who access the domestic abuse service. You will hold a caseload of survivors and will also be required to work as part of Advance’s duty team on a rota basis which will involve completing intake assessments and providing crisis intervention support.
About You:
As a Housing IDVA, you will need to have a degree of flexibility for colocation work across London boroughs; providing support to women who have experienced domestic violence, focusing on individuals with housing or tenancy issues. Working in our fast-paced crisis intervention, advocacy and support service, you’ll ensure the voice of survivors informs every stage of the process. You will have your own caseload of survivors and will focus on working with those aged 18 and over who access our domestic abuse service.
You will bring experience in providing independent domestic violence advocacy and support for women who approach housing advice and assessment for help. Ideally experience in working with housing service providers, and advising women of their rights and options for seeking help and support from other agencies. You will have the ability to develop individual safety and support plans in-line with the clients’ needs and the risks they face.

About the role
As a Housing First Coach you will deliver high quality person-centred support, using psychologically and trauma informed approaches, in line with Housing First principles. About you
To be successful in this role you will be a self-starter, flexible and have experience of working collaboratively as part of a team and with internal and external partners. You may have a background in adult safeguarding, drug or alcohol recovery services, mental health or housing support and have significant experience of working within a multidiscipline setting with the ability to create strong professional relationships and creative solutions. You will have experience of working with people who have faced severe and multiple exclusion and who may have complex needs; with an understanding of the needs of people who have been homeless for long periods of time. You will be willing and able to provide practical assistance with moving into and maintaining a home – including direct help where necessary with tasks such as shopping, budgeting, cooking, and cleaning.
You will also have a knowledge of Housing First and Housing Led approaches and the ability to work within a psychologically informed approach.

The role of Complex Needs Project Worker is a specialist role, designed to work with people who may be more difficult to reach and establish working relationships with. As such, you will role model good practice for working with those who have experienced multiple disadvantage by adopting a trauma informed approach.

The rota for the post is earlies (8 am - 4 pm) and lates (2.30pm - 10.30pm).
